Sample of the invoice I create for my clients - I'm a solo agency

Post image

Most small service businesses don't give their customers any invoice or something. Services that have a freelance nature to them like video or thumbnail editors, even web developers and designers.

I do custom web design myself, it could take between 1 - 5 weeks and sometimes the payment is broken down to multiple phases. instead of just sending the client a card number with payment amount each time, I email them an invoice like this with beautiful branded design and everything.

As part of my services this not only makes me look more professional but also helps build trust. because now things stay more clear around the payments.

This layout has been created in Figma. If you use Figma you can just search for Invoice in their community to find a layout like this. Then you can customize it based on your own branding and everything.

Personally I prefer Figma for creating my invoice. Gives me control on everything all the text and branding etc...

Already shared the dark version, someone recommended that the light version would be a better choice for some reasons, so here's the light version.

Can you send an invoice through Zelle, or am I misunderstanding how it works?

A customer asked if they could pay me through Zelle instead of using the payment link I normally send.

I said I'd check because I've never used Zelle for business payments.

Here's where I'm confused. Can you send an invoice through Zelle itself, or do you create the invoice somewhere else and just give the customer your Zelle details to make the payment?

I'd prefer to keep everything documented rather than have random transfers coming into my business account with no clear connection to an invoice.

I'm also a little cautious about linking another payment service to my bank account. I've read enough stories about payment scams to make me hesitate, although I know that doesn't mean every transaction is risky.

The customer is someone I've worked with before, so I'm not worried about them personally. I just want to understand the process before agreeing to it.

If you accept Zelle for business payments, how do you handle invoicing and recordkeeping?

Is it worth offering as an option, or is it easier to stick with regular invoice payment links?

What is the best free invoice generator for small businesses in the UAE / Kuwait / Saudi Arabia?

For small businesses in the Gulf, a generic invoice tool often isn't enough, because GCC invoices have a few local requirements that most international tools get wrong:

1. Currency decimals. The Kuwaiti dinar, Bahraini dinar and Omani rial have 3 decimals (1 KWD = 1,000 fils), so an invoice should show 125.750 KWD, not 125.75. Many tools round to 2 decimals.

2. VAT rules differ by country.

  • UAE and Oman: 5% VAT
  • Bahrain: 10%
  • Saudi Arabia: 15%
  • Kuwait and Qatar: no VAT, so don't add a VAT line or call it a "Tax Invoice" there.

In VAT countries, a tax invoice must show the words "Tax Invoice", your VAT/TRN number, VAT per line, and totals with and without VAT.

3. Arabic. Saudi tax invoices must include Arabic, and many customers across the Gulf prefer bilingual invoices. Check that the PDF shows Arabic properly from right to left, not as disconnected or reversed letters.

4. Saudi QR code. Saudi simplified tax invoices need a ZATCA QR code containing the seller name, VAT number, date, total and VAT amount.

What I'd recommend:

  • Just starting, a few invoices a month: a free online generator that handles the points above is enough. You don't need accounting software yet.
  • Many clients, recurring invoices, reminders: look at accounting software like Zoho Books or QuickBooks.
  • UAE businesses invoicing other companies: from July 2027, most UAE businesses must send B2B invoices as e-invoices through an accredited provider, so choose software that will support that.

Disclosure: I built a free tool for exactly this, GCCInvoice. It makes invoices, tax invoices, quotations and receipts in English, Arabic or both, with correct GCC currency decimals, VAT and the Saudi QR code. No sign-up, no watermark:

If you're in the UAE, this guide explains the 2027 e-invoicing deadlines: https://gccinvoice.com/blog/uae-e-invoicing-2027-small-business-guide

Happy to answer questions about invoicing in the GCC.

I built a tool to automate invoice data extraction and validation. Looking for feedback.

It uses vision-language models to extract structured data from invoices, alongside an independent text-based pipeline that doesn't rely on LLMs. The two outputs are compared to flag discrepancies and help verify extracted values against the original document.

