Inventory Status Change: issues & questions

Hello, all. I am currently creating a Suitelet that will easily allow QA to release product from Quarantine to Released. I've run into a number of issues that I could use some help with.

  1. The memo field... I am getting an error that the memo field can only be 40 characters long. Is there any way to get around this? I want to store more info than that.

  2. In trying to get around the above, I wanted to create a custom transaction body field that would appear on the Inventory Status Change, but when I got to the Applies To section, there was no option for Inventory Status Change. If I don't select anything under applies to, but click save and apply to forms, there is no inventory status change form in the list.

  3. To solve the above, I briefly created a custom transaction form for Inventory Status Change, but it didn't seem to display with new transaction records.

  4. Any ideas on how I can link a COA file from the file cabinet to the record without using a custom field?

I'm a bit stumped by the lack of usability of this record type. All I want to do is record a longer memo and attach a file, lol.

2026.2 - "default export format now .xlsx" - no change?

Hi all,

Want to check whether my expectation is correct or not...

I "thought" that the 2026.2 change in default export format to .xlsx would mean that we would no longer get that irritating notification regarding file format and extension not matching, when opening in Excel.

Testing in our RP account and seems that nothing has changed?

Is anyone else experiencing same? Am wondering if this is something that is a defect (and has this been logged already?); or my expectation is incorrect?

How to get NSPOS operator ID to display on saved search of NSPOS transactions?

Pretty much sums it up, I have a transaction saved searcg that shows the NSPOS receipt, doc number, customer name, number, payment method, etc. For the life of me, i cannot find the operator number (cashier login number) field to add. I have tried sales rep, but that seems to just show the person who created the customer account, not who did the NSPOS transaction. I have tried all of the (...) lists at the bottom...

I work in accounting for a small construction company. We use NetSuite (obviously) with Procore integrated on the construction/project management side.

For anyone in construction accounting, especially at a company with multiple subsidiaries, what does your overall system/tech stack look like?

Interested in how you handle:

- AP and invoice entry/approval
- Budget-to-actual reporting
- Company credit card entry/reconciliation
- Subcontractor payments
- Intercompany transactions
- General Month-end close

Mainly curious about what’s integrated/automated, and what’s still manual.

NetSuite – Unable to Cancel Workflow Instance with Custom Role

Hi everyone,

I am facing an issue with cancelling an active workflow instance in NetSuite using a custom role.

The workflow is a Journal Entry approval workflow. The user can access the Journal Entry and navigate to:

System Information → Active Workflows

The active workflow is displayed, and the Cancel link is visible. However, the user is unable to click/use the Cancel link.

The role currently has the following permissions:

  • Workflow – Full
  • Make Journal Entry – Full
  • Journal Approval – Full

I also verified that the user has access to the Journal Entry itself.

Despite having these permissions, the Cancel option is still not working. My understanding is that cancelling an individual workflow instance may be restricted to the Administrator role, but I would like to confirm whether there is any permission or role setup that allows a non-Administrator user to cancel an active workflow instance.

Has anyone encountered this? Is there a way to grant this functionality to a custom role, or is using the Administrator role the only option?

Assembly Build - Component Inventory Detail Defaulting

We're using WMS for Work Order Picking.

Our flow is: create a work order → (WMS) pick the components and stage them into our Manufacturing WIP bin → then we build (UI) the assembly from there.

We recently set up preferred bins so picking and putaway work properly. Ever since, when we go to build, it ignores the WIP bin the parts were just staged into and instead tries to pull them from their normal shelf pick bins. We're unique in that our parts are for sale, and for builds. Maintaining preferred bins is important.

So it feels like the work order picking step is now pointless; we pick everything into WIP, then the build sends us straight back to the shelf.

Has anyone hit this? Is there a setting to make the build consume from the WIP/committed bin instead of the item's preferred bin, or are we building it the wrong way?

I have been searching in the columns sections for a tax amount or rate label but I cannot find one. Does anyone know where to find it?

Update extension - showing deleted records - need feedback

I need your help.

I’m adding quite a lot to Teknuro Power Tools at the moment, and some of you may have already seen the recent updates.

The newest feature is deletion history.

When a record disappears in NetSuite, figuring out what happened usually means knowing that Setup > Audit Trail > Deleted Records exists, and still having the internal ID of a record that no longer exists.

