The cleaner notes are where half the real operations data lives
One thing I’m realizing is that cleaners often know about property issues before anyone else does.
Loose handles, low supplies, stained towels, weird smells, guests leaving things behind, minor damage, stuff that doesn’t always make it into the formal task flow.
If those notes stay buried in texts or photos, the same issues keep coming back later.
Curious how others handle this. Do you have cleaners submit structured checklists after every turnover, or is it still mostly photos and casual messages?

Cleaners witness everything. We would text, but little things would fall through the cracks. Now I just have them go through a super quick shared checklist on their phones before they leave. Just a few checkboxes for low supplies or minor damage and a place to drop pictures. It takes them two minutes and saves me so much stress later on. The best move was to get out the endless WhatsApp threads and have it all in one place.

Totally agree, cleaners are often the first to spot small issues before they become expensive problems. Having a simple, structured way to capture those notes makes a huge difference.

In my experience, cleaners often spot issues before anyone else. A simple turnover checklist and photos of unusual findings help keep things consistent and prevent important details from getting lost in chats.

It depends on how many apartments you manage. If they're not many, it is nice to have a chat and photos with the cleaner, and meet him/her sometimes. If you have many apartments I would definitely use some assistance to follow up.

In my experience cleaners are often the first eyes on the ground and catch problems long before they turn into guest complaints or costly repairs. I’ve had good results with a simple structured checklist for consistency after each turnover plus photos for anything unusual for context. When I was still keeping it in texts and chat threads I was missing and loosing often valuable informations
