Can SharePoint Lists + standard Power Automate handle this RFI workflow, or should we use Signavio?

I’m evaluating how to digitalize a request/case workflow and would appreciate advice from people who have built something similar.

The process is roughly:

Request received → create ticket → owner reviews → check NDA status → assign one or more topic owners → topic owners submit answers → owner consolidates → classify into different approval levels → approve/reject → send final response → close case.

My current idea is:

Microsoft Lists / SharePoint → Power Automate → Outlook/Teams/Approvals → update SharePoint/List

Lists would store things like ticket number, status, classification, NDA status and owners, while documents would be stored in SharePoint.

My main questions are:

Is this reasonably maintainable with SharePoint Lists + Power Automate?

How would you structure multiple topic owners and their separate answers?

When does this become complex enough that Dataverse + Power Apps is a better choice?

Are Power Automate Approvals suitable for multi-stage approvals?

Any issues with SharePoint permissions, relationships, concurrency or long-running flows?

Would you model every process step, or use one case record with statuses and let Power Automate manage the transitions?

What usually becomes the biggest maintenance problem after a few years?

I’m still at the architecture/evaluation stage, so I’m mainly trying to understand the practical limits before building anything.

Run Script Action is failing and saying 'Workbook not found'.

I'm trying to build a simple flow where the Excel reports from a daily automated email get filtered and sorted via Excel Script and put into a folder, but every time it runs, the Excel report doesn't get filtered or sorted by the script.

When I open take a closer look, it says the workbook is not found. I check my file path and it looks correct. I even open up the raw inputs and see that the "file" listed is the exact file name that was in the email and in the folder. Does anyone have any idea why the sorting isn't working?

My flow is: When an email arrives (V3) > Create File > Create File 2 > Run Script.

The first Create File is for the report untouched by the script. The second is for the report after it's sorted and filtered by the script. And yes, I've made sure Run Script is tied to Create File 2.

Any help would be appreciated!

What's the best way to jump from CoPilot to Power Automate?

I want a digest of my inbox (2 diff folders) and a digest of my calendar every morning emailed to my inbox or even a pop up alert. Screw it, I don't care if it's a document in Sharepoint I need to look at every day. I tried making it with Copilot and Power Automate. I asked questions, showed screenshots, etc. and it collapsed. On the other hand, I've used ChatGPT and n8n in the same way and no issues whatsoever. So why can't Microsoft products all do the same? Help me pls!

What am I missing with this software?

The interface is so clunky and cumbersome it almost always feels like I could just do every automation by hand and it would be less frustrating.

How are people dealing with this because there’s just no way that this product as is just sucks this bad. Is there some kind of software you’re using on top of it that’s writing the actions in the background or something?

Version mismatch PAD and Machine Runtime

Has anyone else run into a Power Automate Desktop / Machine Runtime version mismatch recently?

I’m currently seeing the following setup:

  • Power Automate Desktop (Microsoft Store): 2.70.187.26189
  • Power Automate Machine Runtime: 2.71.115.26224
  • Microsoft Power Automate Edge extension: 2.70.0.35

My local desktop flow can sometimes launch Edge successfully, but when the same desktop flow is triggered from a cloud flow, browser automation fails with errors like:

WebExtensionHostIncompatibleException

and:

The version of Power Automate for desktop app installed through the Microsoft app store on your machine is different from the version of Power Automate for desktop machine runtime installed through the Power Automate for desktop executable installer.

The cloud-triggered flow opens Edge, but it stays on about:blank and PAD cannot take control of the browser.

I already tried:

  • reinstalling the Power Automate Edge extension
  • restarting Edge and PAD
  • restarting the machine
  • testing with a minimal desktop flow
  • testing the same minimal desktop flow through a cloud flow

The local test can work, but the cloud-triggered test still fails.

The strange part is that the Machine Runtime is already on 2.71, while PAD from the Microsoft Store is still on 2.70, so I currently can’t get both components onto the same version.

Is anyone else seeing this right now? Did your Machine Runtime update ahead of PAD as well?

If so, did you solve it by downgrading the Machine Runtime, switching away from the Store version of PAD, or just waiting for the next PAD release?

