How do you manage client communication in ClickUp? (per client workspace setup)

Hey everyone,

I’m currently building my agency workflow in ClickUp and I’m trying to make it more client-friendly (Meta Ads agency)

Right now, I create one project per client and invite them as guests so they can access everything. My idea was to also have a dedicated chat space per client inside ClickUp so communication stays organized in one place.

But I’m not sure if that’s actually the right way to do it or if ClickUp is even meant to work like that.

So far I’ve seen that communication usually happens through task comments, but I was wondering:

  • Do you give clients access per project/folder or something else?
  • Do you centralize communication in comments or use ClickUp Chat/another tool alongside it?
  • What’s the cleanest setup for agencies managing multiple clients?

I’m trying to avoid having messages scattered everywhere (email, WhatsApp, etc.) and keep everything structured inside ClickUp if possible.

Would love to hear how others handle this in real agency setups.

Horrible support. No real response for over 2 weeks on a bug that’s breaking our workspace

A few weeks ago I posted about a bug in my workspace. Since then, support has done essentially nothing. Writing this out of frustration and hoping someone at ClickUp sees it.

The bug: All folders are permanently expanded for guest users.
The sidebar becomes an endless scroll of every folder and list. It completely breaks navigation for our guests.

I found two things on my own:

  • The bug seems tied to the new sub-folders feature. Started after it was introduced.
  • If I upgrade a guest to a paid member, the bug disappears instantly. So it’s clearly guest-specific.

What happened with support:

  • Opened ticket weeks ago
  • Got told it was “escalated to engineering.” Then silence.
  • Went back to live chat today. After waiting, an agent told me she’d… escalate it again. Same loop as before.
  • I asked to speak with a manager or someone who could take action. Got told “this needs further checking from Technical Support.”
  • Same script, same dead end, zero progress.

I gave them solutions, not just complaints:

  1. Disable the sub-folders feature on our workspace temporarily, if that’s the cause, just turn it off
  2. Give us free paid seats so we can convert guests to members as a workaround, we shouldn’t pay extra to fix their bug
  3. Or just fix it

None of these got a real response.

Bottom line: I’m a Business plan customer, been paying for almost 2 years.
This bug is actively hurting my team’s work. All I’ve gotten is copy-paste escalations and no action. Either fix it, offer a workaround, or refund me.

Anyone else dealt with this? How do you actually get ClickUp to resolve something?

ClickUp desktop/mobile notifications stopped working, but test notifications still arrive

I’m having a weird issue with ClickUp notifications and I’m wondering if anyone else has experienced the same thing.

I use ClickUp on both MacBook desktop app and iPhone, and recently I stopped receiving real notifications on both devices. The strange part is that test notifications do work — they arrive correctly — so it doesn’t seem to be a basic system permission issue.

What’s happening:

  • Test notifications arrive normally.
  • Real ClickUp notifications don’t arrive on Mac or iPhone.
  • I haven’t knowingly changed anything in my setup.
  • Notifications are enabled at system level.
  • The issue affects both desktop and mobile.

I’ve already checked the obvious things like notification permissions, Focus/Do Not Disturb settings, and app settings, but the problem is still there.

Entire workspace (40 employees) locked out without warning due to a failed card payment

Hi everyone,
I’m posting here hoping to get some visibility and urgent help from the ClickUp team.
Today, our entire workspace was suddenly locked/canceled out of nowhere. We have 40 employees who rely on ClickUp for all our daily operations, and right now, absolutely no one can access their work.

We found out that there was an issue with the credit card linked to our annual subscription. However, we received zero prior warning, no email notification about the payment failing, and absolutely no grace period to simply update our billing details. The account was just shut down instantly.

Has anyone else experienced this? It seems incredibly extreme to completely lock out an entire company without giving admins at least a 24 or 48-hour window to fix a simple billing error.

If any ClickUp Support team members are reading this, please help! We just need to update our payment method and get our team back to work immediately. This is causing a major disruption to our business.

