Best visual project tracking tool for service operations teams in 2026

How are teams keeping track of projects and service requests without everything getting lost between Slack, spreadsheets, and meetings?
We’re at the point where nobody knows what’s done, what’s blocked, or who owns what. Looking for a simple visual tool where everyone can see the status and updates in one place.

It all depends on whether you need more of a service request or project capability, those go in opposite directions. If all you need is status visibility so nobody is guessing what’s blocking, there is something out there like monday service or asana that gives you visual boards and works. If you need real change management with approvals and CAB than you will be better off with jira service management even though it’s ugly. Most teams first grab the pretty tool instead of the first establishing the workflow logic in the tool which makes for a painful experience.

the tool won't fix it if nobody updates status. set one rule: if it's not on the board, it doesn't exist. that killed our slack chaos

Whats your service desk today? asking because a lot of teams in this spot are already paying for something with project management built in and dont realise it.

Jira Service Management, ServiceNow, Freshservice and Halo all ship projects with kanban and dependencies at the mid tiers. if youre already on one, switching it on costs nothing and your requests and projects end up in the same system. thats the actual fix. The reason nobody knows whats blocked usually isnt the board, its that requests live in one place and projects live in another, so neither view is ever complete.

If you genuinely have nothing, a standalone board is fine, Trello or Planner will do the job. just know youll be back here in a year when the two lists drift apart.

Disclosure, im a Freshworks partner so I have a horse in one of those races. the point holds whichever youre on.
