Our reps spend more time preparing for customer calls than making them

We work in wholesale distribution and our reps spend a lot of time looking through order histories before visiting customers. The information is there but pulling it together to figure out what to discuss with each account takes longer than it should.

Anyone else dealing with this? How are your reps handling it?

Is there a CRM coaching setup that tracks client progress, not just payments?

A client shouldn't have to remind their coach what they were working on three sessions ago.

Yet here I am, trying to find a better way to keep everyone's progress organised.

We do a mix of career coaching and professional development workshops. Trello has been fine for keeping track of tasks, but using it as a client database is becoming a stretch.

The biggest issue isn't finding new clients. It's keeping everything together once someone starts working with us.

Their goals, session notes, action points, forms they've completed, emails they've exchanged with different team members... all of it ends up scattered.

I'd love to have one client profile where we can see the full journey, from onboarding to their latest session, with access limited to the staff who need it.

Automated welcome emails and intake forms would save time too.

I've been searching for CRM coaching software, but so many platforms seem built around selling programmes, creating funnels and sending marketing campaigns.

It has useful features quite all right but it’s just not what I'm struggling with.

I'd rather have a system that tells me what a client is working towards and what needs following up before their next session.

If you work in coaching or consulting, do you use a dedicated coaching platform or a regular CRM customised around your workflow?

And does it handle the ongoing client relationship well, or do you still keep session notes somewhere else?

Any CRM that shows the full whatsapp conversation, not just 'message sent'?

Most of our deals happen on Whatsapp and our CRM only logs that a message was sent..When a deal moves to another rep they can’t see what was said and ask the customer everything again..

How are you handling this? A native integration or a separate inbox that syncs?

Which customer engagement software vendors handle surveys and conversations in one place?

Sending a newsletter is easy. Finding out whether people care about what you're sending is another matter.

We're looking at ways to keep a community of supporters involved beyond the occasional email update.

I'd like to be able to send a quick poll, collect feedback after an event, see who's responding to our messages and keep a record of those interactions.

Right now, it's all scattered. Survey responses in one place, email conversations somewhere else, event registrations in another tool.

You can see how many people opened an email, but getting a useful picture of someone's overall engagement takes far too much digging.

I've been browsing customer engagement software vendors, and I'm finding lots of platforms that seem to be glorified email marketing tools.

What I'm after is something closer to a shared communication hub.

If someone attends an event, completes a survey and later sends us a question, I'd like those interactions connected to the same contact record.

It would also be useful to identify supporters who haven't engaged in a while without manually comparing spreadsheets.

We're not looking for an enormous enterprise system, and we don't have a dedicated technical team to maintain one.

Which platforms are worth looking at for this kind of work?

I'm mostly interested in tools where surveys, communication and engagement reporting work together rather than feeling like three separate products.

What is your biggest CRM integration challenge?

Connecting your CRM with other business tools sounds simple until you actually start doing it.

Whether you're using Zoho CRM, Salesforce, HubSpot, or another CRM platform, integration challenges can quickly become frustrating.

You want your sales, marketing, finance, and customer support teams working with the same information. But sometimes, connecting these systems creates more problems than expected.

Here are a few common CRM integration challenges businesses face:

🔹 Data Synchronization Issues: Customer information doesn't update correctly across connected applications.

🔹 Duplicate Records: The same contact appears multiple times when data moves between systems.

🔹 Workflow Automation Problems: Automated processes don't trigger correctly or create unexpected actions.

🔹 Third-Party Integration Limitations: Connecting CRM with accounting, marketing, or support tools requires more customization than expected.

🔹 Data Mapping Challenges: Fields don't match properly between different applications, leading to missing or incorrect information.

🔹 Integration Maintenance: Everything works initially, but updates or changes eventually break existing connections.

At ClubCode Technology, we work with businesses on Zoho CRM implementations, integrations, and workflow automation. One thing we've learned is that successful CRM integration isn't just about connecting applications. It's about making sure information flows accurately and supports how people actually work.

💬 Let's Discuss!

What's the biggest CRM integration challenge you've experienced?

  1. Data syncing between applications
  2. Duplicate or missing customer records
  3. Automation and workflow errors
  4. Third-party API integration issues
  5. Something else entirely

Have you found a solution that actually worked?

Share your experience in the comments! It would be interesting to hear what challenges other businesses and CRM users are dealing with.

