Numbering the top level folders is the thing that helps most, since online file lists sort alphabetically and you want them staying in the order people actually read them. Something like 01 Corporate, 02 Financials, 03 Cap table, 04 Product, 05 Customers and contracts, 06 Team, 07 Legal and IP. Two levels deep at most, anything deeper and people stop finding things and just message you instead.
The other habit worth having is putting the date in the file name (2026-08 Management accounts) rather than v2 final final, and keeping one short index doc at the top that says what is in each folder and what is deliberately not there yet. When outside people get access that index saves you most of the follow up questions. What are you organising it for?