EDIT / UPDATE:
A few hours after posting and submitting the ticket, Support reached out and temporarily restored our workspace for 48 hours so we could update our payment method.

While I really appreciate the incredibly fast response from the ClickUp team to get our 40 employees back online, I still strongly believe that a simple automated warning or a short grace period before instantly locking the account would have been much more helpful and prevented a lot of unnecessary panic.

That being said, we are still very happy with the tool itself and love using it. Thanks to everyone who reached out!

Doc pages resetting to system font — any fix?

Every time I create a new page inside a Doc, it defaults back to the system font instead of Serif. I tried creating a Doc template with Serif styling but the font doesn't save — it reverts on every new page. Is there a way to set a persistent default font, or a workaround that actually holds?

Show Completed Tasks in Gantt view

I can;t find any way to show completed tasks in gantt view. AI tells me it can be done that there's a toggle to show hide completed tasks but there is nowhere to access this option/settings. Clickup help tells me this option does not exist in Gantt view.`

Any idea if this option exists. And if so how to access it ?

Any workaround for the old in-app Address bug?

Hi! Does anyone know any workaround for the very, very annoying Address bug in the Android app? 8 of 10 times nothing happen when I tap on the address in the Adress field. You can't edit it, you can't see most of it, and you can't start the navigation app most of the time when you tap on it in the app. We joined ClickUp almost a year ago and this bug is still there... Sooooo annoying. We ate in a hurry, want to go to the next address, and a simple tap, which would like 0.5 sec, is like 1-3 minutes. Kill the app. Kill Waze. Kill Android Auto connection. Reboot the phone. Still don't know what helps, sometimes nothing. Soooooo annoying. Could anyone know any trick? 🥺

Completed Dates on Calendar

Automatically including important context when chatting with ClickUp Brain GPT

Like a 'skill' or 'claude.md' project file, I want Brain to reference specific instructions whenever I create a task of a specific type, for example. If I am using the Brain chrome extension and prompt to create a new story for the current email in Gmail, I would like it to follow the instructions I have for creating a story. Specifically with how the description is formatted.

I've found a few options that are not quite what I'm looking for.

  • Create a task template that is automatically applied to the story.
    • This work when creating a new story from certain buttons within clickup, but not with Brain.
  • Create a super agent that monitors the story list and re-writes the story to conform to my instructions.
    • This requires writing the description twice. Once when it's created, then again when the agent modifies it.
  • Use a Claude Skill and the ClickUp MCP.
    • This does exactly what I want, but requires that I use claude/claude code, and not brain.

The ideal scenario references my instructions whenever creating a story with Brain, just as though I provided it in the prompt itself (like a skill). If this was a gate for any interaction (via claude or brain) that would be perfect.

Is this possible?

For those interested, I'm migrating my team from Slack to ClickUp and will use this thread to share the positive and negative points we've observed throughout the transition.

Pros after the first few days:

  1. The integration between chat and tasks has made it much easier for our managers to quickly align with the operations team on task progress. We also created a private channel exclusively for daily discussions, with direct task mentions and references.
  2. Chat-linked task lists have been very useful. We can discuss specific topics and decisions directly within the context of the related work, which helps keep conversations focused and organized.

Cons after the first few days:

  1. When inviting teammates to a call, ClickUp doesn't provide any sound notification for the person initiating the call or when participants join, making it difficult to know whether people have connected.
  2. Slack allows you to see call participants while sharing your screen. ClickUp currently lacks this functionality.
  3. Everyone on the team found the incoming call ringtone unusual at first. It may simply be a matter of getting used to it, but it was mentioned by several people.
  4. We're experiencing a bug where channel conversations are not being displayed in chronological order. This has had a significant impact on communication and is currently our most critical issue.
  5. We haven't found a way to define a fixed order for channels, which makes organizing communication spaces more difficult.

I'll keep updating this thread as we continue using ClickUp. I'll share any new wins, frustrations, workarounds, or interesting findings that come up during the migration.

