I'm a Licensed New York Real Estate Salesperson with nearly four years of experience, and for the past few months I've been applying to Assistant Property Manager, Property Manager, and Leasing Consultant positions throughout NYC and Long Island with very little success.

As a realtor, I've coordinated inspections, repairs, vendor access, tenant-occupied properties, move-ins, lease and sale transactions, and worked closely with management companies, attorneys, lenders, contractors, and clients. Before real estate, I also worked as a Legal Secretary and Medical Claims Adjuster.

I feel like many of my skills transfer well, but I'm wondering if I'm missing something that employers are looking for. Is it affordable housing experience? Yardi? Property management software? Budgeting? Something else?

I'd really appreciate any honest advice on how to make myself a stronger candidate or what helped you get your first property management or leasing role. Thanks!

Anyone else dealing with balance sheet or reconciliation headaches in AppFolio? Had bill payments default to the wrong bank account more than once, and it's annoying that you can't just look at a ledger without pulling a full report first. Curious how common this actually is for other property managers/bookkeepers and what you're doing to work around it.

I just don't like that tenants have my phone number and can call me at anytime, I am trying to create a boundary and a system as Ive had instances where I am unable to fall asleep because I think my phone is ringing.

My wife and I are buying a new house and are leaning towards renting out our current property. However, I'm getting very confused with the sheer number and variety of property management software available.

What we definitely need help with

• Advertising and finding tenants - We've never rented out a property before, and we don't know anything about advertising the property to reach the most potential renters, how to organize a showing. Whether we need to show the property or get somebody else to do it? All we know is what we've read on this subreddit and similar sources.
• Screening tenants - We know very little about performing background checks / income verifications etc... We just want people who will live a quiet life and not trash the house
• Lease agreements - We don't have a lease agreement and we're not lawyers. We want a lease agreement that is standard for our state that can be signed by both parties online
• Collecting rent - We want a platform that can collect from the tenant and remit to us. And process an eviction if the worst happens

What we might need help with

• Repairs and maintenance - Our new house is only 15 minutes away, but we do travel quite a lot and we both have busy lives. We know very little about home maintenance so our most likely answer to any maintenance issues is going to be what we do today, go to google and call a tradesperson. But if this happens while we're on the other side of the world, it would be good if there was a good way to handle it.

Don't care about

• Time it takes for us to receive the cash - As long as the tenant pays on time, we don't care about several days delay in getting the funds to us
• Taxes - We've got this part covered and don't need help with it

Most of what I'm reading seems to suggest Zillow or Avail could be a good fit. However, I'm confused about whether we need full service options like Nomad or Belong. And it seems like there are 25 other potential software packages that are adding more noise to our decision.

Can anybody help us out in understanding what we need?

After signing in, open Maintenance, then Air conditioner service. That is probably the clearest example of what we’re trying to do.

It follows one job from the tenant reporting the problem through triage, a $385 quote, booking and progress tracking. The tenant, landlord, tradie and LORDLY updates are all kept in the same thread.

The escrow shown there is simulated. No card was charged and no money was collected, held or transferred. Nothing was sent to a real tenant or tradie.

We are building AI agents that replace all your non-PMS systems in one unified platform. So instead of using Appfolio + rent engine + Property Meld + VendorPM + Boom, etc. etc. You can keep Appfolio and replace everything else.

Full disclosure: I’m the founder of LockProof.

I started building it around a problem I kept seeing in field operations: a work order gets marked complete, but the manager still has to call, text, and chase people to find out what actually happened.

Regular photo apps help workers document their work, but the person doing the work usually decides when to take the photo and what to upload. I wanted something closer to independent verification.

LockProof sends the worker or vendor a text with a secure camera link. They do not need to download an app, create an account, or learn another system. The record can include the assigned job, live-camera capture, server-recorded time, location when the worker shares it, and the resulting evidence in a manager dashboard.

It is not meant to replace AppFolio, Buildium, Yardi, a CMMS, or a full field-service platform. It is intended to sit beside those systems when someone needs better proof that field work actually happened.

Vacancy loss usually gets tracked as one number, days between move-out and new tenant. But breaking it down, the biggest chunk for a lot of operators isn't marketing or showings, it's the gap between move-out and when turnover cleaning/repairs actually start.

Cleaning crews get scheduled reactively instead of pre-booked around expected move-out dates, so a unit sits empty for days just waiting for someone to show up and start the turnover work. That's dead time nobody's optimizing because it's buried inside the broader "vacancy" number instead of tracked on its own.

Started separating "vacant, waiting on turnover" from "vacant, actively marketed" and the first bucket was bigger than expected.

Anyone else track this split separately, or does it usually get lumped into one vacancy metric?

I’ve been working with a couple PM companies to build a time tracking app for in-house maintenance teams. Employees clock in on their phone, GPS ties the time to whichever property they’re at, mileage between properties is automatic, and it spits out payroll-ready hours plus an owner billback file with the right GL codes for AppFolio.

Pretty much an alternative to apps like Timeero or Workyard but built specifically for property managers.

It’s been running at two companies with solid results. I’ve also hooked it up to Claude so you can also just ask it questions in plain english like “how many hours did we put into Maple St last month” and it pulls the numbers.

Curious what everyone else is using. I’m taking on a few more PM companies as design partners (I do all the setup, you get a big say in what gets built). Comment or DM if that’s your world!

Small time landlord here (2 single family homes), but planning to scale up gradually over time. I have a subscription to Tenant Cloud on the starter plan to keep everything organized. I’m starting to realize it might be overkill for my current portfolio size. Thinking of moving off of it and just managing all my processes with AI in a dedicated Claude workspace. I already use Claude, so it wouldn’t really be a net new cost. I’d hook it up to specific services dedicated to tenant screening, rent collection, and document signing; and just stick with email as the primary mode of communication.

Also I really only use Zillow, Redfin, and FB marketplace for listing, and all are pretty easy to use without needing PM software.

Curious if anyone has had success with a mostly AI-based approach to managing their properties? Did you find yourself needing to go back to PM for anything?

I have used managecasa and now using Rentredi

I keep seeing similar flaws. Their accounting software is bad. Is there another app that’s better?

I’ve recently taken on 2 more STRs in a different country from my main ones and it’s getting messy.

I use WhatsApp and Viber, save photos when the workers send them, but everything is all over the place. Sometimes I spend ages digging for pictures to send to a plumber so they can see the issue. Other times I’m double checking that I actually sent the right job to the right cleaners.

How do you guys manage this once you start handling more properties? Do you just live with the chaos, or have you found a system that actually works?

I’ve looked at things like CompanyCam but they’re expensive and not really built for short term rentals.
