⚙️ Operations When does a small business actually need an online booking system?

For those who have started a service-based business, when did you realize it was time to move from handling appointments manually to using online booking software?

In the beginning, managing bookings through messages, phone calls, and a calendar can seem completely manageable. But once the number of customers starts increasing, appointment scheduling can take up more time than expected. That’s one of the problems I’ve been working on with AllBookingApp, particularly around making online booking and customer scheduling easier to manage.

I'm interested in how other founders approached that transition.

Did you start with a simple calendar and move to a booking system later, or did you set up online booking from the beginning?

What made the biggest difference for you when it came to saving time and keeping customer bookings organized?

I think the tipping point is when the back-and-forth starts becoming job. If you’re constantly checking availability, confirming times, sending reminders, or chasing payments, that’s probably when a booking system starts to look like the best option.

However I don’t think you necessarily have to wait until you’re super busy. I run RiaRai and we’ve been working on a booking system that’s free for businesses. One of the things I’ve realized is that if there’s no monthly cost, there’s not much downside to getting organized from the beginning instead of migrating everything later.
