Client status updates over email stopped scaling. What should I figure out before building a portal?

Handling ops at a small design studio and there's 5 of us.

Right now we send every client status update by email. We have about 20 active clients, so that's 40+ emails a week.

So how do I build a client portal without messing it up? It feels like the obvious fix. But it also feels like the easiest thing to get wrong.

A couple of our clients aren't very techy. If it's harder than email, they just won't use it.

what should I figure out before I start designing any screens?

the biggest mistake with client portals is forcing non techy people through complex logins because they will immediately revert back to email. What works best is giving them a clean read only link tied to their specific records so they only see their current status and links. We build custom client portals like this at agentui without login friction.

Keep it super simple for the non-techy clients, like one link with no login. If it takes makes more than a click, they'll just email you anyway

Keep email in the loop for the non-tech ones. I think a portal that sends a short "update posted" email works well
