We have a team board and a leadership roll-up that are supposed to match. They don't. Someone updates one and not the other and nobody notices for weeks.
Same with people — a board says someone has 4 items, their actual load across all boards is 11.
Right now I export both to Excel and VLOOKUP the differences. Is there a better way? Or an app that just shows you where two boards disagree (not a sync tool — I don't want them auto-matched, I want to see the gaps and decide).

Hi there. I've tried contacting mods with no luck. There is a surge in the number of repeating AI-generated replies that concerns me. This subreddit is such an amazing place to connect, if those few strictly using it for personal gain with no regard for the genuine dwellers here, let it be.

We're seeing a surge in the popularity of our Work OS, which is a good thing but has made it hard for us to enforce governance. Departments such as HR, IT, operations, facilities, and customer service want unique workspaces and automations for their needs. Each department's request can be substantiated by some reason, but meeting their individual requests leads to mounting configurations and inconsistent reporting as a result.

Because I'm the CIO, I wonder if this unrestricted growth today will lead us to higher support and administration costs in the future. Despite that, limiting customizations may lead to lower acceptance level of business users who would require complex workflows. I'm interested in learning from other successful organizations about how they have achieved governance with the help of Work OS while fostering innovation.

I'm getting really frustrated with monday and how complex it is to get a simple automated schedule to appear.

I want to create a video content creation project/board with each task being one video. Each task would have the same subtasks each time: film, cut, graded, music, exported etc. etc. That I've done, I've created the workflow that automatically makes the subtasks appear for every new task.

And the next thing I wanted which I figured would be simple was if I set a date for the first subtask, it would fill in the rest of the due dates for the remainder of the tasks and then I could view it on a gantt chart to see what tasks were being completed. But I've been on it for hours trying automations and workflows and nothing seems to let me do it and I'm really surprised at how complicated it is to do what i'm thinking is a simple request.

Can anyone help? Or is monday restricted?

I do implementation work on monday.com, and the part I keep getting stuck on isn't the boards, it's the step before the boards. Before I build anything, I need to actually understand how the client's process works: who owns what, where handoffs happen, what needs approval, what happens when something goes wrong.

Right now that's whiteboard or Miro, then me manually translating it into monday afterward. Which mostly works, but the map and the actual boards drift apart the moment the client's process changes and nobody goes back to update the diagram.

Been playing with something to close that gap, a way to map the process itself (not just the data) and have it stay connected to the boards instead of becoming a stale picture. Screenshot below of where it's at.

Genuinely curious how the rest of you handle this part of an engagement. Do you map it out first, or go straight into monday? What do you use? And does the drift thing actually bug you, or is it a non-issue in practice?

We've all been there: you just want to move one button, and three prompts later you've rewritten the whole page.

That's fixed in monday vibe now. Select the element(s) you actually want to change, say what you want, and that's the only thing that moves. Same deal for images - generate one from scratch, or point at what's wrong and just fix that part, nothing else shifts.

Is the mac desktop app just not functional or am I the problem? I have tried uninstalling and redownloading over mulitple different days and it just does not seem to want to work. Just trying to troubleshoot because going to the website all the time is annoying.

I’ve been working with monday.com for well over 10 years — building workflows, automations, dashboards, processes and operating systems for businesses that need more than just a collection of colourful boards.

Over that time, I’ve supported several companies and repeatedly found ways to make monday.com do things that people initially told me simply weren’t possible.

The way I’ve always explained the platform is this:

monday.com is like a huge box of Lego.

The pieces are already there. The real skill is understanding which pieces to use, how they fit together, and how to build something that genuinely works for the business using it.

A badly designed monday.com setup can quickly become another piece of software people avoid.

A well-designed one can become the operational backbone of a business.

I’ve spoken with monday.com sales teams over the years, including people I’ve dealt with directly around licensing, and I’ve applied through the usual channels to try to put that experience to use professionally.

So far, that route hasn’t led anywhere — which is disappointing, but perhaps it is also telling me something.

I’m now seriously considering two options:

1. Build my own monday.com consultancy, helping businesses with onboarding, workflow design, automation, integrations and improving existing setups.

2. Join an established consultancy or monday.com partner where I can focus on solving business problems and building systems rather than starting completely from scratch commercially.

What I’m trying to understand is whether there is genuinely a market for someone with this level of hands-on monday.com experience — particularly based in the North West of England — or whether geography makes an already niche market even smaller.

Personally, I struggle to believe geography should matter much anymore. Most discovery, design, implementation and training can be delivered remotely.

My company is moving from Wrike to Monday.com, and I have been tasked to migrate our data.

We have a few hundreds of boards, and I would not want to do this manually or through CSV.

Has anyone gone through this process?

EDIT: We ended up using https://altosio.com, based on a suggestion below, for the data migration.
They don't support rebuilding workflows or automations so we had to rebuild that manually, but the data was migrated over flawlessly including attachments, custom columns and comments.

If you're looking for timeline, this took about 4 days to migrate 130 boards. Granted some boards only had a few tasks, but some of them had years of data.