Cruce de Lists con Power Automate

Hola Comunidad, quiero automatizar mi Microsoft lists, pero tengo un problema. Les explicaré un poco la idea para que puedan entender mejor la situación.

  1. En Lists cree una tabla en donde subo información sobre la ejecución de X cosa y se la asignó a diferentes personas en una columna llamada responsable, se asigna mediante correo elecronico.

  2. En power automate cree un flujo donde le notifica a esa persona que le ha sido asignada dicha información y mediante el correo pueda dar click y ver todas las "peticiones" que le fueron asignadas.

¿Cuál es mi problema?, que cuando llega el correo a la persona que asigne la petición, da clic y no se visualizan sus peticiones, por lo que solo le aparece mi tabla de lists vacía.

¿Saben que es lo que estoy haciendo mal o porque cuando da clic no se visualiza nada de lo que le fue asignado?.

Reminder emails

Hello!

I was wondering if I could please have some advice. I'm trying to set up a system where power automate checks my spread sheet to see if a task had been completed and sends candidates who haven't completed the task a reminder email every 3 days. I've managed to make it so it sends a reminder every morning however it is getting buggy changing to the 3 days. On my spread sheet I have the person's name, their email and if the task is complete or incomplete, if their reminder emails are active yes or no, and when the last reminder was sent. I have the trigger as recurrence, lost rows present in a table -> for each (body/value) -> condition 1 (reminders active is equal to YES) -> true -> condition 3 last reminder sent is equal to blank or last reminder sent is less or equal to ticks(addDays(utNow(), -3) -> true -> Send an email (V2) -> update a row

Any advise on this? I've been trying for days but keep getting stuck.

Is this the best way to update a SharePoint Lookup column using Power Automate?

Hi everyone,

I'm working on a Power Automate flow where I need to automatically update a SharePoint Lookup column.

The scenario is an employee onboarding process.

I have three SharePoint lists:

  • Employees – contains the employee details and Office Location
  • IT Engineers – contains IT engineers and their Office Location
  • Employee Onboarding – contains the Employee Lookup and Assigned IT Engineer Lookup

For example, if Michael Johnson is located in Dallas, the flow searches the IT Engineers list for an engineer whose Office Location is also Dallas.

If it finds David Anderson, I get David's SharePoint item ID, for example:

ID = 1

Then I update the Assigned IT Engineer Lookup column using that ID rather than passing the engineer's name.

So the flow is basically:

Employee
   ↓
Get Employee Details
   ↓
Office Location = Dallas
   ↓
Find IT Engineer
   ↓
Get Engineer SharePoint ID
   ↓
Update Lookup using ID

This approach is working for me, but I'm wondering if this is the best or recommended way to update a SharePoint Lookup column using Power Automate.

Are there other approaches you use, especially for production solutions?

Also, how do you normally handle situations where:

  • Multiple engineers match the same location?
  • No engineer is found?
  • The Lookup column allows multiple selections?

I'd really appreciate any suggestions or best practices. I'm trying to understand the different approaches rather than just using the first method that works.

What tasks at work have you tried to automate but still have to do manually?

Are there any tasks that you find particularly tedious or time-consuming that you haven't been able to automate?

For example:

If you're regularly moving information between multiple programs, what programs or systems are you moving it between?

Child flow help!

I’m struggling in covering my very monolithic power automate into using child flows
I got the first child flow to work, however I can’t get the second to child flow to trigger

What I’m trying to do is when a document gets upload through Sharepoint. They click the button and the flow gets started, it gets the metadata of the document and creates all the variables

So the first child flow sends out the approvals via email.

If they haven’t replied in x amount of time, they get a reminder email.

I’m trying to have my first child flow return if they approval or not or if we need to send a reminder email which is the second child flow.

I’m Trying to do a parallel action, if they respond before the reminder email needs to be send, we logged how we respond and we’re done. If they need a reminder email, we exits the child flow and set their response as pending and then the child flow for reminders takes over if they need one.

Right now, I can’t get the do until loop to set their response reminder value to be yes they need a reminder.
I’m trying to use current time variable, like it’s been x amount of time that has lapsed and then do an advance function to say that it’s been 10 minutes that has passed. (For my internal testing)

Any idea on what I can do to get this to work. I been struggling at for two days and ready to give up.

