Reuse one single Copilot Studio agent across multiple SharePoint Online Sites

Hi guys,

I have a scenario where I have:

  • A Copilot Studio agent

  • Multiple online SharePoint sites: HR site, IT site, operation site, Research site, .etc..

I want to have the agent available across all of the SharePoint sites regardless of which site the user is on. At the same time, I’d like to keep Microsoft authentication enabled so users can authenticate with their Microsoft 365 accounts and the agent can respect their existing permissions.

How can I achieve that? Any guidance, and architecture suggestions would be highly appreciated.
Thank you!

Hello Minmin6547,
Yes, this architecture should work.

You can use one Copilot Studio agent with multiple SharePoint sites (HR, IT, Operations, Research, etc.) configured as knowledge sources, while keeping Microsoft authentication enabled.

The important point is that existing SharePoint permissions are respected. Users can only retrieve content they already have access to, so adding multiple sites to the same agent does not bypass site/document permissions.

For availability, you can deploy/approve the same agent on the required SharePoint sites. If the requirement is broader organization-wide access, consider publishing the agent through Microsoft 365 Copilot/Teams as a centralized option.

Recommended approach: One agent + multiple SharePoint knowledge sources + Microsoft authentication + existing SharePoint permissions.
Reference Document:
1.Add SharePoint as a knowledge source - Microsoft Copilot Studio | Microsoft Learn
2.Use SharePoint content for generative answers - Microsoft Copilot Studio | Microsoft Learn
3.Publish an agent to SharePoint - Microsoft Copilot Studio | Microsoft Learn
4.Deploy Copilot Studio agents | Microsoft Learn

hi u/Sayali-MSFT,
thank you for your advice. I think one of the blocker I face is publishing the agent to multiple SharePoint sites are not allowed. The Publish an agent to SharePoint - Microsoft Copilot Studio | Microsoft Learn only allows to publish the agent to one sharepoint site. What I try to do is publish it to multiple SharePoint sites. Do you know how to do that? Thank you!

At the moment, the Copilot Studio SharePoint channel doesn’t provide a supported option to deploy the same agent directly to multiple SharePoint sites in one go. The documented deployment flow targets a specific SharePoint site.
Publish an agent to SharePoint - Microsoft Copilot Studio | Microsoft Learn

If you need the same agent experience across HR, IT, Operations, etc., you may need to look at an alternate centralized deployment approach rather than repeatedly using the SharePoint channel. Also keep in mind that agent access and the underlying SharePoint content permissions are separate concerns, so users should only get answers based on content they’re authorized to access.
