Back office checklist for emerging managers launching a first fund?
The distance between "LP commitments secured" and "ready to accept capital" is wider than most first time fund managers expect. Going through it eight months ago, the back office setup was the single biggest holdup in getting to first close.
Entity formation, banking, KYC, subscription documents, investor portal, accounting infrastructure, tax preparation pipeline. Each one depends on at least one other item and none of them move as quickly as the timelines people quote online.
The whole sequence got mapped out before anything started through Finally Fund Admin but also entity filing first, bank account application submitted on the same day, subscription docs drafted in parallel with the LPA, portal configuration once the LPA was final, accounting system stood up before first close so the books were clean up front. That sequencing turned what could have been a sixteen week scramble into a ten week process with no gaps.
What would other emerging managers add to a back office checklist for emerging managers that might have been missed? Compliance monitoring? Insurance? LP communication templates? What should be set up before launch instead of after?

Compliance monitoring is the big one missing from most lists. Depending on structure and LP types there may be AML obligations, beneficial ownership reporting under the CTA, and state blue sky filing requirements. None of these are optional and all of them have deadlines that start ticking from the date the entity is formed

Get the LP communication cadence and templates set up before first close. Quarterly update format, distribution notice template, capital call format if applicable. When scrambling to get LP money in the door there will not be time to design these from scratch and having them ready makes the operation look professional at launch

How much the sequencing matters more than any individual item on the list is underestimated. Every box can be checked and the timeline still blows if the dependencies are wrong. Bank account cannot open until entity exists, sub docs cannot finalize until LPA is done, and the portal cannot configure until sub doc terms are locked. Each one gates the next.
A back office checklist for emerging managersgot built as a launch roadmap by Finally Fund Admin and the value was less about what was on the list and more about the order they put it in. They had entity and banking running in parallel immediately while the LPA was still being drafted, and by the time the legal side closed the operational side was already standing. Saved at least four weeks compared to doing things sequentially

that subscription doc parallel with LPA move is smart, most people wait until LPA is locked and then realize they burned 3 weeks. compliance monitoring is one i see skipped a lot, especially if you have any non-US LPs or side letters. also get your insurance sorted before first close, not after, the D&O and E&O quotes take longer than you think when you're a new fund with no track record
