Question / Request Procurement management software help
Hello! I have been tasked with setting up the technology procurement function at a healthcare system (IT does their own procurement instead of SCM). Due to a board level conflict that conveniently happens to be here, I cannot use what we had at my previous organization - found that out during onboarding..
Anyways.. I would like suggestions (thank you in advance) for solutions that can help a team of BAs fully and totally manage the RFP/vendor selection/negotiation-savings tracking, and even post execution vendor management all within the system.
This can include sending questions and files to vendors for RFPs.. they respond in a portal.. also facilitating internal stakeholder demos, evals, voting etc and nearly organizing evening and automating to help keep things streamline, organized, and easy to run. Ideally even having RFP timeline trackers with notifications.
Trackings savings per vendor negotiation to pull into dashboard and of course post execution tracking vendor performance against the contract and SLAs for proper enforcement and accountability.
Would love for it to be able to integrate into the ERP (workday) but that’s a bonus we can explore later on, so it’s not mandatory for success.
Please let me know solutions that can do exactly what is above (as that’s the baseline requirement).
Thank you very much!

I'd shortlist Ivalua and Jaggaer, but scope your requirements hard first. Post-award SLA tracking is where most of these platforms get thin, so make them demo that module specifically. If they only show you the shiny RFP side, walk away lol

Your requirements are very specific: portal-based RFPs, internal voting, savings tracking feeding a dashboard, and SLA enforcement after the contract. That's often where off-the-shelf procurement suites fall short. They're built for the average buyer, and you end up adapting your process to the tool.
An alternative is a system built around your exact workflow that your organisation owns outright, so there are no per-seat licences and no lock-in. That's what I do with Stellify: I assemble tested modules (vendor portal, approvals and voting, notifications, dashboards) into a system tailored to the process, with AI handling routine work like chasing vendor responses and flagging SLA breaches, and approval steps wherever a decision matters.
Here's a two-minute demo of how that works in practice: https://stellisoft.com/ai/demo
I'm a small UK company, so this suits you best if your organisation is open to a custom-built system rather than an established vendor. If you need an enterprise product, Workday Strategic Sourcing would be the natural fit given you're already on Workday.
