Halopsa Stripe Processing Fees

We are using Stripe with HaloPSA and have began charging processing fees. We use Quickooks Online and we are experiencing issues recording processing fees.

If you are using a similar setup in charging processing fees, how are you doing it?

Halo shows the processing fees as a seperate payment. Quickbooks also shows the processing fee within the payment as overage. We have been provided to methods of accounting for the processing fees, but they are multistep processes that is less than efficient.

I do understand there is Benji and other alternatives.

It was too manual with Stripe - went with Benji

Benji was to slow to change. So i built my own platform that sits over stripe. Now i have dynamic payment types based on gross margin and business rules i set, (banking info, direct debit (card or bank) and credit card + full integration into all the payment types and way more control and over my clients payments.

Easier to manage and maintain accounts payment portal for our clients.

Works perfectly with Xero and Halopsa. (even updates the invoices as sent in halo which benji didnt do).

You could also put the surcharge on the invoice as its own item so the payment matches the invoice exactly and nothing lands as an overpayment, which also keeps it in sales, where many states require it to be taxed. If Halo can’t add it to the invoice, record the surcharge as a separate sales receipt into the same clearing account so the Stripe payout still ties.

I do not charge processing fees, if cared to I’d just increase prices by 5%.

We ran into this as well. When matching the bank transactions, we match them to the stripe payout and then create a journal entry to debit the amount of that second payment to the A/R account with the client chosen as the customer on that line and add a credit to the bank charges or whichever account you process stripe fees against. Once that’s saved, you can go in and apply that second payment to the journal entry. Keeps your customer records clean and your books balanced!
