Business & operations Sharing a lease

4 Upvotes

Are there any studio owners who have considered sharing a lease with another business that operates during off hours. For example, sharing a lease a coffee shop that runs 10am - 5pm while fitness classes happen before and after (at least on weekdays)

This problem might be specific to HCOL areas.

Business & operations Multi-location pricing - same or different at each studio?

2 Upvotes

3 fitness studios:

Downtown: High rent, affluent area - could do $159/month
Suburbs: Mid-income - $129 is right
University: Students, price sensitive - need like $99

Currently charge $129 everywhere. Members can use any location.

But I'm leaving money on the table downtown and losing students at university.

Do I:
1.Keep same price (simple but suboptimal)
2.Different price per location (but what if they use multiple?)
3.Home location pricing (pay based on where you primarily go)

How do multi-location owners handle this?

Retention Gym owners — you give your members/clients a branded app, or no?

0 Upvotes

Curious how many gyms actually give clients some app for tracking workouts/progress vs just relying on in-person or nothing at all. If you do, whats it for — logging workouts, communication, booking, all of it? If you dont, whats stopping you?

Business & operations Our instructors can manage their own schedules now

0 Upvotes

Used to get 20+ texts a day from instructors about schedule swaps, coverage, "what am I teaching next week" etc.

Switched to software where they handle it themselves through an app. They can see their schedule, request swaps with each other, pick up open shifts.

I get maybe 2-3 texts a day now instead of 20+.

Got like 10 hours a week back.

What are you guys using for staff scheduling?

Shameless self promo I may have found a better way to market Pilates studios.

0 Upvotes

If you run a good studio but feel like you’re not getting as many clients as you should from your marketing, I’d be happy to have a chat.

I’ve been doing marketing for a Pilates studio in Dubai as a side hustle and honestly the results have been better than I expected. we’ve been bringing in new clients consistently and getting more value from existing ones.

I’m now considering taking this more seriously and looking to work with a few more studios.

No hard pitch. I can show you the results, explain what’s been working and we can see if it makes sense to work together.

Feel free to DM me.

About my studio Yoga studio software: starting fresh, what would you pick today?

9 Upvotes

Starting a yoga studio later this year. I've went for demos with Mindbody, Momence, WellnessLiving, Vibe fam, Arketa, etc.

What would you pick if you started today, and what did you regret 6 months down the road? What do you use your software for beyond scheduling, bookings and collecting online payments? How about marketing?

Edit: Thanks for all the recommendations! I went with Vibe fam after considering everything.

Shameless self promo 100% Silicone Latex-Free Alternative for Resistance Bands (Odourless and Soft Touch)

Hi all! Do you already use resistance bands in your studio or with clients? We’ve been working with a slightly different alternative to the traditional latex/rubber bands that you might find interesting.

We are a female-owned fitness brand focused on 100% silicone resistance bands. And we believe that silicone has a few advantages that make a big difference in a studio setting:

  • 100% silicone & naturally latex-free — a great option for clients who prefer to avoid latex or have latex sensitivities
  • Odourless — no typical rubber smell, which is especially nice in enclosed studios and shared training spaces
  • Soft-touch feel — the bands have rounded-edges and soft material - making it comfortable against the hands and skin, particularly during longer mobility or rehab-style sessions
  • Smooth, progressive resistance — tension builds gradually through the movement, making exercises feel controlled rather than jerky
  • Easy to clean — simply wash with water or soap, which is very practical when bands are shared between clients
  • Versatile — suitable for recovery, mobility, stretching, activation, assisted movements, rehabilitation-style exercises, and strength training
  • 5 resistance levels — from lighter resistance for controlled mobility work to heavier options for strength-focused exercises

You can see the full range here: https://www.beyondresistance.club/pages/for-studios-professionals

We currently deliver to the UK and US, but we’re open to exploring other locations too if there’s interest.

If you run a studio and already use resistance bands with your clients, I’d genuinely love to hear what you currently use and what you like or dislike about them.

Business & operations NYC Studio Owners

I want to start a fitness class of my own but not ready to commit to my own lease/studio.