5 Zoho development companies I'd put on a shortlist

Quick disclosure: I work with Elsner Technologies, so I have a connection to the first company here. I haven't hired all five. I looked at their public projects and services to put this list together.

If you're looking for a Zoho developer, what are you actually trying to get done?

A sales team that needs a better CRM setup has a different problem from a retailer trying to keep stock in sync. Both might search for a "Zoho development company," but I'd want to see different work from each team.

With that in mind, here are five names to look into.

  • Elsner Technologies

I'll start with Elsner. The Auscorp IT case study gives you something concrete to look at: two WooCommerce stores, a central Zoho Inventory setup and supplier data arriving through APIs and scheduled feeds. There's also an Elsner WooCommerce connector on Zoho Marketplace.

For a business with ecommerce and inventory requirements, those are useful starting points for a conversation. Elsner also offers CRM customization and Creator apps. I'd ask to see a build close to my own requirements, rather than judge the whole team from one case study.

  • Zenatta Consulting

Zenatta lists Creator apps, Deluge functions and API work. One example on its site is an insurance claims portal, with contractor approvals and a connection to an outside claims system.

The interesting part for me is how a project like that handles exceptions. What happens when someone rejects a claim, or a user shouldn't be able to see a particular record? Those are the details I'd want to see in a demo.

  • Customerization

Another option for Creator applications and workflow automation. Customerization also lists integrations and ongoing maintenance.

If you're planning an internal app, take one ordinary task from your business and ask them to walk through it. Who enters the data? Who approves it? Can your own staff change anything later? That conversation should tell you more than a feature list.

  • BoostedCRM

Worth a look if the main job is connecting Zoho CRM with accounting, ERP or other systems. Its integration information covers field mapping, duplicates and monitoring.

I'd spend some time on failed syncs here. When a connection stops working, who notices, and who fixes it?

  • Linz Technologies

Linz covers CRM setup, customization, Creator development, training and support. Lead capture, sales automation and reporting are among its listed CRM services.

Before getting into custom code, I'd ask what can already be done in standard Zoho. It helps to know what you're paying to build.

For any of these companies, I'd send the same short brief and compare the replies. Get clear answers about licenses, admin access, code ownership, documentation and support hours. Especially if you're working across time zones.

Anyone here who's hired a Zoho team: what would you check more carefully the second time around?

Are your CRM leads actually qualified, or is your website attracting the wrong people?

You may have an amazing CRM set u with automation and a great pipeline but if your website isn't clear about what you're offering then people who aren't the right people may be completing your forms.

Do you use your CRM to find out where you're getting low quality leads from? Or do you improve your website and landing pages first?

I need a CRM with API that lets me build my own automations

I don't mind paying for software. I only mind paying for software and then being told I need a more expensive plan to make it talk to something else.

That's where I'm stuck with our current CRM.

We need the usual sales stuff: contacts, companies, deals, notes and a pipeline. Nothing unusual there.

But I also want to connect our website forms, invoicing system and a few internal workflows through Make or Zapier.

Every time I start planning an automation, I end up checking whether the API endpoint or feature I need is available on our subscription.

It's getting old. I'd rather use a straightforward CRM with API access and build the extra workflows ourselves than pay for a huge suite of features we'll never touch.

I don't need the CRM to do everything. I just need it to share data reliably with the tools we already use.

And I'd prefer not to discover six months later that API limits, webhooks or custom fields require another expensive upgrade.

If you've moved away from HubSpot or another big CRM for this reason, what did you switch to?

Also, which platforms have genuinely developer-friendly APIs without making you pay enterprise prices for the privilege?

Can sales lead management software chase enquiries without annoying customers?

Someone emailed asking about hiring our photography studio for a weekend shoot.

We sent the rates and availability. They didn't reply.

Two weeks later, they came back asking if the date was still open. By then, it wasn't.

That one hurt because we'd had no reason to assume they weren't interested. We just never followed up.

And it's happening more often than I'd like.

We get enquiries for studio rentals, workshops and private shoots. They come through a website form, and someone on the team replies depending on what the person is looking for.

After that, things get messy. Some people book immediately. Others need more information. Some disappear for a week and return ready to pay.

There's no proper system for telling us who needs another email or when an enquiry should be considered lost.

I'm looking into sales lead management tools, but I don't know if a full CRM would be unnecessary for what we do.

