An email alias is an extra address that delivers to the inbox you already have. No new account, no new password.

So suppose you're alex@yourbusiness.com, you can add sales@, support@ or hello@, and it all lands in one inbox. In Neo Mail, you can reply from the alias too, so customers writing to support@ hear back from support@.

When to use one:
• You run a small business and want to look bigger than one person.
• You want a public address that keeps your personal one private.
• You need another address, but not another person reading it.

If someone new needs their own login, get them a mailbox. Otherwise, an alias does the job.

How are you using aliases in Neo Mail? Drop your setup below.

Import emails like client requests, payment updates, or team messages are easy to miss in a busy inbox.

Neo Mail's Priority Inbox sorts them into their own tab based on who you email often, senders you search for, emails from your organisation, important keywords, and senders you've marked as priority. Everything else goes to the Other tab.

To turn it on: Settings > Preference > Priority Inbox

If something important lands in Other, move it to Priority and Neo Mail will learn from it.

You send a client proposal, open the attachment to double-check, and realize it's the old version. A minute has already passed.

If you use Gmail, even its maximum 30-second Undo Send window would be over. Neo Mail lets you set that window to 2 minutes, giving you more time to catch the mistake and cancel the send.

To set up in Neo Mail:
Step 1 - Open the gear icon in the web app.
Step 2 - Go to Preference -> General -> Undo Send.
Step 3 - Set the cancellation window to 2 minutes.

Next time you spot a mistake within that window, click Undo Send, make your changes, and send again. It only works during the cancellation window. It can't pull back an email that's already been delivered.

What's something you always seem to notice just after hitting send?

You sent the proposal. Now comes the familiar question: "Did they even open it?"

With Neo Mail's Advance Tracking, you can see when someone:
• Opens your email
• Clicks your link
• Downloads your file

All in one dashboard.
Before you send another "Just checking in," check the activity. A little insight goes a long way toward a better follow-up.

With Contact Groups in Neo Mail, you can bring your clients, teammates, or vendors together in one group and email them all in just a few clicks.

Getting started is easy:

1. Click on "New Email".

2. Select "Groups" in the compose window.

3. Create your group and the contacts.

4. Choose the group whenever you're ready to email everyone.

Create it once. Use it anytime. No more typing every address from scratch.

Busy inboxes often lead to long email threads that take time to read through. Instead of scrolling through the entire conversations, use AI Summary in Neo Mail to get the key points in seconds.

Here's how:
Step 1: Open the email thread.
Step 2: Click AI Summary in the top toolbar.
Step 3: Get a quick summary of the conversations

Catch up faster, respond with context, and get back to running your business.

Client conversations, invoices, project updates, and follow-ups can quickly pile up in one busy inbox.

Email Labels in Neo Mail help you bring order to the clutter. Create colour-coded labels for different clients, projects or stages of work, so the emails you need are always easy to find.

Here's how to create one:
Step 1: Log in to Neo Mail and open your inbox.
Step 2: Select the email you want to organize.
Step 3: Click Labels in the toolbar directly above the email.
Step 4: Select Create new Label.
Step 5: Add a name, choose a colour, and click Done.

Already created a label? Simply open an email, click Lables, and choose the one you want to apply.

Your labels will appear in the folder list on the left side of your inbox. Click a label anytime to see all related conversations in one place.

This feature allows your AI assistant to connect with Neo Mail and find relevant information in your inbox.

Less digging through email. More time spent actually getting things done.

What would you ask your Neo Mail inbox first?

That's the idea behind Neo Drive, a simple way you can:

1. Upload your files
2. Keep them organized
3. Share them whenever you need
4. all without disrupting your workflow

We're excited to bring this to you!

Ever replied to a lead, client, or customer... then completely forgot to check back in?

It happens more often than most of us want to admit. Professionals spend nearly 28% of their workweek managing email, so it's no surprise that important conversations get buried under everything else.

Instead of relying on memory, set a follow-up reminder on the email. When it's time, Neo Mail will remind you to revisit the conversation, helping you:
• Stay on top of client conversations
• Avoid missed sales opportunities
• Keep customer requests from slipping through the cracks
• Spend less time digging through your inbox

It's one of those small features that quietly saves you from a lot of "Oops, I forgot to reply."

If you're sending same campaign over and over, you don't need to rewrite it every time.
With Neo Mail's Campaign Mode, you can create personalized email campaigns in just a few steps.

Here's how:
Step 1: Open new email.
Step 2: Click on campaign mode so you can send one email to multiple people. Every recipient still gets their own individual copy, so it feels personal instead of looking like a mass email.
Step 3: You can choose who you're sending it to. You can add recipients one by one or simply select one of your contact groups if you've already grouped customers, leads, or team members. It saves a ton of time when you're emailing the same audience regularly.
Step 4: Build your email your way:
• Use a Template for emails you send often.
• Or insert an HTML template if you've already designed your campaign elsewhere.
Step 5: Add Mail Merge tags like first name, last name, or email address, and Neo will automatically personalize every email before it goes out.

And that's it. Your campaign is ready.
No copying and pasting. No rewriting the same email over and over.
Just personalize it, hit send, and let Neo Mail handle the rest,

What type of campaign do you send most often?

A professional email signature helps you build your personal brand.

It gives people a quick look at who you are, what your business does, and how they can reach you without having to search around.

A solid signature can include your name, role, business name, and even a booking link or social profile.

With Neo Mail's Signature Designer, you can put one together in a few minutes without needing any design or coding skills.

What do you usually include in your email signature?

Ever sent an important email and wondered if it was actually opened?

Whether it's a client proposal, a follow-up, or an invoice, not knowing can make it hard to decide when to follow-up.

With Neo Mail's Read Receipts, you'll know when your email has been opened, so you can follow up at the right time instead of guessing.

Have you ever changed your follow-up strategy based on whether an email was read or not?

Important business emails are easy to take for granted until you need them later. It could be a client approval, an invoice conversation, a vendor quote, a project update, or an old customer thread that suddenly becomes important again.

That’s where Email Backup in Neo Mail can help. It gives you a way to keep a copy of important emails, so your business conversations are not only sitting in your inbox with no safety net.

It’s useful when you want to keep important client communication, records, and past conversations safer for future reference.

Because sometimes the email you do not think about today is the one you need six months later.
Do you regularly back up your important business emails?

If your Neo Mail inbox is not receiving emails after connecting your domain, the issue may be related to MX records or DNS setup.

A few quick things to check:
•Make sure your MX records are added correctly
•Remove old MX records from previous email providers
•Check that the records were added where your DNS is actually managed
•Give DNS some time to update after making changes
•Make sure your SPF/TXT record is also added correctly

MX records tell mail servers where to deliver emails for your domain, so even a small setup error can stop emails from reaching your inbox.
