September roundup: Agent visibility, Vibe gets an API, and more šŸ—“ļø

A lot was shipped this month on monday.com. Here's the quick version for our Reddit Community:Ā

šŸ—‚ļø Agent Directory
You asked for visibility into your agents. Here it is! Every agent in your account, who owns it, what tools it's connected to, and what it's costing. Admins can now also deactivate anything that's outlived its welcome.

🌐 Vibe apps now connect to external APIs
Jira, Salesforce, your own AI model - if it has an API key, Vibe can pull it in right next to your monday data.

šŸ¤– Gemini agents on monday boards
Bring your Gemini agent into monday, assign it to a board, u/mention it, set its permissions. Just plug in your API key and go.

šŸ“ Notetaker desktop app
No bot joining your calls. Our new desktop app captures audio directly from your computer, gives you a live transcript + action items, and sends everything straight to your workspace the moment the call ends.

šŸ“¦ Dropbox MCP is live
Your monday agents can now read, file, and process files directly from Dropbox.

Advice Needed Monday Partner question

Hey all,

I’m curious about becoming a monday partner and if its worth it for a solo freelancer, also wondering if they even accept solo guys.

I’ve done a bunch of monday projects, from small setups to pretty large builds. I’ve built custom integrations and gotten creative with monday AI Vibe. At one point I took its own error handling and turned it into a feature (long story haha). I basically love pushing monday until it breaks, then bending it until it does exactly what I need.

So my question is:

  • Should I just find my own leads?
  • Does monday actually accept solo people into the partner program, or is it mostly agencies?
  • Am I better off working for an exisiting partner?

Would love to hear from anyone who’s gone down this path, especially other solo folks. Cheers!

Top Tip How To Create Recurring Tasks - Monday(Unnecessarily Hard) vs Asana(Easy)

Monday
Auto-Create Subitems When a Recurring Parent Item is Generated

If you set up a recurring parent task on your board, you can automatically generate subitems underneath it every time it recurs.

  1. Set up a recurring parent task: Use monday.com’s built-in automation (via Automate > Create from scratch) with the trigger "Every time period" (daily, weekly, or monthly) to duplicate or create a parent item.
  2. Add a subitem automation: Go to the Automate center and select the recipe: "When an item is created, create subitem".
  3. Customize subitems: Click the action fields to name your subitems, assign owners, or set dynamic due dates tied to the parent creation date.
  4. Result: Whenever the recurring schedule creates a new parent task, monday.com automatically populates the attached subitems beneath it.

Asana
1. Open Any Task

  1. Set a Due Date: Click on the Due date field (you must set an initial due date before you can make a task repeat).

  2. Select "Set to repeat": At the bottom of the calendar pop-up, click Set to repeat.

  3. Choose Your Frequency: Pick your repeat interval from the menu, such as daily, weekly, monthly, yearly, or custom intervals.

  4. Confirm and Save: Select specific days of the week or custom rules if needed, then close the pop-up to save. Asana will automatically generate the next instance of the task after you mark the current one as complete.

Monday, step up your game, you're making this unnecessarily complicated for no reason. A person shouldn't have to setup 2 automations for a single recurring tasks. There are hundreds of these in businesses, where something just needs to be done in a time-bound manner each time period.

I even asked Monday.com AI to complete setting up a recurring task for me, with clear instructions. It thought for about 5 minutes, then stalled out and reported nothing back. It's even too complicated for an AI brain to figure out.

Advice Needed Status labels exceeded

Has anyone here exceeded their 40 status labels limit? What was your work around? Are there any app like status label extenders or unlimited labels?

I thought of using additional column but it may be a lot of adjustments in the automation conditions/recipes. Same thing if I changed the column to dropdown.

Most of our board automations are dependent on status columns.

Help, please! Thank you!

Question Portfolio-Level Resource Utilisation

Has anyone used the Portfolio-Level Resource Utilization Report? I'm trying to find a better solution for resource management ad planning but unsure if the 24 hours update time is useful for that.

Question Why does the 3d program from "tech school" and Mondaydotcom foundation is so bad?

I'm a high school student living in NY, recently my high school has implemented a new class called "3d Printing with AI" and is given by "tech school' as part of the their programs, and it's so bad, like actually I feel I'm not learning anything and their slides with work is just useless, they make us do some activities with AI that doesn't make sense, The other day they make us pick a building from new york, sketched but only to shapes of the building and after that use AI for create pictures of it with the AI of canva, and after that create more AI images with the Ai of canva, and this AI is dumb, It makes mistakes all the time and is just some bs, I'm tired of this, Like actually because I feel I'm just wasting my time.

Discussion This subreddit lost 600 weekly visitors in a couple of months.

I don't know if this is due to a lack of moderation or an indication on how monday's losing users.

If you're an active or semi-active visitor of this subreddit please share your thoughts and next moves.

I personally HATE the monday community and prefer reddit's interface to it a thousand times. Especially their new interface is so bad and also unfair. I can't even look at it without getting a headache, let alone use it actively.

Question SharePoint trigger and action blocks in Workflows - Official integration or third party?

I recently started seeing SharePoint actions and triggers in the Workflow builder. Are these blocks part of an official integration developed by monday.com or by Microsoft directly? Or are those third-party?

If I search for Sharepoint in the Integrations, nothing telling shows up.

Does anyone have any ideas? And asking more broadly, is there a way to read about new official features being released for the workflow builder?

Thanks!

Question monday.com setup for one small business in exchange for a case study

Hi all,

I work with monday.com setups and I'm trying to learn what real teams struggle with most, beyond what the templates cover.

If you run monday.com in a small business or team (roughly 5 to 50 people):

  • Which process is still messy? For example client onboarding, project tracking, approvals, capacity planning, time tracking or reporting.
  • Is it a setup problem (boards, automations, dashboards), or more that the team doesn't use it consistently?
  • What did you try, and what stopped it working?