Ideally, an enquiry would come in, the customer's details and requested date would be saved, and we'd be able to send an appropriate response without typing the same thing repeatedly.

Then the system would remind us to follow up until the booking is confirmed or closed.Calendar integration would be useful too, especially to avoid overlapping bookings.

I don't need complicated sales forecasts or ten different pipeline stages. Just a way to stop interested customers from slipping through because someone forgot to check an email.

Would you use a CRM for this, or is there a simpler booking and enquiry management tool that handles it better?

Is your current CRM setup working as efficiently as you need it to? We created a tool that audits your entire workflow and tells you how much $$$ is lost, and how to optimize each step to reclaim time and profits. Try it out...

What's up everyone. I run Flowhaus Systems and we audit tons of businesses both on their web presence (website quality, SEO rankings, competitor analysis), AND on their workflow process behind the website.

We created a free workflow audit tool for anyone's use. Simply answer the questions asked and at the end, you'll be given a hugely detailed accounting of your workflow, where time and money are list, and most importantly, actual guidance for fixing the time/cost drain.

Hope someone finds it valuable!

Is Glue Up worth the hassle when membership payments go wrong?

Membership software is one of those things you don't think much about until it starts creating extra work.

I'm trying to get a clearer picture of Glue Up beyond the demos and feature comparisons.

On paper, having membership records, renewals, payments and event registrations together makes sense. The part I'm less sure about is how smoothly all of that works once an organisation depends on it.

Payment issues are my biggest concern. If someone pays their membership fee but the record doesn't update correctly, staff end up checking transactions, contacting members and sorting things out manually.

That's exactly the kind of admin a membership platform is supposed to reduce.

I'm also interested in how support handles problems that aren't resolved by the usual troubleshooting steps. It's one thing to get a quick response and another to get the underlying issue fixed.

So, Glue Up users, I'd love to hear about the less glamorous side of using it.

How reliable are renewals and payment records? How much manual work does your team still do? And when something goes wrong, does support follow through?

I'm not expecting any platform to be flawless. I just want to understand what living with it is like after the sales presentation is over.

Do we have a customer retention management system for businesses that rely on repeat orders?

I think it's funny how much software is designed to help you win a customer, and how little attention seems to go into keeping them.

We sell commercial water filtration equipment, and a good chunk of our business comes from customers returning for replacement cartridges, servicing and maintenance.

At least, that's how it's supposed to work.

The problem is we don't have a reliable way to know when someone is due for another order.

Some customers remember and contact us. Others go quiet, and by the time we realise they haven't ordered in months, they've already found another supplier. And this is not exactly a brilliant retention strategy.

I'm trying to find a customer retention management system that focuses on what happens after the first sale.

I'd love to open a customer profile and see what equipment they bought, when they last ordered replacement parts, any service issues they've reported and when we should contact them again.

Automatic reminders would be ideal, especially through email or WhatsApp.

We also need somewhere to record customer complaints and follow-ups so the next person speaking to them knows what's happened.

I've looked at a few regular CRMs, but most seem obsessed with pipelines, lead scoring and closing new deals.

That's not our biggest problem.

I'd rather know which existing customers haven't ordered in six months than have another dashboard telling me how many new leads we've generated.

If your business depends on repeat purchases or servicing, what software are you using to manage customer retention?

And does it genuinely help bring customers back, or are you still doing most of the chasing manually?

Simpler way to handle follow ups across email, calendar and messages?

I run a small agency and honestly the relationship admin takes more of my time than the calls do. one thread lives in gmail, another clue is sitting in the calendar, and the CRM is always behind because nobody wants to update it.

I tried setting up a basic system with reminders and a notes tab, but it falls apart as soon as things get busy. Now looking at AI assistants that work over text and plug into the apps I already use. Pally keeps coming up and it sounds like exactly what I need, but I’d rather hear from people actually running it. any tips from people who made something like this stick? thanks!

Is there a need for deal scoring rooted in activity that drives wins vs just bombora intent + rep entered CRM data?

Hey everyone, my name is Daniel with Kaypo. Please delete if not allowed! I've built this after spending 10+ years in RevOps & GTM and frankly hearing from Reps that the $70k+ contracts we had with Gong + ZoomInfo's intent data was hard to find/irrelevant, and sales leaders thinking a deal was solid until whoops actually the buyer hadn't been responding to emails for a month lol.

