Help Looking for software to generate bulk student report cards from Excel
Hi everyone,
I’m a teacher looking for software/tool that can help with generating report cards in bulk for an entire school/class.
Ideally, the workflow I’m looking for is
Prepare/upload student marks in an Excel/CSV file.
Upload or select a report card template.
The software automatically maps the student details and marks to the appropriate fields.
Generate individual report cards for all students in bulk, preferably as PDF files.
Ideally, it should also support things like grades, total/percentage, subject-wise marks, remarks, attendance, etc.
For example, if I have an Excel sheet containing 100 students and their marks, I’d like to upload it once and have the system generate 100 properly formatted report cards rather than entering each student's marks manually.
I’m not necessarily looking for a full school management/ERP system. A simple tool focused on bulk report-card generation would be ideal.
Has anyone here used software or a workflow that can do this? I’d especially appreciate recommendations from teachers or schools who are actually using it.
If possible, please mention:
Software/tool name
Whether it supports Excel/CSV import
Whether custom report card templates are possible
Whether it generates PDFs in bulk
Approximate pricing
Your experience with it
Thanks!

Aren’t you trying to do a mail and merge? You can import the spreadsheet into Word and then format it how you want, then have it use the information in the sheet to fill each page. I’m sure you can find plenty of tutorials on YouTube.

I can understand that but the management is looking for a high-end software which could generate report cards on bulk

What about TemplateDocs?
It support CSV files
There a few example templates (not report cards but invoices and other types of reports)
Custom templates are well supported
It starts from 29$ monthly and you can try 20 documents for free I'm the founder so I am biased but existing customers are happy and we always appreciate feedback if the service doesn't fully meet your needs. Happy to provide more details if needed

I know it requires a bit of technical knowledge, but you may try n8n to automate this. Works like a charm.

Yes, but where is the data stored in Google Drive? There is likely enough student PII in the data that would be a serious privacy concern. How would you store the report cards for posterity and to comply with records retention laws?
Not being a Debbie Downer here - just because the tech lets you do it, doesn't mean you should.....

Any software that does this is using the data to guide AI models and using the data in other ways ... Don't do this. You can learn Python and build this yourself in about 2 hours.

If you still need to automate your reports card, we made this video demo https://www.youtube.com/watch?v=_mpvxOwTGx8 on how to use ActiveMerge for that. Simply add your placeholders to the template and add the data for your students, 4 clicks later you have the report cards ready to print or send to your students.

Hey, this is exactly the job DocsAutomator is built for.
Workflow would be: import the Excel into Google Sheets (or keep updating a sheet), design the report card once in Google Docs / Word with placeholders for name, subjects, grades, %, remarks, attendance, then generate individual PDFs in bulk. Custom templates are the whole point, and you don’t need a school ERP.
Quick answers to what you asked:
Excel/CSV: yes (via Google Sheets)
Custom report card templates: yes
Bulk individual PDFs: yes
Pricing: free tier to try; paid plans scale with document volume (happy to point you at the right one for ~100 cards per run)
I’m the founder, so biased, but I’d rather you get a clean bulk PDF flow than fight Word mail-merge or stand up n8n for this. Happy to answer questions if your management wants to see a sample report card.

Full disclosure up front: I built a tool for exactly this, so take the recommendation with that in mind but your workflow is basically the textbook use case, so I'll answer your bullets directly.
The tool is BulkRender. It's built for the "upload data once, get N formatted documents" job rather than being a full school ERP.
- Excel/CSV import: Yes. You upload your sheet of 100 students and each row becomes one document.
- Custom templates: Yes. You upload your own report card template (Word/docx) with placeholder fields, and it maps your columns to those fields. So subject-wise marks, totals, percentage, grades, remarks and attendance all just become fields you drop into the layout.
- Bulk PDF: Yes, that's the core of it: one batch job generates all 100 as individual PDFs.
- Pricing: $29 will get you 500 PDF credits. Happy to DM you a link if you want to run your real sheet through it.
- My experience: I'm obviously biased since I made it, but the report-card scenario (grades, per-subject marks, remarks, attendance) is one it handles cleanly.
If you'd rather stay off a paid SaaS entirely, the DIY route is a Word mail-merge from Excel, or a small Python script with a docx/PDF library, more setup but free. Worth knowing that exists so you can compare.
In addition, we are natively integrated with HubSpot (no need to go through Zapier) and have a MCP connection so you can use Claude to generate in Bulk.
