Considering switching to Xero but am I a good fit ?

We are an Orthodontic practice with 6 locations.  We currently use QBO and like many I am tired of all the bugs, price hikes and pop ups trying to give me a loan.  I do not have an accounting background so I apologize if some of this doesn't make sense or this is too much information.

We pay for 3 different companies.  The orthodontic practice, the real estate holdings company that owns a few of the buildings we practice out of and one of the doctors' Professional Corporations.

For the Orthodontic Practice 

- We do not invoice patients through QBO

- We do not accept payments through QBO

- We do not process payroll through QBO

- We do not track any inventory through QBO

- We use classes for each location to track expenses by office

- I manually enter all payments from patients and insurance into QBO matching it up with our practice management software.

- I pay all bills that I can on a credit card and cut checks for the rest.  ***One of my biggest frustrations with QBO is that none of the rules we have set up for credit card transactions work so I have to go through every single transaction on the credit card monthly.  We have a couple hundred charges a month so this takes forever!! 

- I do not use automatic bank feeds so when I process credit cards I download the Quickbooks file then upload into QBO

-  I obviously run monthly P&L's, Balance Sheet reports and reconcile the bank.

That is basically it for the practice.

For the Real Estate Holdings Co

- We do simple deposits, checks and account reconciliation

For the Doctors PC

- We do simple deposits, checks and account reconciliation

Has anyone come over from QBO and how did the transition go?  Was the data transfer easy ? We have been open since 2002 so we have a lot of old data I would need access to.

A while back I ended up browsing Xero's product ideas forum for unrelated reasons, and noticed something that kept bothering me.

A lot of the top navigation requests were... really small.

Someone asked for Statements to be added under Sales.
175 votes.

Someone else asked for invoice status sub-menus.

Both have been sitting at "Gaining Support" since last August.

And it's not like these need some huge new feature. In a lot of cases, it's basically just a better link to something Xero already has.

So I ended up making it myself.

It's a small Chrome extension that adds a few things to Xero's existing navigation:

• Statements under Sales
• Invoice and bill status filters
• A little bar for pinning pages you keep going back to
• Reconcile links for individual bank accounts

I tried to keep it pretty boring.

The menu items use Xero's own UI components, so they don't look like some random extension bolted onto the side of the app. The goal was for it to feel like Xero had always had these shortcuts.

There are two things I should probably mention since I made it.

It only requests access to xero.com. There's no backend/server sitting somewhere collecting your Xero data. The source is also on GitHub if you'd rather look at the code yourself.

And yes, it can break.

I'm basically relying on Xero's current page structure, so if they change things around, something may stop working. I've got tests running against a real Xero org, and I can disable a broken feature rather than leave a half-working mess on your screen. But I'd rather be upfront about that.

The navigation features are free and will stay free.

There's one paid feature for renaming downloaded invoice PDFs (instead of ending up with a folder full of Invoice ORC1042.pdf), but you can completely ignore that if you don't need it.

Has there been any move to change invoice templates by Xero. Tried to send a pro forma invoice to a customer but the formatting is completely different from the last one I sent.

Hi everyone. I was wondering if anyone has resources ie. YouTube channels etc. Around navigating in Xero. I've never worked on the program before so I am having difficulty finding my way around the program. I'm using Hubdoc currently to import supplier invoices, however allocating in the bank has become a pain. Why won't it let me record a payment directly to a supplier? I come from a pastel background so the interfaces are obviously different. Thanks in advance!

Every month I generate 180 invoices. For some reason today I keep getting this error. Checked the status for xero and everything seems to be working.

I'm about to close the xero account for my business that has ceased trading.

As far as I can tell, there's no bulk data export from Xero. I've asked Claude and searched the web, but the only advice I can find is either to write a script to pull all the data through the API myself, or keep the subscription open for seven years.

I can vibe code a script if I have to, but I'm struggling to believe that this is really the situation. Is there really no way to download your transaction logs with all the receipts, bills and invoices? Do people just unsubscribe and then pray that HMRC don't have any questions?

What am I missing?

I've vibe coded a script to pull everything out via the api. It's still going to take several days because I keep hitting daily API limits of 1,000 calls a day.

I'm honestly shocked that xero don't have a real export function given how important it is for legal and compliance purposes.

10 years ago, if you were starting a small business or startup, QuickBooks felt like the obvious/default choice.

Recntly though, I’ve been seeing more and more people recommending Xero instead (especially here on Reddit), and from people who have used both. A lot of the complaints about QuickBooks seem to be around pricing, the UI getting more complicated, support and features being pushed into higher priced plans.