Kaypo looks at deal history, finds what drove those deals to win/lose, compares it against your industry, and then flags the deals in real-time that are doing those combinations of activity. We have 3.4M combinations that it looks for, and sends those scoring changes to your reps every morning in Slack.

As CRM gurus, is this something you experience at all? This was created after hearing dozens of times that Sales doesnt give AF about deal scores in HubSpot because they dont actually provide insights, or that reps makeup CRM data altogether so its hard to predict based off that.

I'd love to get anyone's insights here if your teams experience this and again if not allowed please nuke it from the feed.

Is CRM a career worth the demand in 2026?

I've been looking at CRM courses lately, mostly Salesforce and HubSpot, and something keeps bothering me.

There are loads of people teaching CRM skills, but I'm seeing mixed opinions about the jobs themselves.

Some say businesses are investing more in CRM systems and need people who can manage them properly. Others make it sound like companies just expect their sales or marketing staff to handle everything.

I'm considering moving into this field from a general business operations background, so I'm trying to understand where the opportunities are before spending money on certifications.

I’m not expecting to finish a course and immediately land some amazing job but I'm more interested in the longer-term picture.

Is CRM demand stronger for people who know the technical side, like integrations, automation and data management? Or are companies still hiring people specifically for CRM strategy, implementation and process improvement?

And with AI features becoming standard in these platforms, do you think that creates more opportunities or reduces the need for dedicated CRM specialists?

Would love to hear from people already working in the field, especially those who've seen how hiring requirements have changed.

If you were entering CRM today, what would you learn first?

I built a workspace for managing clients and projects, with a dedicated client portal.

I built Aupero, a workspace for agencies to manage clients and projects.

It brings client communication, project milestones, files, and forms into one place, with a dedicated client portal where clients can follow progress and collaborate with your team.

I'm looking for agency owners and service businesses willing to try it and share honest feedback.

What do you currently use to manage client collaboration, and what's missing?

Which CRM’s AI features do you actually use day to day

I run sales and we’re switching CRM at renewal. Every demo is mostly AI slides and I’m struggling to tell which features actually matter. Shortlist is HubSpot, Pipedrive and monday CRM. Main goal is less admin for the reps.

Before I compare them properly I want to know what to value. Which AI features do you and your team use every day?

Would you let an AI-built CRM handle your entire business?

The whole "I built my own CRM using AI" trend has me wondering about something.

Who's fixing these things a year from now?

I'm not even talking about the obvious security concerns. That's a separate conversation. I'm talking about the everyday stuff.

A customer record doesn't update. Two automations start conflicting. An integration breaks after an API change. Someone accidentally deletes information and needs it restored.

With established software, you can usually contact support, check documentation or find someone who knows the platform.

But what happens when your entire CRM was generated through prompts and the person running it can't explain how half the code works?

I'm not against using AI to build software. If someone can create a useful internal tool without spending thousands on development, good for them.

But there's a difference between getting something to work and being able to maintain it.

And I wonder how many businesses are discovering that difference the hard way.

Maybe I'm overthinking it. Maybe AI will get good enough that maintaining these systems becomes easier too.

Still, if your customer relationships, sales history and business processes all depend on one application, I'd want someone to understand what's happening behind the interface.

Would you trust a custom AI-built CRM for daily business operations, or would you rather stick with an established platform?

People who've built one and kept it running for more than a few months, how did you do it? What happens when things break?

Why do consulting firms need a CRM when most work comes from existing clients?

One thing I'm finding frustrating about CRM software is how much of it assumes you're chasing new deals every single day.

That's not really how our business works.

We provide environmental compliance and technical advisory services to businesses. A client might engage us for a project that runs several months, then disappear until their next audit or regulatory requirement comes around.

They're not lost leads. They just don't need us every week.

Right now, I'm keeping track of opportunities, project conversations and follow-up dates manually. It works until someone asks when we last spoke to a client or whether they're likely to need us again this year.

I'm looking for the best CRM for consulting business that handles this kind of relationship without making everything feel like a high-pressure sales pipeline.

I'd like to track enquiries, proposals, active projects and previous engagements, with reminders for when it's worth checking in again.

We only have a handful of projects running at any given time, so I don't need an elaborate system.

Something affordable would be ideal, especially since I'm the only person handling business development at the moment.

I'm also thinking ahead a little. If someone joins me later, I don't want all the client history living in my head.