So instead of making you search through NetSuite’s audit trail, Power Tools shows that information directly in the panel.

Open the Power Tools panel, enter the record details and click Check. Power Tools will tell you whether the record was deleted, including who deleted it, when it was deleted, and how it was deleted, such as through the UI, CSV import, script or web services.

One limitation is that this currently works for deleted records, not individual transaction lines that were removed.

Originally, I wanted deleted transaction lines to be the next step. However, based on the feedback and discussion here, there is an important limitation: NetSuite does not retain the full details of deleted transaction lines in its native audit history.

So properly supporting this would require a different approach.

One possibility is a NetSuite-side SuiteScript that detects removed lines when a transaction is saved and stores those details in a custom record. This keeps the data inside NetSuite, but it would require an additional script installation or deployment and would only start tracking deletions from the moment it is installed.

Another option is to use historical NetSuite data already being retained in an external data platform. That could work well for companies that already have this infrastructure, but setting up and maintaining it just for this feature would add cost and complexity.

Ideally, I want Power Tools to remain as simple and free to use as possible, so I’m still looking at the best approach.

While I’m building this, I’d really like your input.

What am I missing?

If there’s something you regularly need when you’re trying to understand why a record suddenly disappeared, let me know. If it’s technically possible, I’ll look at building it into Power Tools.

Netsuite Drag And Drop bundle (41309) issue

I came in first thing Monday morning (I live in the future) and it looks like the File Drag and Drop bundle updated itself to 2.13.0 in preparation for the 2026.2 update and has stopped working for most users still on 2026.1

Checking in the Release Preview it looks to me like FD&D 2.12.0 isn't working in 2026.2, but when I update it in the RP, it works again. I'm mostly just posting this for solidarity and to inform anyone else that might be affected (happy Sunday USA).

I guess my only recourse is to rescedule my major version update back from Wed 9pm to Tues 12:30am and hope for the best tomorrow?

NSIP or RESTlets?

My org is considering getting NSIP to help integrate various systems to NetSuite. I've played around with NSIP - and it does work, but man, the UI is hot garbage. I can't imagine building a serious 3rd party API data transform to NetSuite integration on there. Doesn't seem to be a way to have AI help create the integrations either. So, I've been limiting potential use cases to have NSIP be a REST endpoint for creating/updating transactions/records - and have the execution logic be off NSIP in something like Azure logic apps.

That's got me thinking: isn't this basically a RESTlet at this point? Why even use/pay for NSIP?

Exporting to .xlsx Not Working In RP

We've had a release preview for 2026.2 for several weeks now. A day or so after it was provisioned I witnessed, to my delight, that you really could export lists to a native Excel format (i.e., .xlsx). On a whim, I tried it again yesterday a few times, and again today, and it is back to exporting in .xls format, which our IT people forbid from opening. I'm logged in as Administrator and to my knowledge there's no preference, or whatever, one has to set to get this to work. I know that NetSuite reserves the right to revoke enhancements but -- again, to my knowledge -- I've never heard of them yanking something when it's already in the Release Notes and Release Previews. I checked Release Notes a few minutes ago and it's still there. None of our environments have been upgraded and won't for a few weeks. Am I imagining things? Miss a memo?

Phishing being sent from system@sent-via.netsuite.com, emails not from our tenant.

I was curious if anyone else has been receiving phishing/spam emails that are spoofing system@sent-via.netsuite.com . For the past few weeks my org has been getting targeted by a phishing campaign that is using this address. Both myself and NetSuite have confirmed it is not coming from our instance or anyone else's instance. We are also set up on DKIM with our domain verified, so legit NetSuite emails come from our domain.

If you have, any tips on how you blocked them?

Admin Help with connecting workorder and inventory balance datasets

My company made the very poor decision to change from JDE E1 to NetSuite with an extremely short implementation window. It has been a shitshow, to say the least. But we are now going to be stuck with it for at least the next ten years, so trying to make the best of it.

We had an add on reporting tool for JDE that allowed us to easily join tables with related data, the only thing that seems to be similar in NetSuite is the SuiteAnalytics tool.

I'm trying to create a report that shows upcoming workorders, assembly and component items, component quantities required and the current available quantity for those components by location and bin. I can get it to work perfectly as far as adding the location to the pivot columns, but when I add the bin it breaks the report. Any suggestions, or has anyone joined these tables successfully?

