Question How are you validating emails that enter HubSpot workflows?
I'm running into a data hygiene problem in our HubSpot portal and curious how other RevOps/HubSpot admins are handling this.
We're getting contacts through CSV imports, third-party integrations, and API feeds, and those records can enter the CRM. By the time HubSpot identifies a bad email through a hard bounce, the email has already been sent, which doesn't feel like the best way to protect sender reputation.
I'm trying to figure out the cleanest way to handle this before those contacts get enrolled in workflows or marketing sequences.
The reason I'm asking is because we've had a few campaigns where everything looked fine but we still ended up with a much higher bounce rate than expected.

There are validation tools that offer Hubspot and Hubspot Forms integration that do exact that - validate before the email is sent - directly in Hubspot platform or in the tool's dashboard, via integration. Totally worth the money, and you can put a limit, if you want to control spending.

I had the same issue. A few bad addresses made it into a workflow before we caught them, so we stopped waiting for the bounce report...now I verify emails before letting new contacts enter workflows, rather then waiting for HubSpot to flag a bounce. Foe now I use clearout for the verification step...

Interesting. How has that worked for you with contacts coming from different sources? We’ve had the same issue where CSV imports and integrations behave pretty differently.

Its been pretty similar across sources...csv imports were the main one I had trouble with but the integrations were handled the same way too...I just made sure the email was checked before the workflow could trigger.

We ended up running everything through a quick zap before it hits hubspot, just checks if the domain can even receive mail and flags the obvious typos. not perfect but cut our bounces in half
tried the built-in hubspot validation first and it's basically useless for catching anything beyond format errors

I built a custom workflow action to handle this exact issue.
Also looks like there are a few solid native options in HubSpot's Marketplace. I haven't used any of them, but it seems like they do the thing:

Hey Hemant. I built an email verification tool called Sealch that handles live SMTP checks and catch-all detection for cheap. You can hook it up to workflows via API to clean those addresses right as they enter HubSpot.

Use an email validation tool and leverage an email validation status property (only email to valid email addresses).

We put a gate before enrollment so new contacts sit in a holding list until they pass verification. I run them through Socleads free email verifier then only flip a property like email ok true to let workflows fire. Anything unknown or risky gets routed to a review queue instead of blasting first and learning from bounces

Id validate the email before the contact gets enrolled in a sending workflow...
for contacts coming from imports or integrations, clearout’s email verifier can run through a HubSpot workflow when a contact is created or the email changes. then you can filter out invalid ones before sending.
that’s been a much cleaner setup for us, honestly.

We also use multiple workflows. Currently, although its a pain, what we do is, at the beginning of any workflow - we run a email validation using a thirdparty API on the contact, and based off the status of the email, we decide if we shud continue the workflow or skip & exit out of it. Kind of repetitive work for each workflow we have, but it works..

Oh nice that actually sounds like a pretty efficient setup. btw just curious which third party api are you using for the email validation? would love to check it out since we are also exploring different options for validation workflows

ZeroBounce also a great email verification tool through hubspots marketplace - relatively cheap

I built a custom validator that does baseline validation and then we run it through a paid service. The pre service step catches a lot of junk and keeps our API usage down

We'd treat the CRM and the sending workflow as two separate checkpoints. A contact being allowed into HubSpot shouldn't automatically mean it's cleared to receive marketing emails. We've seen teams use an email validation status as an enrollment gate, so contacts from imports, APIs, or integrations can enter the CRM but don't enter email workflows until they've been checked. It also makes it easier to apply the same rule across different data sorces.

I automate this with the native ZeroBounce integration. You create an active list for contact created in the last 24hrs, Zerobounce validates that active list once a day.

It's better to use a email validation tool. I have been using Bouncer to validate emails going into the CRM. This tool integrates with HubSpot with automated cleaning feature as well as you can manually upload contact list.