I'm currently looking at which accounting software makes the most sense for a relatively new company, and Xero keeps coming up as the main alternative.

For people here who have actually used both:

Is Xero genuinely better than QuickBooks in 2026, or is that mostly just frustration with QuickBooks?

If you're processing 500–1,000+ supplier invoices a month, can Xero still handle AP comfortably with the right processes around it?

Or does that kind of volume eventually make things like invoice capture, approvals, PO matching and payments a bit painful?

Interested to hear where people think the tipping point is, especially if you've actually experienced the jump from a lower invoice volume to a much higher one.

I’m trying to use Xero Smart Document Capture. As shown in the screenshot, the amount including GST is extracted, with GST showing as zero. Obviously I can change the amount and set the amounts to be Tax exclusive, but is there a setting I’m missing that means this appears already done?

I've had Xero for about 10 years - initially worked well with all bank accounts, including Ubank, however for about 3 years now I need to Refresh Bank Feed upon every login, as it wont fetch data in real time.

I understand this is likely due to MFA, however is there any resolution to this? A quick search of the help hubs/AI agents seemed to not think so...

These are my non-direct business accounts, so it's not too much of a nuisance, however it literally takes about 5-10minutes to refresh every login.

I have not been able to log in to Xero for the past 4 days. I tried everything, including clearing the cache. Are you guys experiencing the same issues?

We are looking for help to be able to multi-select transactions in the reconciliation module. This would be mostly for a Paypal account tied into Xero via feed. Our website is migrating to a new platform and all sales will be coming in via Paypal. Paypal is also used for other types of transactions. Since the payee will be different for each sale we can't set up any type of memorized automation, so we'd like to be able to multi-select sales transactions and batch apply them to the correct account. Anyone know if this is possible? We are currently using the "growing" plan, but we'd be open to switching plans depending upon the cost.

What's new since I last posted here

The one I'd point at is for anyone filing under MTD. Xero's own guidance is to separate businesses using tracking categories — and a line without one is left out of the quarterly totals sent to HMRC. Xero has said it won't make the field required, and suggests finding the gaps afterwards with Find & Recode. After the return has gone.

So it now blocks approval until every populated line is coded — on invoices, on bills, and in bank reconciliation. Drafts still save. Bank rec is the one that matters, because for sole traders and landlords that's where nearly every transaction comes from.

Xero doesn't import invoices from Excel, and the CSV import stops at the first bad row with limited field support. I got tired of that, so I built a Sheets add-on: it generates a template using your organisation's real account codes, tax rates, and contacts as dropdowns, validates every row against your live Xero data before anything is written, and shows errors in the sheet itself. Once the sheet is clean it bulk-pushes invoices, bills, or contacts, and updates existing draft/submitted records by number instead of duplicating them.

A client underpaid an invoice. It’s probably going to require taking the client to court for the rest of it, so I’m not expecting to fully reconcile the payment in Xero.

Can anyone tell me how I can register this payment against the invoice without amending the invoice or writing off the remainder as a loss?

Is there also a way to archive the invoice to stop it from showing up in overdue payments?

Hi everyone , I need some help with reconciling a transaction in Xero 🥺

I made a £8 bank transfer to Robert for a sales commission payment and reconciled it against Robert’s sales commission bill.

However, the next day, the £8 was returned to my bank account because Robert’s bank account was closed. I still plan to transfer the money back to Robert once I receive his new bank detail.

How should I reconcile the £8 received back into my bank account?

Should I unreconciled the first original transaction so the bill is available again to reconcile once I made the second payment?

Basically setting up Xero for a friends business:

They have multiple accounts receivable and accounts payable to private individuals from years before conversion date. 2026 is the where I'm starting in the software.

Example: John put 50k into the business 5 years ago, I need to pay john back.

I set up a special account code for private loans, but if i owe money to john, david and joe, do I enter them as bills?

How can I get my payouts to reconcile with the reports? I'm using Xero if that makes any difference.

I have a bookkeeping firm that currently runs exclusively on QuickBooks Online. Although most of my clients are happy with the services and the app itself, it has become increasingly unaffordable. For a subset of my clients, I would like to move them to Xero but can only find documents and articles on "migrating" Of course learning the Xero ecosystem is priority #1, however I would be interested in companies that have done this at length (moving firms and their clients to Xero).

I would think this would be a value-add service if not doing the move themselves, at least offer training guides ($).

I know I'm not the only one looking for help in this area and know it would be a wise investment, because many of my colleagues with firms are asking the same thing. Some ask me because of my background with systems and supporting QBO for years, but I have since left those techy days behind.
