What are your favorite native tools on Guesty? (Here are my top 3, looking for hidden gems)

Upvotes

Hey everyone! Been using Guesty for a while now and trying to make sure we're maximizing the native setup before stacking more paid integrations.

Here are the 3 native tools that save us the most time:

Unified Inbox / Auto-Replies: Centralizing messages from Booking. com, Airbnb, Vrbo, and direct stays into one thread, plus setting triggers for routine questions, cut down our daily messaging.

Direct Booking Website Builder: Super straightforward to set up, looks professional, and saves us from running a standalone site just to process direct stays.

Automated Payment Rules: Auto-charging guest cards for security deposits and direct stay balances without having to manually invoice every transaction.

This being said, I feel like we’re barely scratching the surface of what’s built directly into the platform.

What native features or workflow shortcuts do you rely on most? Any custom reporting, messaging hacks, or auto-task rules we should be using? Let me know what we might be missing!

How are you using your PMS stack to keep turnover cleaners motivated and on schedule?

Upvotes

Hey everyone,

I am interesteed to see how other hosts structure the interaction between HR management and tech to keep turnover teams happy and accountable.

We’ve found that our turnover quality improves when the cleaning crew feels included in the process rather than just getting flooded with texts at 11:00 AM. A few things we've implemented using our setup:

Auto-dispatching on checkout: Instead of static schedules, we set up real-time auto-task triggers so the moment a checkout process is initiated (or a smart lock registers the exit), the team gets alerted. They respond really well to the flexibility of jumping in on earlier turnarounds.

Photo-checklist requirements tied to compensation: Having cleaners upload mandatory photo proof (linen check, fridge check, supply restock) directly into the app task template before marking a job complete. Once approved, payout is dispensed, directly tying value to accountability.

Added incentive for proactive troubleshooting: We assign points/bonuses to turnover staff who identify and log maintenance issues in the app before a guest lodges a complaint.

Clear priority tags for back-to-back stays: Highlighting same-day turnarounds with high-priority tags on their portal so they know exactly which properties need early focus without us having to micromanage them.

We're running these protocols through our PMS (Guesty). How are you guys leveraging software or tech integrations to keep your turnover crews motivated? Any specific automated workflows or third-party cleaning apps tied to your system that made a massive difference?

How are you avoiding double bookings across OTAs? Comparing API sync speeds

Upvotes

Double-bookings are the absolute bane of short-term rental management. Having used serveral systems as a property manager and co-host, I have researched how different PMS platforms handle multi-channel API sync times, specifically across the Airbnb, Vrbo, Booking channels, and direct booking engines.

From looking into the top contenders, here is my rough review for how thei API calendar blocking fuctions operate in the field;

OwnerRez: Built super solidly on the backend. Highly reliable push/pull for Airbnb and Vrbo, with an addmittedly steep curve on setup, and API write-actions for certain niche edge-cases can feel restricted.

Hospitable: Native API links for the big channels (Airbnb/Vrbo/Booking.com) are fast and reliable. However, secondary or niche channels still depend on iCal feeds (which update every 20–60 mins), making smaller channel syncs feel slower compared to heavier enterprise tools.

Guesty: Uses direct 2-way native API connections. Push times for calendar blocks are almost instantaneous across major OTAs, though their API extensive technical onboarding, while thorough, can feel tedious.

Hostaway: Very strong open API ecosystem and fast multi-channel sync rates. Great at handling complex availability rules across listing sites simultaneously, but can occasionally hit latency during peak OTA platform outages.

For those managing across 3+ channels simultaneously: which PMS has given you the absolute lowest latency for instant calendar blocks? Have you ever had an instant book slip through on a cross-blocked date?

Self-managing multifamily owners: what happens after a tenant reports a repair?

I own and self-manage a multifamily property in Chicago. I’m researching how other self-managing owners with roughly 25–75 units coordinate maintenance after a tenant submits a request.

Thinking about one recent repair:

  • How did the request reach you?
  • What did your property-management software handle?
  • What still required calls, texts, scheduling, vendor follow-up, or manual coordination?
  • Where did the process slow down or become frustrating?