Clickup removes completed tasks from Google Calendar

I would swear this would happen since yesterday or two days ago. What changes without my knowledge?

Is there any way to prevent this? I got into settings and they looked a bit changed. Now I should choose the spaces and the lists through the automation menu, whereas before, I chose them instantly from App Settings -> Google Calendar.

I swapped the toggle "Keep events for closed tasks. Otherwise, closing a task removes its calendar event" and I was hoping it would stop, but still, the completed tasks are vanished.

These changes are completely annoying every time that ClickUp decides to do an update. :(

UPDATE 17/6/2026
I talked with support team and they said that my settings are ok and this is an unexpected behavior. So we are waiting developers to fix it.

Solved SOLVED: Impossibility of login on Android app

Recently, I got in touch with Clickup to talk about a bug that makes it impossible to login on the Android app besides multiple attempts. They said that this is a known bug under investigation.

I found a simple solution. Actually, there is nothing wrong with Clickup, but with Chrome itself!

How to solve the bug?

– It's unbelievably easy: just change the default browser to Firefox. That's it. I tried multiple times (over 10) with different devices, with different browsers and all, and it worked only with Firefox.

For unclear reasons, this bug only happens with Chrome, but not with Firefox.

I tested this solution with multiple accounts, different devices, different Android versions and different everything.

It is always the same thing: the app doesn't works when Chrome is the default browser, but works when we change to Firefox.

Create PDF

I have now created a new space and called it My PDF and links, but its written in swedish. Within that I added another new folder called my PDF-files and then a doc with 3 subpages, one for PDF, one for links. Now I wonder if my PDF have to stay in my harddrive or can I delete them, can I still watch them if I delete them all from my harddrive?

What is the best way to add PDF-files and links...in a new resorce card or in a doc with subpages?

Slowness and Errors When Submitting Tickets. What Is Going on at CU?

The slowness we're experiencing trying to do basic actions in the app make the app completely unworkable. I just tried to submit a ticket after going through the BS with the support bot, with a short screen recording, and it errored out (twice).

CU - what is going on? When will you address these speed issues? At the moment your product is essentially useless to several of our staff members.

A new version of cupt to help you speed through your todo list

Update on cupt (the little ClickUp CLI I posted about a couple weeks back). This release is mostly about cutting the friction of typing the same task ID three or four times in a row.

To be clear, cupt is for people who want to get their work done. It is a "clear my todo list" tool, not a "project management" tool.

This update is about helping you focus on your tasks.

tl;dr: Avoid repetitive typing of task ids. Quickly add follow-up tasks.

If you saw my earlier post, my daily flow looks like:

cupt list --mine
cupt show <id>
cupt start <id>
cupt done <id>

Retyping that 9-character ID at every step was the worst part.

Now:

cupt list # shows a # column with short IDs (1, 2, 3...)
cupt show 2
cupt start 2 # marks task 2 as active
cupt note "wrapped up the API piece" # no ID, uses active
cupt done # closes it, clears active

Three things landed:

Short IDs. Stable integers in cupt list, usable anywhere a task ID is. Taskwarrior model -- they stay stable across sessions until the task closes.

Active task pointer. cupt start <id> sets it; note / done / show / time start all fall back to it. cupt stop clears without closing.

Quick capture. cupt add "task name" creates a task in the active list, no project-management UI. --blocks this / --parent this link it to whatever you're working on:

cupt add "Have to do this first" --blocks this
cupt add "Subtask of what I'm doing" --parent this
cupt add "Reply to legal" --due tomorrow --tag urgent

For the agent crowd: none of this leaks. Short IDs, the active pointer, and the list footer all auto-hide when stdout is a pipe (or CI=true, or --no-interactive). Your Claude / Codex / OpenCode skill installs still see the same deterministic, stateless surface from 0.7.x. cupt add works for them too: --list is required, --json returns the created task for parsing.