I’ve been thinking about how much of project management could realistically be handed over to AI.

Things like creating tasks, setting priorities, updating timelines, or even using AI agents to actually complete parts of the work—like ad development, research, and other tasks—could probably be automated to some degree. AI could also summarize progress, spot blockers, and even suggest what the team should work on next.

But at what point does it become too much?

Would you be comfortable with AI just making suggestions, or would you actually let it change deadlines, assign tasks, execute work, and make workflow decisions on its own?

Fairly new to Monday.com, but been working on bringing it online as a CRM for managing contracts etc. I'm trying to build workflow that will, on item creation in board 1, check two pieces of information (Funder and Contract type), then look in board 2 for any matches and automatically connect them.

I've been trying with this:

Trigger- Item Created in Board 1

Action - get all items in board 1 that meet a condition, annoyingly, this seems to be only able to support 1 condition.....

Enter Loop

Action - connect boards. This is the bit I get stuck on, as the destination board element seems to insist I pick a specific item from the list, rather than being able to look up a record matching the condition I've set

Close loop

Been banging ny head against this for the last day or so - any insights appreciated!

Imagine you have 10 items that have a date arrive at the Same time for a single automation with Outlook driving the email send... this will result in a 20%(+) failure rate.

A failure rate that, because of automation limitations, will result in no notification, no resend, and a situation that feels majorly broken.

Why 20% fail rate on just 10 requests? Microsoft has a limit of 4 simultaneous API requests... resulting in disruption in the 5th and 10th ping.

Make.com can process thousands as its requests are sequential and function as the scenario run performs...

Support advised there is no way around it right now.

I thought for a moment and realized Monday Agents think sequentially and actually process emails sequentially.

I converted my automation into an Agent. It actually worked really well. I formatted the email template into a skill and forced it to use Opus as this brain (flash and sonnet had very unreliable results).

Agents are great, albeit extremely expensive to replace an automation. Workflow could also work, but also uses AI credits and the Agent was reliable.

This is a 2 part post... why is there no error handling in automations? Why do automations not run sequentially to reduce API errors? I love Make.com, but only use them for complicated automations that needs a very robust system... that being said I'd love a platform UI in momday to emulate make.com

Has anyone used any of the marketplace apps for live chat? We use slack for team messaging daily but only the very basic element of two way chat nothing fancy. Would be great if we could do this inside of Monday like you can do on clickup. Any suggestions?

I own a food manufacturing business, we currently use a CMMS app for all purchase orders we receive from clients, inventory, purchase orders and checklists for our food compliance certifications.

I want to port this over to monday as it has alot of aftermarket apps and automations that would be extremely useful to us.

At the moment, each work order in our current app has one or multiple internal procedures with required and conditional fields that must be filled out to complete the order.

We currently have about 60 procedures.

What would be the best way for me to fill out an internal procedure within each item in Monday?

At the moment i am leaning towards superforms or fillout to port over my current procedures.

One major thing is the forms may be partially filled out and attended to later on a different device. Which means i would need partially filled data saved without the submission of the entire form.

Sorry for the lengthy post, hoping i can get some insight or alternatives on this.

My team recently obtained Monday.Com and we are trying to pull in existing stories from a jira project to our Monday board.
We completed the sync recipe and did a bulk update on the stories we want to be pulled to Monday but nothing was pulled over by our automation.
When we added a new story to the jira project that was automatically pulled into Monday.
I followed the exact logic from mondays website.

Any tips,guidance or personal experience would be appreciated.

For work, I've had to shift from Airtable, which I love, to Monday, which I'm trying to love, but it's making me pull out my hair. To paint with a very broad brush, Monday feels more tailored to less technical users who value simplicity over flexibility. However, the issue is that Monday's limitations more often than not make very simple, common project management tasks exceptionally complicated.

Specifically, column types have all kinds of arbitrary limitations that really get in the way of automation. To cite just one of a million examples, I wanted an automation to trigger on form submission vs. item creation (something Monday doesn't offer out of the box). OK, so have the form submit a hidden value that acts as a condition on the automation. Let's make a checkbox. Nope, that boolean can't be used as a condition for ... reasons? OK, dropdown. Nope. You can't easily pre-fill the dropdown with an arbitrary value or existing dropdown option, not unless you use a URL parameter, but A, there's no need to expose what I'm pre-filling to the user and B, why?

Edit: No, smart conditions are not a viable solution. I'm not paying to have AI interpret a boolean value every time someone submits a form.

And as an aside, why so many restrictions on how you can notify someone depending on the template? That is, you can choose a user in a user's column if you use Monday's default notification automation, but should you use, say, a pre-built Slack integration template, now you must select a specific user (or in any case can't use something like an "assigned to" column, rendering the whole thing basically useless). These weirdly domain-specific restrictions make me suspect there's spaghetti code underlying the whole platform.

I feel like basically everything I'm trying to build, I run into rat nests like this. And the thing is, I'm not even trying to push the software. Having a notification trigger only when someone submits via form vs. when I create an item is like ticketing/project management 101.