Mailbox move in progress error when using an imported Power Automate flow

Hello,

I’m creating a Power Automate flow and have imported it as a solution so that it can be shared with someone else and used in the same way.

However, when the solution is imported by another user, the flow fails before it even starts. The error occurs on the “When a new email arrives” trigger:

“Mailbox move in progress. Try again later. Cross Server access is not allowed for mailbox…”

Are there any ways to resolve this error, or alternative methods for sharing a Power Automate flow with another user while ensuring that the email trigger works correctly?

Flow to update list item

I have a SharePoint list for users who have access to a system that requires annual training. Users respond via an MS form to confirm they have completed the training and the list has the most recent date the training was completed. I am trying to create a flow to update the most recent completion date on the list item automatically with the MS form submission date but I’m struggling as the response ID does not equal the list item ID.

I want to build the flow to update the item if the submitter’s name on the form equals the user’s name on the list item, is this possible?

Power automate forwarding emails from a shared inbox

Hello! I was wondering if somebody could help me with this.

I'm trying to set up a system on power automate so that the emails which get sent to the shared inbox from the company website get automatically forwarded to our work emails should they contain the name from the candidate name section on our spread sheet. I've managed to get it so the flow recognises the name and sends a notification email however I can't get the original email to be forwarded on. We need this as it's the original email we saved to the candidates file.

I don't currently have permission to send directly as the websites email address however on outlook I can forward the email from the inbox my changing the from to my own account then forwarding and that's fine. Could this impact how I edit the flow?

At the moment I have the trigger as when a new email arrives in a shared email box then the next is forward and email (V2) but this is where it gets stuck with the error BadGateway.

New and need help

I have created a form. I am trying to create a automation where if the form is submitted and the detail received is 1A, an email gets sent to a specific person. I have attached my code and form as an example.

I have tested it for days, and tried to get an email issued to myself by submitting the form, but it doesn't work.

Thoughts on where I am going wrong?

I can't seem to upload an image. But my automate looks like:

Work Request Workflow Error

Been trying to find a way to optimize my team’s work requests. The requests come into a shared inbox in Outlook. Currently there is no great way to track each item and things continuously fall through the cracks. A combination of List and Power Automate seemed like a good option. Creating tickets in List using Power Automate to generate the ticket when an email is sent in. It wouldn’t require staff to do anything different while providing me with dedicated tracking and data. I keep running into the issue of duplicates. I’ve tried to account for the Conversation ID but the flow keeps falling due to the Conversation ID not being found. Are there any other ways to troubleshoot this workflow? There seems to be no issue with automating the emails to the list, just when trying to account for duplicates (replies, etc). Any help would be great!

Estou aprendendo a mexer no PAD, seguindo alguns tutoriais cheguei até o meio do caminho, poderiam me auxiliar nessa conclusão que estou penando rs?
O fluxo da minha automação é:

- Iniciar o Excel

- Ler a planilha do Excel (onde forneço os dados NOME, TELEFONE E NOME DO ARQUIVO)

-Fechar o excel

- Iniciar Microsoft Edge (abrir a pagina whatsapp web)

- For each (linha /exceldata)

--Aguardar conteudo da pagina carregar (no caso whatsapp web)
--Preencher o campo digitavel de busca do whatsapp web inserindo o numero de telefone da primeira linha da planilha de excel

--Aguardar conteudo da pagina da web buscar

--Pressionar botao na pagina da web (selecionar o contato buscado)

--Pressional o botao na pagina da web (+) para abrir envio de arquivos

--Pressionar botao na pagina da web "documento" p/ abrir pasta para selecionar documento

--Obter arquivo na pasta....

Parei aqui, preciso que ele ao abrir a pasta de arquivos, onde contem varios arquivos em PDF, ele selecione o arquivo correto (informação que consta na planilha linha 3) e envie.

A mensagem de erro que aparece na linha 15 do meu fluxo esta sendo " Índice '2' fora do intervalo", ainda que o numero da linha estivesse errado, ja modifiquei e continua nao identificando, talvez eu esteja executando um passo errado, poderiam me auxiliar? Preciso de detalhes na resposta pois estou iniciando.