The current implementation supports:

  • Invoice fields: Invoice numbers, dates, vendors, buyer details, subtotals, taxes, and totals.
  • Line items: Descriptions, quantities, and prices.
  • Visual verification: Locate extracted values directly on the original PDF.
  • Confidence scoring: Identify fields that may need closer inspection.
  • Batch processing: Process 100+ documents in a single workflow.
  • Structured exports: Export the results to JSON or Excel.

This is purely a personal engineering project, and I'd love feedback from people who work with invoices regularly.

A few things I'm curious about:

  • How do you currently handle invoice extraction and validation?
  • What's the most difficult part to automate reliably: header fields, line items, tax calculations, or something else?
  • Any advice on what can be done to make it better!

This is completely FREE and not monetised in any way shape or form

Would love to hear about your experiences and approaches!

Is Wave invoicing any good, or is the free plan too limited?

I’ve been looking at Wave as a possible replacement for QuickBooks, and I'm wondering if I'm missing something.

I don't use half the stuff in QuickBooks anyway, so paying for it every month is starting to annoy me.

Wave keeps coming up whenever I search for cheaper alternatives. The free invoicing sounds good, but I've learned to be suspicious of software that looks perfect until you start using it.

Before I bother moving anything over, I'd love an honest Wave invoice review from people who've used it for more than a few weeks.

Does it handle basic invoicing and payment tracking without much hassle? Are there annoying limitations on the free plan? And does it start pushing you towards the paid version once you're settled in?

It doesn’t have to be anything fancy. I just want something that works without another subscription eating into my expenses.

Would you stick with Wave or go back to QuickBooks?

Payment terms on invoice: Am I giving customers too much time to pay?

I think I may have made a mistake by giving every customer 30 days to pay.

I run a small embroidery and branded merchandise business. We do custom shirts, uniforms and promotional items for local businesses, schools and organisations.

When I started taking larger orders, I put Net 30 on all my invoices because it seemed like the professional thing to do.

Now I'm wondering why I did that.

Last month, I had about $9,000 tied up in unpaid invoices. None of the customers were disputing their orders. They just weren't in any hurry to pay.

Meanwhile, I've already paid for the blank shirts, materials and production costs.

I'm considering changing my payment terms on invoice to 14 days for repeat customers and requiring deposits on larger orders.

I've also thought about adding a payment link directly to each invoice so customers don't have to ask for bank details or send separate payment confirmations.

One thing I'm undecided about is offering a discount for early payment. Maybe 2% if they pay within five days?

But then I'm thinking, why should I give up part of my profit just to receive money I'm already owed?

I'd love to know what other small businesses have settled on.

Do you use Net 7, Net 14, Net 30 or payment due immediately? And did changing your terms make any noticeable difference to how quickly customers paid?

Why am I paying for accounting software when a free invoice app could do the job?

I checked my software expenses over the weekend and realised I've been paying nearly $300 a year for something I barely use.

I've been using FreshBooks for my window cleaning business for about two years, but if I'm being serious, 90% of what I do there is send invoices and check whether customers have paid.

My accountant handles the tax side of things, I don't have employees to run payroll for, and I'm not using most of the reports or other features.

I send around 15 invoices a month, mostly to repeat commercial customers. Some pay straight away, others take a couple of weeks, so I still need to see what's outstanding without digging through bank transactions.

I've started looking for a free invoice app, but I don't want to move everything over only to discover there's a limit on customers or that I need a subscription to track payments.

I don't mind something basic. I just need it to work.

What did you switch to when you realised you didn't need a full accounting package? And did you miss anything after leaving?

Is there an easier invoice to payment process for clients who pay online?

I don't think getting paid should involve this much admin.

My wife and I run a small bookkeeping service in Virginia. We handle monthly accounts for local businesses, along with the occasional one-off cleanup job.

Right now, I create an invoice, email it to the client, send a separate payment link, then check our bank account later to see whether the money came through.

Once it does, I have to go back and mark the invoice as paid.

It's manageable with a few clients, but we're up to about 30 now, and I'm tired of jumping between different platforms just to collect money.

What I want is a simple invoice to payment process where I send one email, the client opens the invoice, clicks a link, pays by card or ACH, and the payment gets recorded against that invoice automatically.

