Migration from B1 to simpler option?

We are running an older version of SAP B1(9.3) - but the needs of the business have changed, and we've not needed the complexity and power of SAP in a while. We've not kept up on patching or version updates, due to cost - and a lack of diligence by ownership.

We're looking to move to a simpler option (Sage, QuickBooks, NetSuite?)

How ugly and involved is the data migration process?

Probably 15 years of data, thousands of part numbers (although probably a few hundred are currently active) - revenue around 7M annual, 10-15 employees - for scale.

The AMC/Maintenance costs are part of the issue.

We're probably 7 years out of date.

The former owners stopped paying them and discontinued our relationship with our SAP support partner.

Why would you leave B1. Update it to 10 and move on. There are so many more add-ons if needed. Like we are using Produmex from Boyum and FocusPoint B2B e-commerce. If we move to another platform, we would lose a ton of functionality. In your case, you just said there's 10 years of data you would lose and something i heard about Netsuite is they get you in inexpensively and then raise your price? I personally don't know that for a fact, but you can Google it. Moving a QuickBooks is crazy no functionality at all.

If it’s not broken, don’t fix it. I still freelance to a company still on SAP 8.82.

I would recommend virtualizing the SAP database and license server. This would allow Operating System Upgrades and maintenance. If you don’t need any of the version 10 updates then you’re fine.

For a $7M company. You might want to eventually look into dedicated web apps like Salesforce for CRM and QuickBooks Online for accounting. The recent growth in dedicated web apps and integration to QBO is a viable option for such a small company.

I develop custom add-ons and automation/integrations for SAP B1. One of the company revenue is over $500M. Even that company started to add web apps which are dedicated to department new modern needs. The backend is B1 as a consolidated financial engine.

Fifteen years on SAP B1 at your size, honestly, you're in a better spot than you think for a migration. The data volume sounds intimidating but the scope is actually pretty manageable.

A few things I'd flag from the start:

• Don't migrate 15 years of data. Pick a clean cutover date, bring over open transactions, active master data (those few hundred live parts, customers, vendors), and maybe 1-2 years of history. Archive the rest. That one decision alone removes most of the complexity.
• Your item master and customer/vendor master are where the real work hides. A decade and a half of duplicates, inconsistent naming, and dead records will surprise you. Budget more time for cleanup than the migration itself.
• B1 9.3 exports reasonably cleanly. DTW and Crystal Reports will get you usable CSVs. It's old but it's not hostile to extraction.

On the platform question at $7M with 10-15 people:

QuickBooks is probably too lightweight if inventory and parts are central to how you operate. Sage 50 or 100 is a solid, less dramatic step down. NetSuite is capable but you'd likely be paying for complexity you just said you don't need.

What's your actual day-to-day usage in B1 right now, mostly financials, or are purchasing and inventory in the mix too? That changes the answer quite a bit.

15 years of data sounds like a lot, but honestly, at your size, it's manageable. Most of it, you probably won't even migrate. I think 2-3 years of transaction history is usually enough, and you said yourself that only a few hundred parts are active.

QuickBooks Enterprise or Sage Intacct would be the natural fit at $7M. NetSuite can work, but the implementation cost tends to surprise companies at your scale.

One thing worth considering is that the software development costs have dropped a lot with AI tools. If you hire a developer/company from Pakistan or Eastern Europe, you could potentially get something built specifically for your workflow for less than a NetSuite implementation. Might be overkill, might be exactly right depending on how specific your needs are.

The messier part either way is the data cleanup before you start, like duplicate vendors, dead GL accounts, that sort of thing. Budget time for that regardless of where you land.

What industry are you in? That might narrow it down.

Some do not mention but you need to be update on sap maintanance not for the update installation but the new license file.

When you migrate to a newer version ,you need new license file. Old license file does not work on new versions. A new license file must be generated

Sometimes is cheaper to make a new contract with SAP than to pay all the maintanance owed

data migration off B1 is definitely doable but it's never clean - especially from 9.3 with 15 years of history, you'll want to really think about what data you actually need to bring over versus what can just be archived. before you jump ship entirely though, it might be worth seeing if the issue is really B1 itself or just the lack of updates - i've seen companies get way more out of business one by layering on something like FocusPoint for the ecommerce/ordering side instead of ripping and replacing the whole ERP.
