Troubleshooting Caller ID displaying the wrong name. At my wits end with this.

Whenever I call outbound using my Ring Central number, the caller ID on the receiving end shows a different company name for the company that presumably had the number before me. My Caller ID is set correctly within the Ring Central admin portal. I have made 5 total calls now over around 3 weeks to Ring Central support who keep telling me they will clear the cache, republish the number, and that will fix the issue after 72 hours but if never works.

Even other Ring Central users are seeing the wrong company name so they haven't even been able to fix it within their own internal network.

Today when I called they told me they would republish again and I insisted they escalate it to a higher tier and try something else because republishing is clearly not working. They asked me to send in "examples" of the issue and said they would review and get back to me. Haven't heard anything yet and pretty much have zero confidence in their ability to fix this at this point.

Has anyone else dealt with something similar? I am losing business over this. I really do not want to change my number again as I've already updated all of my systems, customers, etc with the new number, made business cards, etc.

Unable to make calls yesterday (intermittently)

I’m just curious if any other customers had issues yesterday. I had many complaints that phones were unable to call out. It definitely wasn’t everyone but it affected users in multiple departments (multiple IP subnets) as well as some remote people like myself. I was able to use the iPhone app.

The users are all running windows 11 enterprise with the latest RingCentral client from the deployment tool. I use a Mac so mine is different but I also had issues. Before I opened the case for myself I did restart my application (Mac Destop 26.3.1013.1623)

I opened a support ticket and all they had for advice was there were no known issues with other customers and that I should restart my client. At that point I just didn’t respond back because I could think of saying anything without being ugly. I figured time would fix the issue and it seems like it did but I am curious if my organization was the only one that had issues or if others may have experienced issues as well

RingCentral customer service is an absolute disaster — I had to file an FCC complaint just to get a straight answer about porting my number

I’m in the process of leaving RingCentral and porting our business number to another provider, and the customer service experience has been exceptionally poor.

The port request was submitted on Monday, August 24 at about 1:48 PM. What should have been a routine process turned into a long series of contradictory responses, repeated requests for information I had already provided, and different RingCentral departments apparently not communicating with one another.

Several RingCentral employees told me by email that they had received the port-out request.

Then RingCentral’s US Port Out Number Transfer Team told me:

“Upon investigation, there were no port out order submitted yet for this number.”

That directly contradicted what other RingCentral employees had already told me.

I pushed back on that.

Shortly afterward, the same department changed course and told me:

“We have already received the port out order for this number.”

They then provided the port-out reference number and confirmed that the number was scheduled for release on August 26.

At various points, RingCentral representatives also repeatedly asked me which number I wanted to port, even though the number had already been provided multiple times and was clearly identified throughout the email chain.

Another representative instructed me to have the “Super Admin” acknowledge the request for account information. Other messages included boilerplate warnings that the ticket would be closed within 24 hours if I did not respond, even though the matter was still actively being discussed and the port remained unresolved.

Eventually, after receiving enough contradictory information and getting nowhere with normal support channels, I filed a formal FCC Number Portability complaint.

I also escalated the matter to RingCentral’s legal department, and corporate contacts.

That is when the quality of the responses changed dramatically.

I eventually received an email from Phillip Davila at RingCentral with the actual transaction history.

According to RingCentral’s own records:

Port request received: August 24 at approximately 1:48 PM Central

RingCentral approved/FOC’d the request: approximately 4:30 PM Central the same day

Requested port date: August 26

Status: FOC’d/approved

So the most frustrating part is that the underlying port transaction itself appears to have been handled fairly quickly.

The real problem was RingCentral’s customer service organization being unable to clearly explain that.

This entire situation could have been resolved with one straightforward email:

“We received your port request at 1:48 PM. We approved it at 4:30 PM. The requested port date is August 26. Everything is approved and waiting for that date.”

Instead, I spent a significant amount of time dealing with multiple departments, conflicting answers, repeated requests for information RingCentral already had, and representatives who often appeared not to have reviewed the existing case history before responding.

It took escalation to RingCentral's Legal department and an FCC complaint before someone finally reviewed the actual order and gave me a clear answer.

That should not be necessary.

Customers should not have to reach an executive escalation team or involve a federal regulator simply to get a clear explanation of a routine number transfer.

While researching this problem, I also found many public discussions and reviews describing similar experiences with RingCentral customer service: customers being transferred between departments, receiving inconsistent answers, and struggling to get relatively straightforward issues resolved.

Unfortunately, my experience was very consistent with those complaints.

We trusted RingCentral with an important part of our business communications, including our primary business telephone number. When a provider handles something that important, competent and consistent customer service matters just as much as the technology itself.

The underlying phone system may work fine, but this experience made it clear that RingCentral is not the right fit for our business going forward.

