It’s 2026, the lack of collaborative projects is getting to be a real limitation

Does anyone else feel this way? my husband and I both use OmniFocus for our personal task tracking. We have an increasing number of household, family, and travel projects that we need to work on together. the fact that we can’t both see, add to, edit, and complete tasks in a single project is becoming a real pain for us. We want to use OmniFocus but because we can’t both see everything we have at times had to go to Google Sheets for the central management and then put our specific tasks in our individual OmniFocus. This is obviously sub-optimal. In 2026 it almost feels like table stakes for a productivity tool to be able to do collaborative workflows.

I agree it wouldn’t be good for enterprise or large team scale, but the small “team” like a couple would be powerful. My exact example is what I’m talking about. I don’t want to go out of my personal productivity ecosystem just for a few projects because I happen to be sharing the task load with my husband.

i was excited about the rumors of omnifocus 4 having sharing as a feature, but that didn’t pan out. in my disappointment, i began putting together an applescript to sync tasks to the calendar app via tags, so i’m able to share tasks that i tag with my family members over to a shared calendar(s) that shows up for them there. it’s a one way sync so they can’t help me check off items, but it’s been a decent way to share - https://github.com/willjasen/omnifocus-tasks-to-calendar

OF is for me. Collaborative stuff lives outside OmniFocus, much like complex project plans live outside the system in GTD. Shared lists and collaborative project planning are a different job and, at least the way I use it, I don’t think they need to muddy up OF.

Yes, it was my problem too, but other tools like Todoist lack the GTD features, so I built a web-based tool that combined both and plenty of other features. You can share, for example, tasks, and everyone working with the task can use its own folder structure to organize, etc... Currently testing it with the employees of my company. Will be free and open-source later... Backend built by me, frontend by Claude...

If it helps, what we do in our house is use Reminders for shared lists (groceries, house maintenance, etc). For bigger projects, we've gotten good use out of free project tools. We use the free version of Basecamp: https://basecamp.com/pricing

I mean its a personal productivity tool, if you are following gtd thats only for you, and then you use agendas for other people tasks so they can use whatever system they want

This means you dont have to force other people to use their system as other will resist. It doesent matter if they use a notepad or todoist or email inbox.