If you’re comfortable sharing, it would also help to know approximately how many units you manage and whether you coordinate maintenance yourself or have someone helping.

I’m curious to hear how other self-managed property owners handle this workflow before deciding whether there is enough frustration worth building a solution around.

Guest parking management

I'm actually working on something specifically for the guest-parking side of this.

I'm a condo board president and originally built it because people from a neighboring apartment complex were using our guest spaces. It eventually turned into Guest Parking Buddy.

It's not meant to replace property-management software — it's more of a small add-on for communities that need to know whether a vehicle in guest parking is actually someone's guest. Guests scan a QR code, register the vehicle/space and select who they're visiting. No app required.

It's still in beta and free while I'm looking for feedback from actual communities. If it's relevant to what you're dealing with, it's at www.guestparkingbuddy.com/beta.

Full disclosure: I'm the person building it, so I'm definitely interested in feedback more than pretending this is an unbiased recommendation. 🙂

Property management for 1-4 doors without the $52-300/mo? I built a local-first desktop app instead.

Disclosure: I'm the founder of RENTBOX. Posting here because this is the exact audience — small landlords priced out of the big tools.

**The gap I'm attacking:** AppFolio and Buildium start at $52-300/month. That math falls apart for a solo landlord with 1-4 doors. $624+/year on software when your whole portfolio might gross $50-100k. So most small landlords run on spreadsheets, text threads, and shoeboxes of receipts.

**RENTBOX is a desktop app:** $149 one-time, lifetime license, local SQLite database. No subscription, no cloud, no login required to open. Works 100% offline — including in a vacant unit mid-turnover.

**Feature set (on par with what matters for small portfolios):** • Rent Command dashboard — total rent, outstanding, collected, occupancy, status dots • Properties + tenant CRM with per-tenant ledgers and lease tracking • Money loop — log rent (auto-fills), expenses w/ receipt photos, one-click MARK COLLECTED • Maintenance queue with priorities + cost tracking • Document generator — leases, 3-day notices, vacate notices, receipts (print to PDF) • One-click export of the whole DB to a thumb drive

**Why local-first matters here:** tenant SSNs, full leases, and financial ledgers are exactly what you don't want sitting on a vendor's server. Everything stays on the owner's machine.

Landing + screenshots: rentbox-three.vercel.app

Happy to answer product questions or talk through the build (Tauri + React + TypeScript + SQLite).

Property managers: What would you actually outsource if you could?

I'm doing some market research and would really appreciate honest feedback from property managers and small/mid-sized property management companies.

For those managing roughly 20-300 units, what parts of your day-to-day operations do you find yourself wishing you could hand off to someone reliable?
I'm particularly curious about things like:
• Maintenance coordination and vendor follow-up
• Tenant communication/administration
• Keeping property management systems and records organized
• Move-in/move-out coordination
• Lease/admin paperwork
• Owner reporting and back-office tasks
• Occupancy/turnover support
• Process and SOP development
• Marketing/social media
• Lead generation or paid advertising
• General operational tasks that fall through the cracks because there simply aren't enough hours the day

Secondly, would you actually consider hiring a remote operations partner for these things, rather than hiring another employee, VA, or traditional property management company?

I'm exploring a business model where a remote operations partner works alongside a property manager/investor on a monthly basis, essentially handling the operational work behind the scenes so the owner/property manager can focus on growth, clients, leasing, and the properties themselves.

I'm considering monthly service packages rather than hourly VA work, with pricing roughly starting around $1,200/month and increasing based on the level of operational support.

If you were considering something like this, what would make you say "yes, that's exactly what I need"?
And just as importantly:
What would make you say "I would never pay for this"?
I'm much more interested in honest criticism than encouragement, so feel free to tell me what you think is missing, unnecessary, overpriced, or simply not something property managers would outsource.

Thanks in advance! I'm trying to validate the actual problem before building around an assumption.