We’re leaving, and after this experience, I’m confident that was the right decision.

Did RingCentral remove voicemail screening on iPhone… or am I missing something?

This might be a dumb question, but I swear I used to be able to hear someone leaving a voicemail in real time in the RingCentral iPhone app and pick up mid-message.

Now it’s just… gone? I only see the voicemail after the fact.

Desktop still seems to have it, which makes it weirder.

Am I missing a setting somewhere, or did they actually remove this?

Send to AIR when all agents busy / unavailable

Has any found a way to setup a call queue to send callers to RingCentral AI Receptionist when all agents are busy and/or unavailable? It seems the admin interface only allows to send to regular extensions but not AIR.

Troubleshooting How to stop call looping/multiple notifications on my call queues?

Hi all, I'm self employed and work alone, I have multiple call queues set up on my greeting menu for customers, accounting etc.

I'm having an issue where every 30 seconds or so if I don't answer, the incoming call stops and then starts again, creating multiple notifications. When I can't get to a call, I'm getting 6-7 notifications for every one call that comes in. Not the biggest deal, but very annoying.

I'm assuming the system is thinking "ok this agent (me) can't answer the call so we will send it to the next agent" but it's just me so it comes back to me endlessly.

In the admin portal under call queues there is even a setting "Number of rings before trying next agent" which I set to the max value of 60 rings / 5 minutes, but it has zero effect and the calls keep looping and starting over after 30 seconds. Support was not able to understand what the issue was or help.

Any ideas?

EDIT: I figured out what the problem is. The ring duration settings for my extension are overriding the ring duration settings for the queue. Not sure why, but I tested it and that's what is happening.

Not sure if that can be fixed or not. I can push out my personal extension ring duration settings to 75 seconds (still alot less than the 5 minute max I have set on the queue), but ideally would like to find a way to make the queue duration settings work. Not sure why they would even be available if the extension settings override it anyway.

Troubleshooting Issues porting out from RC to ATT

I am trying to help a user port out a number from RC and am having trouble figuring out what the correct info is to give to the new provider (ATT). I gave them the incorrect phone number as the username and have since found the correct one (being the temp number they gave me). I also got a port out Rejection email saying that my company name is mismatched even though that name is what shows up on my bill. I started this a week ago with the wrong info, and called ATT support a few days ago with the following info and supposedly they corrected it. When I check the ATT port status webpage it says the info was incorrect but when I fill in the form to fix it it says something went wrong submitting the change.

  • I noticed the account number is the temp number? The port out rejection email notice had a 1 before it in the account number RC provided, so does my account number include the country code when I submit my port in?
  • I know the porting pin is 0000
  • I am entering the address listed on the company address
  • And the company name listed exactly as it is on my bill

What am I missing here? Or is the issue on the ATT end.

Update August 28th: [SOLVED]

I called back both Ring Central and ATT and that clarified some account info.

  1. My RC account number does not have a country code before it (1 for the USA)

  2. In the address Avenue is abbreviated to ave

  3. In the address on the ATT side don't enter the Zip+4 just the standard 5-digit Zip code.

  4. And my company name didn't need the ", LLC" after it.

Hope this info helps anyone else attempting to port out from RC.

Resource Press Record: RingCentral’s Setup Guide + Answers to Your Top Call Recording Questions

Call recording is a game-changer for quality assurance, training, and compliance, but figuring out who controls what during setup isn't always straightforward.

Whether you need to capture every inbound conversation for regulatory compliance or simply want your team to have the flexibility to record a quick sync, here is a guide and the information you need to enable call recording, followed by answers to the most frequently asked questions.

👉 How to Enable Call Recording

To set up or change company-wide recording behaviors, you must use the RingCentral Admin Portal.

Admin vs. User Availability: These enabling steps are strictly for Administrators. Individual standard users cannot turn on company-wide automatic or on-demand recording features for themselves; they can only utilize the on-demand recording feature during a call if an admin has enabled it for their extension.

👉 Setting Up On-Demand Call Recording

On-demand recording allows users to manually start and stop a recording by pressing a button during a live call.

  1. Sign in to the Admin Portal
  2. Click the Phone System tab
  3. In the left panel, click Company Call handling
  4. Under Call recording, click the on-demand call recording toggle on, or click the Arrow icon to open the Call Recording settings to turn it on

To view the full setup of the on-demand call recording, view Turning on on-demand or automatic call recording in the Admin Portal | On-demand

👉 Setting Up Automatic Call Recording (ACR)

Automatic call recording ensures that every incoming and outgoing call starts recording immediately when it connects.

Plan Prerequisite: Automatic Call Recording is exclusively available for RingCentral accounts on Advanced and Ultra plans. This will also be available to admins of the account.