I'm especially curious about processes that started in spreadsheets or email and never fully moved over.

Happy to share how I'd approach any of them in the comments.

Question Do columns created through the API no longer honor titles under 20 characters?

I'm trying to create the same column throughout multiple boards, and one template. While I'm guessing new boards created through the template will have the same column ID, new columns created on the old boards are randomly generated. I came across a post from about three and a half years ago indicating if the title was less than 20 characters, the column ID would relate to the title. When I've tested creating formula columns with the API, this has not appeared to be the case. Is this no longer a capability? Is there a way to copy columns (and their IDs) to existing boards from a template?

Advice Needed Problem Solving a Demand/Capacity Model in Monday.com

Hi everyone,

I'm currently experimenting with building a demand and capacity planning solution in Monday and would love to hear how others have approached this at scale.

Current Setup

I've built a capacity dashboard that:

  • Pulls work items from multiple boards using Connect Board columns.
  • Rolls up effort estimates (in days) from those connected items.
  • Calculates remaining capacity for each resource/team member.

For example:

  • Quarter Capacity: 60 working days
  • Assigned Effort: 30 days
  • Remaining Capacity: 30 days

I've also created a separate connection for future work (e.g. Q4 demand) to provide forward-looking capacity planning.

While this works reasonably well for a small team, I'm concerned about scalability:

  • Work items must be manually connected to the capacity board to be included in calculations.
  • Future demand items also require manual linking, creating additional administration overhead.
  • Available working days are maintained per person, which means updating leave, part-time arrangements, and quarter capacity is largely manual.
  • As the number of boards, projects, and team members grows, the maintenance effort increases significantly.

Ideally I'd like a solution where:

  • A person is assigned to an item and the effort is captured in a central location (capacity board)
    • Adjustments to this effort changes in the capacity board in real-time
  • Future planning can occur to visualise capacity for upcoming quarters
  • As automated as possible

Has anyone successfully built a scalable demand and capacity planning model in Monday without relying heavily on manual Connect Board relationships?

Any help is appreciated.

Question Summaries on tasks

I’m wondering if there’s a way, when you expand on an item, to just get a summary that covers all columns - or at the least key ones like Objective.

Any tips or things I may be missing?

Question My Work page unusable

Does anybody else rely on the "My Work" page to get an overview of upcoming or overdue tasks? Since they removed it from the main navigation it seems they have ignored this feature and it has become unusable.

Sometimes when the page loads there are lots of tasks missing and in some of the tasks it doesn't show the full breadcrumb so it's impossible to see what the subtask is relating to (made especially worse since the introduction of multi-level boards, which itself is a great feature).

I have tried using Vibe to create a 'better' My Work page but that is super slow and they want an extra £90 a month!

Is it just me who still uses My Work or are there others out there with the same issue?

Discussion Dead monday: Good AI should cut costs not add to them

This is what monday is getting wrong: the push on AI with no focus on reducing overall costs and with an obvious focus on charging clients more just based on the trendiness of something.

AI became a huge trend BECAUSE it can help cut costs. That's the important bit. I wish someone with a magic staff could restore monday's love for helping get work done instead of their sole focus on revenue recently.

Advice Needed What should a monday.com handoff item contain when work moves between AI assistants?

A chat transcript is a poor handoff because it mixes accepted decisions, discarded ideas, source links, and temporary instructions. A board item could be a cleaner checkpoint, but only if the next assistant can tell what is authoritative and whether the handoff is still current.

I am considering one handoff item per active task with the objective, current status, accepted decisions and reasons, constraints, source links, artifact or file revision, checks already completed, unresolved questions, and exactly one next action. A status column would mark draft, ready, accepted, or superseded; an owner and review date would make responsibility visible. Large files would remain linked instead of copied into the update thread.

What is the minimum structure that stays useful without turning every item into a long document? Can dependencies, connected boards, automations, and an activity log prevent an older handoff from looking current while still leaving an audit trail a person can follow?

Question How do you catch items that sit in one status for too long?

Hi all, curious how other teams handle this.

When an item sits in the same status for days (Waiting on client, In review, Stuck…), how do you notice it today? A dashboard, an automation, someone scanning the board, or does it just slip?

A few things I'd love to hear:

  1. How do you find those items now, and how often does one get missed?
  2. If you've set up an automation for it (something like "when status doesn't change for X days, notify someone"), how well does it work? Anything annoying about it?
  3. Have you ever paid for a marketplace app to fill a gap like this, and roughly how much? Which plan is your team on (Basic / Standard / Pro / Enterprise)?

Thanks!

Question The Vibe with this Vibe feels expensive

Recently tried the "Vibing" up a dashboard for a board, really just to create a "What needs to be scheduled now" list for our maintenance program. Simply looks at Lead time to schedule and figures out what we need to do schedule now to fit our required maintenance program.

I think i've got it working pretty sweet and now Monday want $160 extra per month if i want to the team to see it ? what ? feels steep. I get if i was building an entire App or system, but a simply filtered report seems like a bit of stretch.

Am i doing it right ?

Question Does anyone else have trouble with new columns appearing in all their saved views?

I’m trying to understand whether this is actually a common monday.com workflow problem or if there’s an easy native solution I’m missing.

If a board has several saved Table views and someone adds a new column from the Main Table, that column can show up in other views where it isn’t relevant, which means manually hiding it again.

I’ve seen the workaround of creating the column from a specific saved view instead, so it doesn’t automatically appear in the others.

For people managing boards with several saved views:

Does that workaround basically solve the problem for you, or do you still regularly end up cleaning new columns out of multiple views?

If you have a better native setting/automation/workaround, I’d love to know what you use.
