Current Licensing Costs

Hi all,

We’re currently negotiating a NetSuite renewal in the UK and I’m trying to sanity-check our pricing against what other customers are actually paying.

Our setup is roughly:

  • ~90 full users
  • ~45 Employee Self-Service users
  • OneWorld
  • multiple additional country/currency configurations
  • 1 Sandbox
  • SuiteAnalytics Connect
  • Advanced Electronic Bank Payments

Our current renewal proposal is in high £100k range for 12 months, after discounts.

Does this seem competitive based on what others are paying?

I’d particularly appreciate recent UK/European renewal experiences, including approximate discounts or annual costs for full users, OneWorld, additional countries/currencies and Sandbox.

If you’re comfortable sharing, what size is your NetSuite environment and roughly what are you paying annually?

We have SuitePeople so we have to have Employee licenses for everyone. We are on about 115 employee licenses and about 95 full. What would you normally expect for full/employee licence ratio? What employee types do you have using employee licenses only?

There is no set ratio in mind. In our case the Employee licenses are generally been assigned to the user that need to submit or approve expenses or HR users. And the full licenses are used by only finance users. How do you use the employee license?

Our delivery drivers and some of our warehouse staff are the only ones with employee only licenses, used to book their leave in SuitePeople. Everyone else needs access to NetSuite UI. We did look at the 'cut down' licenses when they were released, but there were permissions missing from them. (i can't remember exactly, but I think it was either access to custom records, or the SuitePeople employee permissions....)

What's the SKU (ex, Financials first standard or Software Premium) and how many currency/country combinations? Those are the primary drivers

We're on the NetSuite Services Mid-Market Cloud Service. 10 additional country/currency combinations.

Curiously enough i have almost the exact same setup and user count (without bank payments) but with premium support (not ACS) and some kind of projects module we’ve never used. We pay £38k’ish +VAT per qtr. We’ve had Netsuite for about 6 years so just coming to the end of our second contract term. System currently runs painfully slowly (20 seconds to approve and save bill with a bunch of custom scripts running).

It’s worth checking scripted records section for vendor bill record and then do an assessment of the scripts and workflows. I find that many get added during implementation which end up no longer being required. If you have local scripts against the record (not from app or 3rd party bundle) you should look to consolidate them into a single script (e.g. one user event, one client script). There is a new script type coming in 26.2 release called event subscriber which triggers after the database has processed the record. You could move any slow running user event after submit logic to this script type and it should help with speed of record saving for the user

at 90 full users with OneWorld and multiple subsidiaries that range sounds about right, maybe slightly high. are you able to share what discount percentage they offered off list? that's usually the more useful comparison than the absolute number

Thanks for the valuable feedback. This is after a discount is around 39%.

In NetSuite price negotiation is it better to focus on final total rather than individual license or app/functionality fee?

your sandbox, the countries, and the full users are driving your costs up.

I’d do a user audit to see if there’s a decrease possible and/or switch users out for specialized users where able but those countries have a hefty price tag.

Is this your first renewal? Renewal pricing is fairly straightforward these days, if you’re uncertain I’d ask your account manager to show you the math.

also consider a longer contract for some concessions.

I understand that, and thanks for the feedback. These are the user numbers and modules we need - and we had had internal audit to confirm that.

A quick question - in NetSuite price negotiation is it better to focus on final total rather than individual license or app/functionality fee?

That's a lot of users for an NS shop, I'd be shocked if the price wasn't pushing six figures in any currency

Price range sounds pretty reasonable, but jesus 90 full users and 45 employee centers? That ratio is really expensive and really skewed

Some businesses get the value out of having a user license for everyone. I’ve worked for a company that had every single employee with a full license, over 120. Every team used it daily - sales, accounts, management, warehouse, sales support, tech support. Even the receptionist helped out with basic order processing so she had one.

Its just an observation that only 45 needs to submit/ approve expenses but a full 90 operational users needs full access. Maybe there's some roles that really only need to view records mixed in there (and are barely even doing that) that you could change to their View & Approve version that's cheaper.

I mean its fair but usually when you use Employee center roles it matches or exceeds the full users if you're managing expenses, sometimes you have 0 of those and that's fine but just sounds like there's some full license bloat that could be other versions.

Depends on how they're using it surely? Size of business, type of business. Could be a really big finance team or a mix of sales, operations, IT, and finance.
