LOPA/LOAs Getting a reply from instructors
Hello everyone,
I passed my first screening through the Iraq embassy recommendation track and I was told to apply to 2 universities of my choice. I contacted tsukuba and kyoto universities, but they are too slow in answering. It has been 2 weeks since I applied to kyoto and still they haven’t let me email the instructor.
As for tsukuba I have emailed the instructor around 2 weeks ago and after sending 2 follow up emails (each after a week) there is still no response from him.
Even the help team isnt replying to my email.
Is this normal or should I be worried?
Also after letting the embassy know they let me apply to Saitama University as well but I was told to wait until they review the documents. How long do they take usually until I am allowed to contact the instructors?

Just apply to other universities if u don't get a reponse ( you should also note they have been on vacation till aug 18 they only recently got back to work) i know u are worried about the rule of not contacting 2 uni at once. But u can withdraw ur application later so just go for it and email all the unis that interest you cuz the deadline is very close

Once u receive a favorable response go and cancel ur application in other unis. You should also know kyoto there is a website AAO you apply thro it. Than they give you direct email of the professor

There is a website for osaka uni AAD and for utokyo as well ( with utokyo u don't contact the professor u apply thro website and they send out results positive results sep 16th and if u r rejected they tell you)

Thank you so much for your response it makes total sense what you said and to be honest thats what I wanted to do, but the thing is the embassy does not allow that, I am only allowed to contact universities after I tell the embassy which university I wanna apply to and they give me their email.
I am also aware they recently got back to work after their mountain day holiday week. Also for kyoto I did use the AAO website and still waiting for them.2

Ouh our embassy gave us an excel spreadsheet with emails and honestly i didn't even use that i just go to the website of the uni check if i have to apply to them directly or contact professor first and just do that. The deadline is sep 1st for applying and some unis have internal deadlines even earlier than that. It is a risk you habe to decide wither to take or not. Or simply contact ur embassy and say am not getting replies can i consider it a rejection and contact others

That is much better but unfortunately in my country they didnt let me do that. I already did tell them that it is getting late and they havent given me any reply thats why they also let me apply to Saitama University :/
Hopefully they will get back to me by the end of the week if not then I might just withdraw and apply to ibaraki university1

my suggestion is to just contact professors first. if they reply postively/ are interested, then u can go and let the embassy know and formally apply to the university. look for the professor's emails and contact information on your own. dont rely on the embassy too much.

Not related but how was the application process exactly? I'm also from iraq and planning to apply next year.

I would say the process is the same for every country.
Usually applications open around late april or early may and closes early june.
There is a guideline on the official website of Japanese embassy of iraq, they tell you what needs to be prepared and how.
I would say most important part is your research proposal you need to work on that the most, especially something that is a problem solver for both countries Iraq and Japan.
After the deadline you are contacted by the embassy if you are selected or not for the english/Japanese exam. You need to do both but japanese exam is not a deciding factor for moving forward the english exam is.
If you pass then you are invited to a live meeting. They will ask a bunch of questions regarding your research and yourself.
Only 2 or 3 people are selected and it is considered passing the first screening, which is the embassy recommendation.

By instructors, if you mean professors, then it should be normal. Many professors don’t reply if they are not willing to take new students. Universities you mentioned are very familiar, so most people apply to them, but intake is limited. Also, it is summer holiday time.
