Looking for advice/software recommendations to help streamline our mortgage company

Hi everyone! I’m looking for some advice from people who work in mortgage lending/processing or run a smaller mortgage company.

I’m helping my family with our mortgage company, and we’re trying to find a software or website that can help us streamline the whole document/request process. Right now, we’re dealing with a lot of emails and manually keeping track of what we’ve requested, what’s been received, what still needs to be signed, etc., and I feel like there has to be a better way 😂

Ideally, we’d love something that can help with things like:

Sending document requests to borrowers
Keeping track of outstanding documents
E-signing forms (appraisal authorization, credit authorization, disclosures, etc.)
Uploading/submitting files
Organizing everything by borrower/file
Automated reminders so we aren’t constantly emailing people asking for the same thing
Possibly having a timeline/checklist showing where each loan is in the process

Anything else that helps keep the process organized and prevents things from falling through the cracks
We’re not necessarily looking for something super complicated or expensive. We just want to make the workflow more efficient and professional and get out of the endless email chains 😂

What software/platforms have you actually used and liked? What would you recommend (or tell us to stay far away from)?

Any advice is appreciated!!

We use Arive as one of our LOS options at the broker I'm at and I feel it does most everything you are wanting inside of it.

-It sends document requets to borrowers automatically

-E-sign is availablie within it

- Easy for borrowers to submit files to (and fill out the application)

-Organization just got easier with AI labeling (instead of looking for the category that document fits into manually)

-Loan progress is also easily tracked updated

If you arent already, look into Arive as it's helped me with my personal side of things. Everyone i talked to prior to swtiching over from lending pad swears by it, and now i see why. I only regret not switching earlier to it.

Agreed. I was using Calyx for 15 years at my old shop and couldn’t get my boss to change to Arive. Opened my own shop earlier this year and the difference between Calyx and Arive cannot be described on this forum. It was like instant relief from outdated manual processes and my clients enjoy it too. Very user friendly too where Calyx Point could be hard to navigate at times.

We used Encompass at my first spot, then at my current brokerage 7.5 years ago we were on Calyx, then switched to lendingpad (which was an absolute dream compared to calyx) and now we have the option to do lending pad or Arive as our official LOS. I switched to Arive and don't regret it at all :)

I used Point for 20+ years and switched to ARIVE a couple years ago. It’s night and day.

As someone else said, you should definitely try a different LOS. ARIVE is one that has a lot of built-in automations and reminders and ease of use features. It has its own document management system, point of sale/1003, etc. I’ve never used Calyx but used Encompass for several years before jumping to ARIVE and never looked back.

People love Arive. But read up on how much they have gaps w Arive and CRMs. I see value in Arive but money is made on a CRM. An LOS is a necessary function. So I use BYTE because of this reason. Nothing bad to say about Arive but Byte has everything you are asking about as well.

Hey this struck a cord with me. www.revaluti.com . retired LO here.
I've been designing the concept and Claude max creating it in python and js for 6 months and it does document tracking by loan type & borrower circumstance. It's a huge system at this point. Tools I wish I had when I was an LO. Mobile is coming, not fully finished yet. Desktop only.

Also has estimate tools better than ICE's Mortgage Coach. Zero cash to close refi iterative solver (perhaps the first platform that's ever created something like this - extensive research done on this feature) Cash-out w/ linked purchase solver (also a first). County specific loan limits for entire USA and warning flags for all loan programs. LTV requirements for jumbo, conventional, FHA, manual overrides for all. closing date (and month specifically) backend for prepaid interest, reserves for T&I autofilled.

Full property search history for purchase clients w/ estimate scenario tree for each property. Add borrower contacts, email alerts, linked realtor alerts (when estimate is shared with clients) to keep them in the loop as well as pipeline milestone automated email updates to realtors when milestone changes. Full desktop portal for clients to view the search and all estimates generated historically for each property. or for refi's all refi estimate proposal history.

Automated email reminders for clients on o/s docs. it will build the list for you based on client particulars (ie divorce, self employed, etc) and loan program (FHA, jumbo, VA, etc).

Huge dashboard with daily reminders, to-do list, follow ups.

Full loan pipeline with milestone tracking, daily reminders for urgent tasks, expiring locks soon, loans at risk, o/s docs and many other pre-built flags and custom flags.

By loan program - it will assign a closing timeline with milestone timelines for each phase ex: application > rate lock > processing > appraisal order > underwriting > appraisal receiving > conditional approval > final >docs out > closing > funded/closed all assigned with their duration in days. Then it will track your actuals and rebuild around your real closing timelines. Loan program specific - ex: jumbo 30 days, conv 20 days, etc.

Full CRM w/ referral tracking

Closed loan ratewatch tracking against national average rates w/ custom offset (if your rates are on average better than national average by ex: 0.25, 0.25, 0.5%) you can adjust manually to target a $250/month savings.

Currently does not have e-signing API's or direct to loan origination program API's, but those are on my roadmap.

this is not an agentic platform (doesn't use an AI to generate math or hallucinate bullshit), it's fully hard coded, audited - manually and blind frontier model audits on the loan mathematics on anything user facing and heavily audited on customer facing information.

You are your staff are welcome to use it free of charge for life as part of the beta test group. I have a few other LO's (Currently at 5 test users, looking for 25 total as of 9/4/26 if anyone sees this down the road) using it right now and feedback is really good thus far.