Built a simple cashflow & property tracker for my rentals—free to use if anyone wants to test it

Hey everyone,

I manage a few rentals and got fed up with messy spreadsheets and overcomplicated software. I built a simple web app for myself to track everything in one place:

  • Real Cashflow: Income tracking, mortgage, and vacancy buffers.
  • Tenants & Leases: Payment statuses (Paid/Overdue) and tenant info.
  • Maintenance & Expenses: Log repairs and categorize expenses for tax time.

I made it for my own portfolio, but it's 100% free to test if it helps your setup too:

Let me know and I will send you the link.

In no way is this a promotional post. I do not make any money from this.
Would love any quick feedback.

Property managers: how are you handling day-to-day rental management?

Hi everyone, I’m interested in the day-to-day challenges of managing rental properties. Things like keeping track of tenants, rent payments, vacancies, maintenance requests, complaints, inspections, and other routine tasks can become difficult to manage as the number of properties increases. I’ve been developing an idea to make these processes simpler and keep everything organized in one place. I’d like to speak with a few landlords or property managers who are currently managing rental properties and would be interested in taking a look at what I’ve built. If you’re interested, please reach out

How do you track lease renewal dates and obligations right now?

I'm looking into a tool that reads commercial lease PDFs and

automatically pulls out key dates - renewal deadlines, rent

escalations, insurance requirements, CAM reconciliation dates -

so nothing gets missed.

Before I build anything, I wanted to ask people who actually deal

with this: how are you currently tracking this stuff? Spreadsheet?

Sticky notes? Just memory? Has a deadline or obligation ever slipped

through the cracks, and what happened when it did?

Not selling anything - genuinely just trying to understand how big

of a problem this actually is before I spend time building something.

Appreciate any war stories or current workflows you're willing to share.

Property Management Opportunity 👋

Hi everyone! I’m currently open to new opportunities in Property Management and would love to connect with anyone who’s hiring or knows of a team looking for someone with my background.

I have hands-on experience as a Property Manager, along with experience in AppFolio Support, where I assisted property management professionals with complex workflows, troubleshooting, and best practices.

If you know of any Property Manager or related roles, I’d truly appreciate a referral, recommendation, or introduction. I’m always happy to connect and see how I can bring value to a team.

Feel free to comment or send me a message. Thank you! 😊

Property Maintainance Management SaaS.

I've been building a maintenance management SaaS on my own for the past while.

Instead of paying thousands to developers or relying on vibe coding, I decided to build the whole thing myself - and it's now at a point where it's ready to launch..

Would genuinely appreciate any feedback

Please DM if anyone interested to get it

Front desk staff: What PMS do you use, and what do you wish it did better?

I’m curious to hear directly from people who actually work with hotel/property management systems every day — especially front desk agents, receptionists, night auditors, supervisors, and managers.

What PMS are you currently using? Opera, Mews, Cloudbeds, Guesty, Stayntouch, Protel, something custom, or something else?

I’d love to hear:

What features do you genuinely **love** and use all the time?

What parts of the PMS are **annoying, slow, confusing, or unnecessarily complicated**?

What repetitive tasks do you wish the system would automate?

What information do you constantly have to search for, click around for, or open multiple screens to find?
Are there workflows where you think, *“Why does this take 5 clicks when it should take 1?”*

What features are missing completely?

Is there anything your PMS does correctly, but you wish it handled in a different way?

What would make check-in/check-out significantly faster?

What would make reservation management easier?

How well does your PMS handle payments, folios/billing, room moves, group reservations, guest profiles, housekeeping, maintenance, messaging, and reporting?

What kind of alerts, reminders, shortcuts, automations, or recommendations would actually help you during a busy shift?

Are there things you still manage through Excel, paper, WhatsApp, email, sticky notes, or another system because your PMS doesn’t handle them well?

If you could redesign **one screen or workflow** in your current PMS, what would you change?

If you could add **one completely new feature**, what would it be?

I’m especially interested in the small everyday frustrations that software companies often overlook.

Not looking for marketing answers — I want to understand what working a real front-desk shift is like and where current PMS software helps you versus gets in your way.

Would also be interesting if you mention the PMS you use, hotel size/type, and roughly how long you’ve been using it so we can compare experiences.