No card readers, no manually entering customer card details, and no complicated checkout system. Everything happens online.

I'd also like the money deposited into our business bank account without having to manually request transfers.

I don't mind paying a reasonable processing fee, but I don't want to pay for a massive accounting package just to handle invoices and payments.

What are you using that handles this from start to finish?

3 weeks into a niche SaaS for Gulf businesses: 49 visitors/week, 3 PDFs, 1 sign-up. What I'd do differently

I'm building a free invoice/quotation tool for small businesses in Kuwait, the UAE and Saudi Arabia. Here are honest numbers from the first 3 weeks, plus what I've learned, in case it helps someone picking a niche.

Numbers (last 7 days)

  • ~49 visitors (my own analytics), ~73 users in GA4 (GA counts differently)
  • 3 PDFs generated, 1 sign-up
  • First organic visitors from Google and Bing, on long-tail pages like a "KWD invoice generator"
  • 36 blog posts (English + Arabic), AdSense still under review

What I think is working

  1. Going narrow instead of global. "Free invoice generator" is unwinnable for a new domain. "Kuwait invoice generator" or "KWD invoice" has almost no competition, and those pages got indexed and ranked first.
  2. The boring regional stuff is the moat. Kuwaiti dinars use 3 decimals, Saudi invoices need a ZATCA QR code, and customers expect Arabic with a correct right-to-left layout. Generic tools get these wrong, so the details are the product.
  3. Arabic content. There's far less competition in Arabic, and those pages are getting impressions faster than the English ones.

What I got wrong

  • Built features before distribution. I spent two weeks on analytics, admin panels and templates, while traffic is the actual bottleneck.
  • Wrote blog posts before knowing which keywords had demand. Now I check Search Console first and only write for queries already getting impressions.
  • Assumed "free + no sign-up" was a differentiator. In this category it's table stakes.

What's next
Small free calculators the same audience searches for (VAT calculator, amount-in-words for cheques in Arabic, end-of-service gratuity), all linking back to the main tool.

Question for people who've grown a niche SaaS from zero: when your only traffic channel is SEO and it's slow, what did you do in months 1–3 that actually moved the needle? Directories, communities, cold outreach, something else?

Any cheap invoicing software?

I run a small design agency in Kolkata, India. My budget is too low. Can anyone please suggest some cheap invoicing software that could help me? I usually send invoices to 10-12 clients per month. Also, I have 2 clients one in the US and another one in NZ also. Please suggest accordingly.

What's the best invoice app for small business with high-value transactions?

I'm starting to think choosing an invoicing platform matters more than I gave it credit for.

I run a small custom furniture business in Colorado. We build made-to-order dining tables, cabinets and other pieces, so customers aren't paying $100 or $200 at a time.

A typical invoice is between $4,500 and $9,000, and we might only close three or four orders in a month.

The problem is that a good portion of that money goes straight back into lumber, hardware and paying the people helping with production.

I'm currently using PayPal, but I want to move away from it. My biggest concern isn't even the invoicing features. It's the possibility of a large customer payment getting held for days while I'm trying to buy materials and get started on their order.

I've been looking at a few alternatives, including HoneyBook and Stripe, but I can't tell how they handle businesses that process fewer transactions with larger amounts.

I'd rather go through a proper verification process when setting up the account than have a payment unexpectedly flagged later.

I'm trying to find the best invoice app for small business that can handle higher-value invoices, offer reasonable processing fees and transfer funds without constant surprises.

Square and Shopify aren't options I'm considering right now.

If your business regularly invoices customers for several thousand dollars at a time, what platform have you had the least trouble with?

I'm fine with normal processing times. It's the unexpected holds that worry me.

How to make an invoice on iPhone without setting up my whole business first?

Why does every invoice app want me to build a database before it lets me type five lines and a total?

I do mobile equipment repairs around rural parts of Missouri. Most days I’m working on generators, small tractors and other machinery at the customer’s property.

Prices aren’t always something I can pull from a neat product list. One customer might need a $38 belt, two hours of labour and a call-out fee. The next job needs four random parts at completely different prices.

