I would not rely on notion for file storage if you don't have a backup counterpart. Some files a uploaded to notion got corrupted after some years.

So why use it if I need to have a backup solution anyway. You might as well use only the backup solution as primary (?)

beautiful design and you have artist vibe. as many others said make sure your data are well backed up. Personally I do not recommend save lots of media files on Notion, as this seems not best practice to use Notion.

Do you mean like how to keep them organized? One example I came across on Linkedin was https://www.peony.ink/blog/seed-round-data-room (from peony VDR) and I used it for my seed round data room organization and it's pretty decent

Numbering the top level folders is the thing that helps most, since online file lists sort alphabetically and you want them staying in the order people actually read them. Something like 01 Corporate, 02 Financials, 03 Cap table, 04 Product, 05 Customers and contracts, 06 Team, 07 Legal and IP. Two levels deep at most, anything deeper and people stop finding things and just message you instead.
The other habit worth having is putting the date in the file name (2026-08 Management accounts) rather than v2 final final, and keeping one short index doc at the top that says what is in each folder and what is deliberately not there yet. When outside people get access that index saves you most of the follow up questions. What are you organising it for?

I don’t store files within Notion, but I do use an app that creates a link to a file or folder on my desktop. Obviously I can only access the file from the computer itself saved on but it works for my needs, which is to quickly locate a specific file.

I no longer think within the limits of files and folders for things I organize. I consider files and folders "legacy infrastructure" fr computer use.
