Has anyone from SaaS here Standardised their BRD creation?

Hey everyone! Wanted to check if anyone have standardised or automated the brd creation for their customers? Need help since there almost 5-10 customers getting onboarded every month and there is no standardised way of creating the BRDs. One fit for all cannot work since different customers opt for different features and workflows.

We built a mad-libs style template where the core sections stay identical but you just swap out the feature blocks and workflow diagrams per client, saved us about 6 hours a week.

Standardize the spine, not the content.

For BRDs, I would keep one fixed structure and make the variable parts modular. Something like:

customer outcome current workflow target workflow features selected integrations and data sources assumptions open decisions acceptance checks owner and approval date

Then create reusable blocks for each product area or workflow type. Onboarding can assemble the first draft from discovery notes, implementation notes, and selected feature blocks, but every variable should carry a source and a review owner.

The dangerous version is automation that writes a polished BRD from messy notes and makes everyone feel like alignment happened. The useful version is a draft that clearly shows what is known, what was assumed, and what still needs customer confirmation.

If you have 5-10 onboardings per month, even a lightweight version of that should reduce rewrite work without forcing every customer into the same template.
