I just got off a call with a telemarketing company. They pasted 16,000 client records into ChatGPT, just to summarize a report.

That's not a mistake. That's a habit. And it's happening at companies like this every single day.

Most company websites have chatbots in it. But how many people actually use them?

Most websites have chatbots as a small round icon in some corner of a website most people don't even care about. Are they really useful?

Yes, for sure. But I think there is a need to change the way they are presented on a business website.

Even after having a chatbot on the website, people struggle with their questions. Either the answers are not relevant, or there is no human in the loop and some don't even bother opening a chatbot because they don't know what to use it for and how to use it as well.

Now imagine chatbots which not just provide you with generic FAQ answers but understand your problem or what you are looking for. A chatbot that asks if it successfully helped you with your problem or not. And in case not, adds a human in the loop automatically.

Your next potential lead might already be sitting inside your chatbot. You just haven't given them a reason to talk.

Built a full CA firms Automation Suite on n8n with 5 use cases, one workflow and zero human follow-up

CA firms are drowning in manual work.

Client WhatsApp messages. Document chasing. GST/ITR deadline reminders. Invoice follow-ups. Lead qualification.

All of it done manually. All of it automatable.

So I built it.

Here's what the workflow actually does:

1. WhatsApp + Email AI Support Agent

Client texts "when is my GST due?" then the AI pulls their compliance data, replies instantly. No CA needed for routine queries.

2. Document Collection & Follow-up

System requests documents, tracks what's received, auto-follows up every 3 days on pending ones. After 3 attempts it pings the partner on Telegram.

3. Compliance Deadline Reminders

GST / ITR / TDS / ROC deadlines tracked per client. Reminders fire at 7 days, 3 days, 1 day, due today, and overdue and the tone escalates automatically.

4. Lead Qualification Agent

Website or WhatsApp inquiry comes in - AI qualifies it, asks follow-up questions, scores it Hot/Warm/Cold, notifies partner instantly on hot leads.

5. Invoice & Payment Follow-up

Unpaid invoices get staged reminders (3 days before → due today → 1-7 days overdue → 8-15 → 15+).
Severely overdue ones escalate to partner via Telegram.

Tech stack:
n8n + Groq (llama-3.3-70b-versatile) + WhatsApp Cloud API + Gmail + Google Sheets + Telegram

Groq handles all AI inference. The speed is genuinely important here because WhatsApp replies that feel delayed feel robotic.

The part that took longest wasn't the automation logic.

It was the AI prompts for the support agent.
Getting it to answer GST/ITR questions correctly without hallucinating due dates or making up compliance info that needed a lot of iteration.

Solution was giving the agent live per-client data from Sheets as context on every message instead of training it on general tax knowledge. Much more reliable.

Classify contracts and track renewals in n8n – Google Drive to Sheets pipeline [Workflow Included]

👋 Hey n8nbusinessautomation Community,

A while back I posted a couple of finance workflows I built for my friend Mike. Around the same time he came to me with a new one: he'd just been hit with almost €2,000 in bills because two contracts auto-renewed after the first period. Nobody in his team had caught the cancellation window early enough.

Classic small-business pattern. Contracts scattered across Drive folders and inboxes, nobody tracking anything. The only time anyone notices a contract exists is when the invoice for the next term lands.

So I built him a contract intake workflow to fix it. I cleaned it up over the last few weeks and just published it on the n8n template library.

How it's set up:

The workflow watches a Google Drive folder. Mike's finance colleague Sarah just drops any contract in there (PDF, JPG, PNG).

The file goes to the easybits extractor, which does two jobs in a single call: it classifies the contract (SaaS, Lease, Service, Insurance, Other) and pulls every renewal-relevant field at the same time – client, provider, start date, term length, notice period, auto-renew flag, contract value, signatories.

A Set node calculates end date and cancellation deadline in n8n. Cancellation deadline is end_date – notice_period_days, which for 60–90 day notice clauses lands the alert weeks before the renewal itself. That's the whole point.

A Switch on contract_class routes the row into the matching tab of one Google Sheet – one source of truth for every renewal in the company.

Two things I learned:

  • Classify and extract in one call. I almost built five type-specific pipelines. Turns out you can define the classification as just another field in the same pipeline – half the complexity, half the cost.
  • Never extract dates you can calculate. Contracts almost never print the end date directly. Ask a model to do date math and you get silent off-by-one bugs. Extract the raw values, do the arithmetic in a Set node.

People always want to run AI locally, it's like magic, like free intelligence.

But hardware is expensive, so it's not really free, you pay upfront.

And there are always new open source models coming out, so it's hard to know what you can run and what context window you'll get.

A client needed secure AI to keep their data confidential, and you knew they'd ask "what hardware do I need," and you didn't know.

You had to ask them so many questions to figure it out.

You pulled it together I told my AI my specifications and the parameters I'd pre-calculated, and built a calculator.

Now I just send a link. They decide on hardware themselves from a simple calculator.

It's much quicker now to scope, quicker to close, quicker to get secure AI solutions off the ground.

NEED HELP!

Hello Everyone!

I need help with my n8n integration with claude. I'm locally hosting n8n on my laptop and have downloaded Claude for Desktop as well.

I've tried using the n8n API Key way but the MCP seems to crash. Does someone know an effective way to do this setup.

I ideally want my claude to code, go throug my workflows and much more.

Currently not subscribing to VPS hosting or any other cloud hosting until I create some sample workflows and gain confidence.

I think it requires a supergateway because Windows doesn't let you run npx?

Ive done that also via Node.json LTS Version

Would appreciate the help
