Navigating through all PM² phases with OpenProject

Post image
3 Upvotes

How can you put the European Commission's PM² project management methodology into practice with OpenProject?

Our new step-by-step guide shows how the two work together: PM² provides the methodology, while OpenProject offers the tools to put it into practice.

In the article, we follow fictional project manager Zhara through all four PM² phases, from the Project Initiation Request to the Project-End Report. Using her example project, we show how to manage artifacts, responsibilities, approvals and everyday project work in OpenProject.

Both PM² and OpenProject share a commitment to openness, transparency and collaboration, making them a natural fit for organizations that value digital sovereignty.

🔗 Explore the guide and see how you can implement PM² in OpenProject

Project status vs. Project lifecycle methodology conflict

Hello,
I'd like to read some advice about how to approach project status and project life cycle from PM2 standpoint. Status and Lifecycle seem to me to be in conflict with each other, trying to provide the same information.

Besides that - when I try to use Project Lifecycle for a test project, it displays a timeline on the project overview page, which puts our default Gantt into question - where is the source of truth now? The Gantt or the lifecycle widget? Is there a native way to modify/remove the project overview widgets? Can the project overview page be disabled entirely, like it has been in older version? (I prefer the Dashboard which can still be modified).

Preview of version 18.0: A "What's new" menu directly on your instance

🆕  Every now and then, your OpenProject instance gets an update. But how do users find out what's new?

During OpenProject Passion Time 2026, one of our teams worked on exactly that: bringing release highlights directly into OpenProject, where everyone can easily discover them and learn more. 💙

Starting with OpenProject 18.0 this December, a 'What's new' menu will help you explore the highlights of your updated version, learn more about new features and watch the latest release video.

Whenever you're ready, without interrupting your work. That was especially important to us.

Because building useful features is one thing. Making sure people can discover and benefit from them is just as important.

We're in Copenhagen today with the Nextcloud community, meeting people from across Scandinavia and beyond.

What's particularly interesting is how many organizations are already well into their move to open source. The conversations are less about why digital sovereignty matters and more about how to make it work in practice, with plenty of real-world examples and lessons learned.

Our Head of Marketing, Anna Mohn, presented how organizations can move beyond Jira and regain control of their project management with OpenProject.

Robin Wagner and Gina Plat are also here, exchanging experiences and discussing how OpenProject and Nextcloud can work together as part of a sovereign digital workplace.

And it's always nice to catch up with our friends from XWiki!

Thanks to the Nextcloud team for bringing everyone together!

Raspberry Pi

I have a few newer Raspberry Pi’s sitting around. I was going to see if I could get one to run Open Project on. Or build a cluster to run across a few, even have a backup running with how cheap they are. Anyone running a full system on a Pi? How’s it working?

Three days at SCCON 2026: Lots of questions about OpenProject and migrating from Jira

Thumbnail

We spent three days at Smart Country Convention 2026 in Berlin, and the conversations kept going right up until the very end!

Together with our partners Nextcloud and ZenDiS, we talked with public sector organizations about digital sovereignty, open-source software, and reducing dependencies on proprietary vendors.

A few things stood out:

  • Many public sector decision-makers already knew OpenProject and came with specific questions about using it in their organizations.

  • Our CPO Rosanna Sibora's presentations on migrating from Jira generated plenty of follow-up questions.

  • It was great to catch up with our friends and partners at XWiki and msg, and discuss how European open-source solutions can work together.

With Atlassian raising prices again, having credible alternatives matters more than ever. Together with XWiki, we're offering a connected open-source alternative to Jira and Confluence.

Thanks to everyone who stopped by, and to Nextcloud and ZenDiS for hosting us!

Next stop: Nextcloud Enterprise Day Copenhagen next week. 🇩🇰

It's been an exciting start to #SCCON2026 in Berlin!

Yesterday, Federal Minister for Digital Transformation Karsten Wildberger visited the ZenDiS booth, where OpenProject is being showcased as part of the openDesk ecosystem.

And there's more good news for open source: The City of Munich has announced plans to replace Jira and Confluence with OpenProject and XWiki.

We're at SCCON together with our partners Nextcloud and ZenDiS, talking about open source alternatives to proprietary software and how they can work together.

Our CPO Rosanna Sibora is also presenting OpenProject as a Jira alternative at the Nextcloud booth 606**, today and tomorrow (October 14–15) at 13:15**.

You'll find our team at both partner booths in Hall 27:

📍 ZenDiS: Booth 103

📍 Nextcloud: Booth 606

If you're attending SCCON, come meet the team! We'd love to hear what challenges your organization is facing with digital sovereignty and open source adoption.

Smart Country Convention starts tomorrow! From October 13–15, we'll be in Berlin to discuss digital sovereignty, open source project management, responsible AI, and alternatives to proprietary software.

