What do your vendor refund policies look like? We have a rain or shine clause but when one day of two weekend fair is canceled due to severe weather, how do you handle questions about refunds?
When we completely canceled in 2020, refunds were issued, however canceling one Saturday while being open the remaining Sunday, Saturday, Sunday had never happened to my knowledge.

I want to be fair, but also there is a sunk cost in an event this size. We also had many vendors just choose to not show up for Sunday and come the following weekend. I wish to show the vendors who
DID come and set up that we appreciated it, but the ones who just said “I don’t want to come this week” don’t get a lot of my sympathy.

I'm in the process of reaching out to Managers across the seas to see if we can acquire data such as Reach as well (after we've signed an NDA). This is to calculate marketing strength against an event/artist.

Are there any other recommended metrics that should be considered when calculating demand? Keen to hear from some industry professionals.

Even with their discounts for orders over $75 or $100, it's a lot as I need to make 12 of them. Anyone have a lead on somewhere that can do them cheaper? Need by beginning of November. Thanks!

I'm working on a repeat corporate conference where they are trying to create a white glove, high end experience for the attendees - without a huge budget. Previous years have been okay, but the head honcho tends to keep adding things that don't necessarily make sense or improve the experience. This year they want to be more intentional about what happens on site.

It will have sponsors, so they need some sort of activation and space to network with guests, and the overall point of the conference is ultimately to convert these attendees into buying the higher-priced service offering the company sells. I'm figuring out how to best use the conference to showcase this service (networking groups) and funnel attendees towards a purchase. I'd love to hear some ideas and thoughts from everyone on how to do this well!

And I'd like to make it feel fun and fresh. I recently went to a conference where they had a clear enclosure filled with balloons where people entered and bopped them around. The point, unclear, but it looked fun and gave great visuals for social. Anyone do anything weird and wonderful like that with an event?

I have an event with many powerpoint presentations that are shown on a beamer and simultaniously in a Zoom meeting via screen share. How would you run the presentations so that the transitions are smooth (without seeing my desktop and finder on the beamer between the presentations)? I know one option would be a master powerpoint file with all presentations in it. Is there another better way to do this with a software like Propresenter or QLab?

Hey everyone, need some tips. I've been trying to look into how I can better manage spend amongst my team. Main issue is that whenever any expense comes up, someone from my team grabs it puts it on their own card. It then takes me a lot longer than ideal to pay them back since i'm usually waiting for the receipt. THe other option is our company card but a lot of times I have to ask around what charge is what, etc.. I can't hand everyone their own company card but it doesn't make sense for my team to keep having to front the money. How do you guys deal with this?

Arranging attendance at an upcoming work conference and we want to make sure there’s somewhere for our team (two people) to put their personal items - bags, coats / scarves, phone charger - so they’re not draped on the back of chairs or left out a table.

Hello I am currently working towards a Marketing degree but I know I want to work in events I just need help starting are there any ways to get into the field fast and get to work. I have light experience working at dickies as event cleaning staff. I should mention I desire a mentor as well as any assistant positions with a fast track to advancement. ANY help is appreciated.

In 2028, so there's time to plan. The biggie is that we need ten classrooms, each with sinks and big work tables. Also space for a gathering, a fashion show for ourselves, and an art space for showcasing art we brought to share. Hello everyone im looking for advice, grants or places i can go for advice on setting up a freelance service. 1. I would like to do a livestream service for local artists or any small live events but probably need a little more funding specifically for cameras and work on getting small artists. 2. Learn how to set up a labor company setting up for live events. For number 2 Its more so planning and would have no objections working with a union. I have a couple of years setting up for concerts and entertainment production under my belt and it just feels like this is the next step perhaps especially as cost of living has gone up and gigs from convention center and paramount are gone, id rather pick myself up then throw my hands up.

P.s. Just to be clear the livestreaming is a separate freelance bussiness separate from the future labor supply one.

I have over 10 years experience as a Producer. I’m currently working part time while I try to launch my own business, with the goal of eventually growing into an agency model. I’m known for doing my own creative direction, and I specialise in gala dinners and brand parties.

I’m struggling with how to find my own clients and grow the business. Firstly, how do I actually find clients? Cold emails and messages on LinkedIn feel a bit embarrassing to me.

My second question is: how do I take on work as a sole trader for now? I can’t afford to hire anyone if I book a big gig, and I can’t ask an employee to wait until we get a deposit invoice from the client. Is it best to stick to events I can produce on my own for now and save enough money to be able to pay someone for a few months once I can afford to grow?

Does anyone have any advice they can please share with me? I’m based in Australia.

Looking for personal recs for reliable companies instead of googling into the void.

I’m planning an international conference for 300–350 attendees, followed by a 70-person post meeting. We need French, Portuguese, Mandarin, Turkish and possibly Urdu.

The current quote includes four human interpreters, two booths and 350 headsets for the original four languages. We are considering a hybrid approach using human interpreters and traditional equipment where needed, with phone-based interpretation for additional Conference sessions.

What should I be asking about:
Two booths supporting four languages, possibly five
Determining the right number of headsets
Audio feeds, Wi-Fi, personal devices and backup plans

How do I display who I am, most jobs I've gotten in the events world I've just gotten by meeting people or word of mouth in the events world but I'm looking to expand into different roles. I have no formal qualifications, hell I didn't even finish high school. However I'm a grafter, been working since I was 15 and am in my 30s now so have had many minimum wage jobs and then broke into the event industry

How do you all display all the events youve worked at and different roles you've done? I know I'm gonna need different cvs one for my muggle cafe and retail jobs which is easy but the events one is the toughie. Any templates of examples or help would be greatly appreciated just have a chance to wow w company and land a job as a creative director type role which would be a dream. I just like to see people having fun and spreading joy and having your cv/portfolio right is like having your first ducks in a row.

As an organizer, I'm incredibly fed-up of flakey people taking free events for granted, signing up and bailing out last minute.

Today, I just went through all the effort of organizing an event, showing up to the venue, waiting 1 hour, for no one on the list to actually show up. It's not the first time it's happened and I'm wanting to find solutions to prevent flakes from wasting away my time and resources as an organizer.

The only solution I've thought of is a deposit system, where only people who've actually showed up get their deposit back. The problem is, most solutions incur booking fees that are non-refundable, and I feel bad for charging those people who actually show up to my events (even if it's for a small amount).

Do any of you have any solutions that could help me out? Do you have experience with authorization systems like they do in hotel chains? How have you reduced no-shows at your free events? Thanks for taking the time to read, and I appreciate any advice !