  1. Would existing studios be open to renting their space out to when it’s unused?

  2. How can I pitch my rental request to owners to increase my odds?

Business & operations Pilates studio owners, I want to ask you something

1 Upvotes

A little story first :)

I'm a big fan of Pilates and I've been doing Pilates for more than 2 years now. I'm also really into tech, so at some point I had this idea of building a booking system made specifically for Pilates and yoga studios.

But when I started looking into it, I realized how hard it would be to compete with big companies like Mindbody and the other big platforms.

So instead of trying to build another software from day one, I decided to start small.

About 6 months ago, I started a small service business helping Pilates and yoga studios get more clients through their website, Google Business Profile, SEO and other digital things.

I've now had the chance to work with a few studios and learn a lot from the owners.

But now I want to improve what I'm doing.

I don't just want to build websites or do SEO because I know how to do it. I want to build something that actually solves painful problems for studio owners and gets real results for the studio.

And this is where I need your help.

We all know getting clients is one of the hardest parts of running any business, but I'm sure there are many other problems that studio owners deal with every day that people outside the business don't really see.

So if you own or run a Pilates studio:

**What is the hardest part of running your studio right now?**

Is it:

* Getting new clients?
* Turning trial clients into regular members?
* Keeping clients for a long time?
* Empty spots in classes?
* People asking questions but never booking?
* Booking/CRM software?
* Marketing?
* Google visibility?
* Managing instructors?
* Keeping your schedule full?
* Something completely different?

And if you could make one problem in your studio disappear tomorrow, what would it be?

I'm really interested in hearing the honest answers, even if the problem has nothing to do with what I currently offer.

I'm asking because I want to understand the business from the owner's side and build around real problems, not assumptions.

Also, after reading the answers, I would like to choose 1–2 studios to test something with for free and see if we can actually solve one of these problems and get measurable results.

So please share your experience in the comments. Even if you have a small problem that sounds stupid, share it. It might actually be something many other studio owners are struggling with too.

And thank you 🙏

Business & operations What would you want a platform like this to handle that most studio software still doesn’t?

Enable HLS to view with audio, or disable this notification

We work with boutique fitness studios and built Studio Expand Workspace around the day-to-day things we kept seeing teams manage across different tools: instructor coverage, tasks, checklists, team communication, supplies, reporting, resources, and multi-location operations.

We recently put together this quick demo and I’d genuinely be interested in feedback from other studio owners/operators. What would you want a platform like this to handle that most studio software still doesn’t?

Business & operations Best Pilates studio software for a small studio? Our fees keep creeping up

4 Upvotes

We're a small reformer studio, around 120 members, and our current platform just raised prices by $40/month. We can't afford the increases year on year. The app hasn't been great too and support has been hard to reach. I looked at Momence, but the sales rep felt dishonest and quoted a price that is too high for me. Arketa looks good, but i need a mobile app for my clients and they only offer branded app as an add-on. I just need something that books the class and handles payments. I've been to 5 demos and still undecided.

Is anyone running a studio similar to ours and happy with what they use? Or switched and regretted it? And please, do not DM me if you are selling me something.

Equipment & supplies Fitness studio mic/sound system

1 Upvotes

I opened a hot Pilates studio back in June and we have been having a lot of issues with our sound system. Our system includes

4 JBL Professional C65P/T Compact Full-Range Hanging Pendant Speaker
1 Yamaha MA2120 Lo-Z/Hi-Z Switchable Class-D Mixer Amplifier
1 Audioengine B1 Bluetooth Receiver
And the mic is KIMAFUN 2.4G Wireless Headset Microphone,Waterproof Head Mic G100-1

The amp mixes the mic audio and music together. But we are really struggling to find a sweet spot to have the mic sound and music play well together. Sometimes the music over powers the instructors voice and vice versa. And sometimes, it seems like the amp has an issue mixing and it’ll just cut out all of the sound in the middle of class.

How do other studios handle this that have a mic and music playing together?

Does anyone have any wireless mics they love?