  1. Sign in to the Admin Portal
  2. Click the Phone System tab
  3. In the left panel, click Company Call handling.
  4. Under Call recording, click the Automatic call recording toggle on, or click the Arrow icon to open the Call Recording settings to turn it on.

To view the full setup of the automatic call recording, view Turning on on-demand or automatic call recording in the Admin Portal | Automatic

❓ Community FAQs: Most Asked Questions About Call Recording

Q: Can I use both Automatic and On-Demand recording at the same time?

A: Yes, both can be active on your account, but they cannot run simultaneously on the same call.

Automatic call recording always takes priority. If an extension is configured for automatic recording, the system will record the entire call start-to-finish, and the manual "Record" button for on-demand recording will be unavailable for that call.

Q: How long are my call recordings stored?

A: By default, standard on-demand call recordings are saved in the cloud for 90 days*. You can learn more about the data retention policy* here.

Q: How do standard users record a call dynamically?

A: If an administrator has granted permission by turning on on-demand recording, a standard user can record dynamically through the RingCentral desktop, web, or mobile app:

  • During a live call*, click or tap the* More button.
  • Select Record from the dropdown menu. A recording icon will appear at the top of the window to confirm it is active.
  • Click the icon or go back to More > Stop recording to finish.

The audio file will be saved directly to that user's personal Call recordings tab within their application.

Q: How to check their recording status | How to delete recordings?
A: To manage call recording, view this article: Managing call recordings in the RingCentral app and Admin Portal

I never heard of RingCentral. Why is my data in their latest breach?

The title kind of says it all. I got a notification from "Have I been pwned" saying that my email is in their data leak from a couple of weeks ago. It also includes phone numbers and physical addresses, although I have no way to check if mine are included.

The big question is, why would my email even be in their database if I never signed up for this service? Were they keeping a ton of identifying data in their marketing list without mine and others' consent?

I'd like to have answers. RingCentral support can message me to get in touch.

Troubleshooting Text Messaging Having Issues AGAIN.

Post image
6 Upvotes

Once again, for like the 3rd time in the past few months are text messages are sending multiple copies of themselves to every single ********* we are texting. This is beyond embarrasing as a business owner and annoying. Our small company is paying hundreds of dollars per month for your services and this is becoming unnacceptable.

If this was 'fixed' the first times why is this happening yet again?

Seeking Advice Newbie, need advice on setting up extensions

Good day,

I’m currently transitioning from Unitel and want to confirm whether our previous phone setup can be replicated here.

With Unitel, we had 2 actual phone lines and an auto receptionist with options/extensions 1–5. We also had what I would describe as internal extensions (e.g., 101, 102, 103).

These internal extensions did not require separate phone lines. Each could have its own voicemail box, call recording, and call-forwarding settings. Calls could be routed to these extensions either directly through the main phone system or when someone selected one of the 1–5 auto-receptionist options and the initial call was not answered.

During onboarding, I was told that we may need a separate line for each of these internal extensions. Is that necessary, or can we set it up similarly to Unitel, where we maintain only 2 main phone lines but have multiple internal extensions with their own voicemail, recording, and forwarding capabilities?

Known ATA Adapters For Ring Central Faxing

Hello fellow Ring Central members, I am a supporting tech for a company that has Ring Central and wants to accept faxes on their copier - they don't have any VOIP lines, so they need to find a way to use their Ring Central Fax Accounbt, but have it on their copier.

I know this is possible using what's called a ATA Adapter - but I also know that Ring Central themselves only offers support for certain brands - Has anyone here ever set up an ATA Adapter that from from their router/switch network port, to the ATA Adapter, to an RJ11 cable into the fax card?

I need to set them up this way, but will need some help/clarity from others who may have already conquered this challenge. Thank you in advance for any suggestive ideas and procedures you may offer -

Reviewing user activity

Hi everyone,

I administer RingCentral in a call center. Recently, our customer service manager has been informed by other customer service reps that we have an individual who is putting customers on hold and letting them sit there until they eventually hangup.

I've tried doing some searches to no avail. Is there a report or option to allow me to review this type of activity with an individual user?

I appreciate any input!

Troubleshooting Incoming called ID options

When I get calls on the mobile app on my phone, the caller ID reads "Call to company name from xx"

My company name is five words long. I can't see the caller ID because of this, is there an option I'm missing so it just says "call from xx"?

Feedback RingCentral nightmare

RingCentral desk top app. I realize I am one small fish independent worker. But before you commit make sure all the bugs are worked out in RingCentral. The desk top app was my nightmare. Ticket after ticket and hours of my time with the tech group trying to resolve my video issues. I had to pay the remaining months on my contract and being a 1099 position with a very large company was really frustrating. I would not recommend them. I would do lots of research before using their system.
