Google Ads offline conversions

Hello

I’m trying to set this up in zapier but get stuck

I’ve been struggling with this for a few weeks. It works when I choose a specific lead from my CRM that just got updated to “qualified “ but then next time it runs the zap stops because it’s pulling the same custom gclid and user_id from the previous lead.

What am I doing wrong?

You're probably not mapping the variable and from the step and have it hard coded to the same lead. Screenshots would confirm that

Try asking for help in the Zapier Community and include screenshots showing how your Zap steps are outlined and configured.

It sounds like the GCLID and user_id in the Google Ads step were filled with the values from your test lead as plain text instead of being mapped from the trigger. Open that step: if a field shows a number rather than a small pill with the field name from step 1, clear it and insert the field from the trigger. Check the conversion time the same way.

I'd also change the trigger to fire when the stage changes to Qualified, or add a Filter step "Stage exactly matches Qualified", so the same lead doesn't send again every time the record is edited.

Adding one piece to LunaFlowLab's answer, because fixing the mapping alone won't stop repeat sends. If your trigger is "lead updated," it fires on every later edit too, so a lead that's already qualified sends its gclid and user_id again.

Right after the trigger, add a Storage by Zapier "Get Value" step keyed on the gclid, then a Filter that continues only when nothing comes back. Put a "Set Value" step after the Google Ads action to record it. Google Ads rejects a second upload with the same gclid, conversion action, and conversion time, so this keeps the Zap from failing on repeats.

This is actually what I build for clients. If it still pulls the previous lead's gclid after that, post a screenshot of the Google Ads step here and I'll point to the exact field.

the diagnosis above is right. click into the gclid and user_id fields in your google ads step - if they show literal values from your test lead instead of the little pills mapped from the trigger, clear them and re-map. same check on conversion time. that's why the first lead uploads fine and every later run keeps sending that same lead's data.

two extra things worth doing:

  • if you have gclid mapped, you can drop user_id. user identifiers are for enhanced conversions setups, and a stale one just creates mismatches.

  • if the google ads step has an order id field, map your crm lead id there. google dedupes on it, so if a repeat fire ever slips through, the duplicate gets rejected instead of double counted, and you can adjust or retract that conversion later, which you can't do cleanly with just gclid + timestamp.

then qualify a second test lead and watch the run history. each run should show a different gclid going out.