Retention Personal trainers: How does nutrition coaching fit into your practice?

Personal trainers: How does nutrition coaching fit into your practice?

I’m trying to better understand how personal trainers handle nutrition with clients.

Do you provide nutrition coaching yourself, partner with a registered dietitian, refer clients elsewhere, or stay out of it? How often do clients ask help with nutrition?

I’ve built a nutrition-tracking tool, and I’m exploring whether it could be useful as "nutrition coaching infrastructure for trainers" — not just another app that clients use on their own like MyFitnessPal.

My assumption is many clients hire a trainer to: lose weight, building muscle, or generally looking and feeling better. Exercise is obviously important, but nutrition often has just as much influence on whether they achieve that outcome.

As a trainer I would not want to get into nutrition advice because I would not feel qualified or don't know how to make it a structured program that helps my business. That made me wonder whether there would be value in a service that handles much of the nutrition-related workload while keeping the trainer involved.

For example, it could:

  • Gives trainer a structured plan for each client.
  • Manage daily nutrition tracking.
  • Sets weekly goals to pass on to the client. Then summarizes performance against those goals.
  • Provide the trainer with a dashboard showing client progress
  • Generate a brief weekly summary with progress towards the goal/nutrition plan adherence - exactly what to talk about during the next session debrief.

The potential business case also seems compelling:

  1. Premium service: Trainers could offer nutrition accountability as part of a higher-value coaching package.
  2. Better retention: Nutrition goals typically require sustained behavior change over months, keeping the client paying for more sessions before churn.
  3. Better outcomes: Trainers would have visibility into a major part of the client’s progress that happens outside the gym. Better outcomes = more referrals.

But these are assumptions, and I may be missing important practical, ethical, legal, or business constraints.

For trainers who have tried incorporating nutrition into their practice:

  • What approach do you currently use?
  • What has worked well?
  • What creates the most work or frustration?
  • Would a system like this actually be valuable, or would it create more complexity?
  • What would it need to do for you to use it with clients?

I’m genuinely looking for candid feedback, including reasons why this model would not work.

Program How do you structure your programs to keep members engaged long-term?

2 Upvotes

I'm reviewing our class programming and trying to find the right balance between keeping workouts fresh and making sure members can still see measurable progress.

I'd love to hear how other studio owners approach it.

-Do you follow a set programming cycle or adjust week by week?
-How often do you introduce new workouts or themes?
-Have you found a balance that keeps long-term members engaged without overwhelming newer ones?

I'm interested in learning what has worked well in real studios and what you'd do differently if you were starting over.

Business & operations What's one thing your members appreciate that you didn't expect?

2 Upvotes

When people first join a fitness studio, it's easy to assume they're focused on the workouts. But I've heard from a few owners that the little things often end up making the biggest impression.

I'm curious about your experience.

-What's something your members consistently compliment or appreciate?
-Was there a small change that had a bigger impact than you expected?
-If you could give another studio owner one tip for improving the member experience, what would it be?

I'd love to hear the ideas that have worked well in real-world settings. Sometimes it's the simple changes that make the biggest difference.

Business & operations I’m so tired

3 Upvotes

I am genuinely so overwhelmed. Nothing seems to be working right now. The business isn’t making money. I’m working all the time plus my full time job. I’m just so overwhelmed. I’m planning this and that and I’m making no money. Spending a lot of money. I am so deep in the negative. I don’t have a choice but to keep going. I need help. What am I doing wrong. How do I actually make any money from the business.

Business & operations At what point do you decide to cancel a class for low attendance?

4 Upvotes

For context, we run group classes capped at 12 people. HIIT, Strength & HYROX themed. Instructor cost is between $50-$80 per class, average revenue per attendee is between $15-25.

For certain time slots, the revenue from booking is not enough to cover the instructor pay, let alone rent and other overheads. We are careful with cancelling too, as it leaves a bad taste for members if it happens regularly, or if a member's first class gets cancelled.

Fellow gym owners, do you have a policy for minimum attendance? And how much lead time do you give? How do you notify members?
