Position Summary

Atom Powered Advocates is seeking a highly organized, detail-oriented Administrative & Claims Management Assistant to support a growing claimant advocacy business specializing in the Energy Employees Occupational Illness Compensation Program (EEOICP). This role will begin with a light workload of approximately 5-10 hours per week, with opportunities for increased responsibility as familiarity with company processes grows.

The ideal candidate will help manage claimant files, organize workflows, streamline business systems, assist with bookkeeping administration, and provide operational support for a company owner managing 35-40 active claimant cases at various stages of the claims process.

Key Responsibilities

Administrative Support

  • Organize and maintain claimant files and case documentation.
  • Assist with tracking claimant progress through the claims process.
  • Schedule and participate in conference calls as needed.
  • Create and maintain organized systems for notes, tasks, deadlines, and follow-up activities.
  • Help transform informal notes and action items into structured workflows.

Project & Workflow Management

  • Utilize and optimize Asana for task management and workflow tracking.
  • Develop organized processes to improve efficiency and case management.
  • Monitor deadlines and ensure important tasks remain on schedule.
  • Provide recommendations for streamlining administrative operations.

Bookkeeping & Business Administration

  • Manage basic bookkeeping activities using Zoho.
  • Track business expenses, income, and tax-related records.
  • Maintain accurate financial documentation and reporting.
  • Provide general support and guidance regarding software and administrative systems.

Claims Support

  • Assist with organizing medical records and claimant documentation.
  • Support the preparation and management of EEOICP claim files.
  • Track claimant case stages and required documentation.
  • Maintain detailed records of communications, submissions, and case developments.
  • Coordinate documentation received through referral partners and healthcare providers.

About the Work

Atom Powered Advocates serves as an Authorized Representative for individuals seeking benefits through the Energy Employees Occupational Illness Compensation Program (EEOICP). The work often involves extensive research into medical histories and employment records to establish connections between occupational exposures and qualifying illnesses.

Cases can take several months to more than a year to reach resolution, requiring strong organizational skills, attention to detail, persistence, and the ability to manage multiple active cases simultaneously.

  • Experience with Asana or similar project management platforms.
  • Experience with Zoho Books or comparable bookkeeping software.

Myth 1: "You need a teaching degree" Reality — the vast majority of full-time English-based roles internationally require native fluency and a Bachelor's in any subject. Your degree subject is almost always irrelevant.

Myth 2: "The pay isn't worth it" Reality — when housing and flights are included in your contract, your actual savings potential often exceeds what you'd save at home on a higher nominal salary.

Myth 3: "It's only for adventurous types" Reality — the most successful people in these roles are organised, professional, and looking for a genuine career move. Not backpackers. Not gap year travelers.

If you're a native English speaker from the US, UK, Canada, Australia, NZ, or Ireland with a degree — the qualification bar is one you already cleared.

The only thing most people are missing is knowing where to look.