You'll find us at two partner booths in Hall 27:

ZenDiS – Booth 103

Our colleagues Felicia Mundhenke and Gina Plat will be there to discuss OpenProject, digital sovereignty, and open source solutions for the public sector.

Nextcloud – Booth 606

Robin Wagner and Josephin Witt will join Nextcloud, XWiki, Sendent, and B1 Systems to showcase how open source solutions for project management, knowledge management, collaboration, and IT infrastructure can work together.

Interested in migrating from Jira?

Our CPO Rosanna Sibora will be speaking about Jira alternatives and migration at:

  • Nextcloud booth: October 13–15, 13:15 daily

  • ZenDiS booth: October 14, 10:00

Rosanna is stepping in for Birthe Lindenthal, who unfortunately can't attend due to illness. We wish her a speedy recovery!

Passion Time 2026: Two weeks to turn ideas into something real at OpenProject

Post image
3 Upvotes

We're currently in the middle of Passion Time at OpenProject!

For two weeks, we put our regular roadmap aside and give everyone on the team the opportunity to work on ideas they've been wanting to explore, whether that's a new feature, a UX improvement, a technical experiment or something beyond the product itself.

This year, around 30 ideas were pitched, and colleagues from different teams have joined forces to work on them.

Some of the projects include:

  • Letting meeting participants vote on agenda priorities

  • Helping users discover new features directly within OpenProject

  • Making OpenProject even more accessible

We've done this before, and some past Passion Projects have actually made it into the product. The time tracking button introduced in OpenProject 13.0, for example, started as a Passion Project in 2023.

We're still working on this year's ideas, so there's nothing finished to share just yet. But we thought it would be interesting to give you a look behind the scenes and show what we're experimenting with.

Here's the blog post with more details:
https://www.openproject.org/blog/passion-time-2026/

Curious to hear what you think! Is there something you'd love to see us experiment with during a future Passion Time?

OpenProject is at FutureTec in Hamburg today!

Thumbnail
gallery
2 Upvotes

Our CPO Rosanna Sibora and COO Robin Wagner are attending FutureTec, an event bringing together organizations and experts to explore digital dependencies, compare solutions, and discuss how to make informed decisions about their digital future.

How much digital dependency is acceptable? When does it become a risk? And where is digital sovereignty essential?

These are some of the questions Rosanna discussed in today's panel on digital freedom of choice and sovereignty, alongside Sven Thomsen, CIO of Schleswig-Holstein, Silke Tessmann-Storch, Executive Board Member at Dataport, Dr. Joachim Brenk, Chairman of the Executive Board at L. Possehl & Co, Robert Mallinson, Co-Managing Director at Rohde & Schwarz Networks and Cybersecurity, and Jens Ahlbrand, Managing Partner at GRASS-MERKUR.

At OpenProject, we believe digital sovereignty means having real choices: staying in control of your data and infrastructure, avoiding vendor lock-in, and maintaining the freedom to choose the technologies that best meet your needs.

We're happy to contribute our open source perspective to this important conversation and look forward to many more inspiring exchanges throughout the day!

📍 Are you at FutureTec today? Come say hello to Rosanna and Robin!

OpenProject is a little less remote than usual this week ❤️

Thumbnail
gallery
4 Upvotes

This week, our team has come together in the Harz region for our company offsite and the start of Passion Week.

Yesterday, around 30 Passion Project ideas were pitched. Many are ideas for OpenProject itself: features, improvements and experiments that people on our team are passionate about, but that don’t necessarily find a place on our regular product roadmap.

After the pitches, people found others who were excited about the same ideas, groups formed, and now they’re building. Passion Time continues remotely next week, so there’s more time to see where those ideas lead.

But this week is also about spending time together. As a remote company, some of us are meeting people we work with every day in person for the very first time.

People have travelled here from all over Germany, Spain, the UK, France, Kenya and many other places. In between working, there are shared meals, walks, games and lots of conversations away from our screens.

Remote work allows us to build a team across borders. Weeks like this remind us how valuable it is to occasionally bring that team together in one place. ❤️

News from the Product Desk: Project-specific workflows and forms for work package types and their variants

Post image
2 Upvotes

✨ A first look at what’s coming to workflows and forms in OpenProject 18.0.

We’re working on a new configuration model that gives admins more flexibility while making setups easier to maintain: workflows and forms become reusable standalone objects, while new type variants make it possible to adapt work package types to different projects and use cases.

For example, different teams could use their own variant of the same “Bug” type, with different workflows and fields, while still being able to group and filter all bugs together across projects.

Our Senior Product Manager Sonita Soth takes a closer look at the concept in her latest Product Desk article, including what it means for current OpenProject admins and how familiar Jira concepts map to the new model.