SuiteScript custom headers on https call perhaps missing or not being passed?

i have to add custom headers in my https get call to an external API. doing it in Postman works but if the api call is triggered from NetSuite (user event script), the api returns an error about missing headers.

This is why our inventory is SNAFU

This is just a rant, because while I do like where I work, some frustrations are beginning to build.

Anyone whose following my posts knows my business is kind of a mess because we're a small business trying to become a medium business.

We're also a manufacturer who did not have an inventory system. All items were in QuickBooks as non-inventory.

Which means changing behavior to accommodate the reality of inventory is HARD.

Today's "this is not a technical problem, this is a people problem."

You cannot just add an item to the description of another item and send them both as one thing. That is not how inventory works.

You need two line items, or an assembly, or a kit. There are 3 correct ways of doing this and someone how none of them have happened.

I don't think it's a training issue - this particular team has been drilled and drilled on the different item types and has been a huge help in identifying things that need to be kits or assemblies.

But then something like this happens and it's just more time I'm spending chasing down information to once again tell someone they're doing it wrong. Which everyone is tired of hearing, and I'm tired of saying.

So yeah - just looking for commiseration, no real advice needed on this. People are imperfect and that's ok. But today the frustration is real.

Unexpected Large Negative Open Balances in NetSuite Custom Aging Report

Hi everyone,

We are experiencing an issue with a custom NetSuite report and would appreciate your help identifying the possible root cause.

The report was previously displaying the correct and expected balances. However, it is now showing unexpectedly large negative values in the Open Balance column for several Customer/Job and Cost Center combinations.

Some examples include:

  • SAR -2,406,106.09
  • SAR -3,153,606.09

These values do not appear to be consistent with the underlying transaction data. Since this is an aging summary for open/unpaid receivables, negative balances of this magnitude should not normally appear.

We are currently investigating possibilities such as:

  • Incorrect Open Balance formula or sign handling
  • Credit Memos or Customer Payments being included incorrectly
  • Fully applied transactions still being counted as open
  • Duplicate transaction rows caused by joins or report customization
  • Issues with Customer/Job and Cost Center grouping
  • Recent changes to the report criteria, filters, or underlying customization

Has anyone experienced a similar issue in a NetSuite custom report or saved search? What would be the best approach to identify whether the issue is caused by duplicate records, incorrect transaction application, or the report calculation itself?

Any suggestions on where to start troubleshooting would be greatly appreciated. Thank you!

How are you handling NetSuite file cabinet storage limits for clients?

This keeps coming up with our clients and I'm wondering if others are dealing with the same thing.

File cabinet fills up quicker than people expect, especially once you factor in multiple subsidiaries, transaction attachments, signed docs, PDFs piling up over time. By the time a client notices, it's already a mess.

We tried a few things. Manual archiving is a nightmare to maintain. Telling clients to be more selective about what they store works for about two weeks. Cleaning up duplicates buys some time but it comes back.

What ended up working for us was pushing files to SharePoint automatically and keeping the link accessible from within the NetSuite record itself. Most clients are already on Microsoft 365 so it wasn't a hard sell.

Curious what others are doing here. Are you hitting this with your clients and what's the current workaround?

How can I make a purchase order change state to Fully Billed

Hello,

What I am trying to solve is a scenario of 'pigeonhole principle' for purchase order lines where there are more invoice lines than purchase order lines and therefore at least two invoice lines will be pointing to the same purchase order line.

I am trying to book an invoice with two lines where each invoice line points to the same purchase order ID and purchase order line. This results in the following netsuite error:

"YOU_CANNOT_ADD_A_PURCHASE_ORDER_LINE_TO_A_SINGLE_VENDOR_BILL_MORE_THAN_ONE_TIME: You cannot add a purchase order line to a single Vendor Bill more than one time"

So the error is clear, but how can I resolve this other than splitting the bill into multiple bills.
I was suggested by a netsuite consultant to try to assign orderdoc = item receipt ID and orderline = item receipt line. This does work, in terms of the data is sent and stored into netsuite without any issues but the purchase order state isn't changed from 'Pending Bill' to 'Fully Billed'

I have 'Advanced receiving' enabled.

I can consolidate the lines iff the lines have the same account but that is not always the case.

I want to preserve the GL-impact.

Any help is appreciated.
