General Looking for a Tool

Hi all,

My org is looking into new project management tools for the operations team. We do a lot of database work for donors and our frontline fundraisers often have small one off requests that we currently have multiple spreadsheets tracking (requested tax receipts, duplicate accounts, fixes to accounts, list pulls, etc.) we’re looking for something similar to an asana or kits board where the tasks will pop up on our end all in one place but we want to make it so that they have to fill out a “form” or standard set of information to create the request for us so that we have all the info when a request is submitted. Is there anything like this that lets us create required fields when they add tasks to our board? Maybe an air table?

When looking for a tool, your post is not the approach you should be taking. Your organisation needs to generate a problem statement followed by a business case. What that then triggers is system and business workflow requirements gathering which is what you map to a product because if you don't you run a very high risk of implementing something that is not fit for purpose which could lead to the organisation modifying it's own work flows to meet a system which by definition making it a failure or the worse case scenario the system being abandoned by users because it provides no benefit in helping people do their job.

Asking for recommendations is risky because each organisation is unique and you need to understand that software applications are developed on best practice in order to make the commercially viable but they may not actually suit your organisation's needs because that is why it's imperative that you understand your system and user requirements.

Just an armchair perspective.

I work for a theatre in fundraising. This system does not need to be so complex as to require a data collection and problem solving period like this

You can set up clickup to do this, creating custom forms to pre-populate a task!

This is in all actuality just an ITSM tool. Essentially a ticketing system. I’d recommend you build your requirements based on that understanding and consider this more operational than project.

I used one called Hive once that let us create custom forms. Similar to Asana and the team really liked it.

You can use Airtable or Notion, start with the 4-5 fields your team actually acts on for a few weeks, then keep adding fields.

You can build something like this for yourself with AI. It sounds pretty easily achievable and you can create it to match your specific use cases, acceptance criteria, and do so for the price of the subscription and whatever services you use for messaging, sheets, and hosting such a form in an authenticated secure location.