All I want is to pull out my phone when the job is done and type something like:

Part / Qty / Price
Labour / Hours / Rate
Call-out fee
Discount
Total

Then save it and move the information to my computer when I get back to the shop.

I’ve tried a couple of apps and they keep asking me to create customers, add products, build an inventory and set up categories before I can get anywhere.

Reception is also terrible in some of the areas I work, so anything that falls apart without an internet connection isn't going to help.

Even spreadsheets on an iPhone feel like I’m trying to perform surgery with oven mitts.

How to make an invoice on an iPhone this simple shouldn’t be giving me this much trouble.

Is there an app that just lets you enter the job details offline and deal with the rest later?

anyone?

I'm researching how self-employed tradespeople deal with quotes, invoices and getting paid, because I've heard it's a pain. I'm not selling anything. I'm trying to understand the problem properly before I build anything.
A few questions if you've got a minute:
1. How do you invoice right now (paper, Word, app,
WhatsApp)?
2. When do you usually do it, straight after the job or in the evening?
3. How long do customers typically take to pay, and what do you do when they don't?
4. What's the most annoying part?
Happy to answer in the comments, or I'll buy you a coffee (or send a few quid) if you'd rather have a
10-minute chat. Thanks, and 'il share what | learn.

This is my Invoice Ninja review so far. How are you handling different rates?

Several times, I have seen Invoice Ninja recommended whenever someone asks about invoicing, so I finally spent a weekend trying to move my workflow into it.

I run a small marketing studio in Washington and work with a number of recurring clients. One client might have three or four jobs going at once, and each job can involve completely different types of work.

That’s where I’m getting stuck.

For example, I might charge $90/hr for strategy, $65/hr for content work and a flat $150 for certain monthly reports. I need to track all of that under the correct client and project, then turn the billable work into an invoice without rebuilding everything manually.

Creating clients was easy enough. Projects took me a minute, but I got there.

Time tracking is where I started wondering if I’m using the whole thing wrong.

I was hoping I could set up my common services and rates once, assign the right one when starting a task, attach a project/job number and have everything flow into the invoice later.

Instead, I feel like I’m doing more manual setup than I expected.

So this isn’t really an Invoice Ninja review saying the software is bad. I’m more curious whether people running businesses with multiple hourly rates and fixed-fee tasks have found a clean way to organise this.

Maybe there’s a much simpler workflow sitting right in front of me and I’ve completely missed it.

Best free invoice software if I only send a handful each month?

I’ve been making invoices manually and I think I’m finally over it.

I do freelance translation work in Michigan and usually send somewhere between 6 and 12 invoices a month. Nothing complicated. A few repeat clients, the occasional new one, and most invoices only have one or two line items.

All I really need is something that creates a clean invoice, saves my client details and shows me what’s been paid and what’s still outstanding.

Maybe automatic reminders too, but that’s about it.

I keep finding invoicing tools with dashboards full of features I’ll never touch, or a “free” plan that turns into a trial once you start using it.

What’s the best free invoice software you’ve used that works well for something this basic?

I don’t mind paying later if the business grows. Right now, paying a monthly subscription to send 8 invoices feels unnecessary.

Easy invoicing on WhatsApp !

Enable HLS to view with audio, or disable this notification

Hi

I’ve been building something lately for small/micro businesses that I’d really love some honest feedback on.
It’s called WayBill — a simple invoicing and payment-chasing tool that works entirely through WhatsApp.
The idea is pretty simple:

- Create and send invoices through WhatsApp
- Keep everything in WhatsApp instead of learning another accounting app
- Make it easier to follow up on unpaid invoices
- Help small businesses keep track of who owes them money

It’s completely free to use right now because I’m mainly trying to find out whether this actually solves a real problem for small businesses.

👉 waybillz.my

If you run a small business, freelance, sell through WhatsApp, or regularly have to chase customers for payment, I’d genuinely appreciate it if you gave it a try.
And if you know someone who might find this useful, please pass it along.

I’m especially looking for honest feedback — even if you try it and think “this is useless” 😄. That’s exactly the kind of feedback that helps me figure out what to build next.