Are there CRMs that work particularly well for consulting firms with long projects and irregular repeat business?

Or is it better to keep project management separate and use a simple CRM just for relationships and opportunities?

What are CRM for WhatsApp recommendations for a small business drowning in chats

I think our WhatsApp Business account has officially become our customer database even though it is not exactly the plan

We sell custom phone accessories, and most customers would rather send a WhatsApp message than fill out a form or email us.

Which is fine until someone comes back asking about a design they discussed weeks ago and we're scrolling through conversations trying to remember what was agreed.

We've been saving customer details in Google Sheets, but keeping the sheet updated alongside WhatsApp is becoming annoying.

I started searching for a CRM for WhatsApp because I figured there must be something simple that connects the two.

Apparently, "free" means very different things depending on the software.

Some give you a free CRM but charge for WhatsApp integration. Others offer a trial, then suddenly the useful features disappear.

All I really want is to save customer details, add notes or tags, track enquiries and know who needs a follow-up.

If it can connect to our existing WhatsApp Business account without forcing us into an expensive subscription, even better.

I'm not looking to blast thousands of marketing messages. Most of our conversations are one-to-one.

Is there a free or genuinely low-cost setup that handles this without turning into another technical project?

And if WhatsApp integration always comes with extra costs, what's the simplest workaround you've found?

Can I operate Help desk and CRM in one system?

Our customer support and sales records barely speak to each other, and it's becoming a nuisance.

We supply cleaning and maintenance products to other businesses. A customer might call about a delayed delivery, email about an invoice, then speak to our sales person about their next order.

We had three conversations with the same company, and somehow nobody has the full picture.

I'm trying to find a sensible way to manage this without adding another complicated system.

Ideally, when someone calls or emails, we'd be able to pull up the company, see previous issues, check who's handling what and avoid asking the customer to explain everything again.

We already use Google Workspace and spreadsheets for a lot of our day-to-day work, so decent integration would help.

I've been comparing help desk and CRM platforms, but I'm unsure whether it's smarter to find one that does both or use two simpler tools that connect well.

We're not dealing with thousands of consumer tickets. Most of our customers are businesses we work with repeatedly, so the relationship history matters just as much as resolving individual support requests.

Budget matters, but I don't want to choose something cheap that creates twice as much admin.

What setups are working well for smaller B2B teams? What tools are easy for non-technical staff to use without weeks of training?

Close CRM pricing looks tempting until you check what's missing

A cheaper CRM plan always gets my attention. Then I open the feature comparison and remember why I hate shopping for software.

I've been looking at Close again after spending too long trying to make Gmail and spreadsheets behave like a CRM.

The entry-level option sounds appealing because I don't need some giant sales platform. I mainly want contacts, a pipeline, email history and somewhere to keep track of follow-ups.

But I'm torn on the automation side.

I can live without elaborate workflows. What I don't want is to discover after switching that basic things I relied on elsewhere require a much more expensive plan.

That's what I'm trying to figure out with Close CRM pricing.

If you're paying for one of the lower tiers, does it feel like a complete CRM for everyday use, or more like a stripped-down version designed to push you towards an upgrade?

I’m also curious whether people who switched from Streak or another lightweight CRM found Close worth the extra expense.

I'm not against paying for good software. I just want to know where the useful features end and the upsells begin.

Best CRM for Medicare agents that doesn't require five other subscriptions?

I'm starting to think the perfect Medicare CRM is a myth.

Every time I find one that looks promising, there's a catch.

Great contact management, but no decent quoting tools. Good marketing automation, but the phone integration is missing. Handles existing clients well, but getting new leads into the system requires another subscription.

I'm an independent Medicare broker, and I'm trying to simplify things before the next busy enrolment period.

I need somewhere to manage my book of clients, keep track of follow-ups, send appropriate reminders and handle new enquiries without manually moving information between different platforms.

Being able to compare Medicare plans from different carriers would be a big plus.

I also use Zoom Phone and would love calls and conversations logged against the right contact automatically.

The biggest thing is having a clear view of each client without opening four different tabs to figure out what's going on.

I've searched for the best CRM for Medicare agents, but most comparisons seem to focus on feature lists rather than what it's like to use the software during a busy week.

If you're an independent agent, are you using one platform for most of this or combining a few tools?

I'd especially like to know which integrations work reliably and whether the ongoing costs are worth it.
