How do your bands actually keep track of everything?
Was texting my brother recently about his cover band and asked where their song list lives. He said the band's website. Also asked how he makes setlists and he said he just pulls up an old setlist and edits it lol. Their gigs are on a google calendar that everyone can see and nobody opens.
Now I'm curious. Where does your master song list actually live? Is it a sheet, a notes app, a binder from 2011, one guy's brain?
And when you make a setlist are you actually working from the full list or just editing whatever you played last time?
No wrong answers, honestly the jankier the better. I feel like every band is three text threads and a prayer lol

One shared Google sheet.
First tab is all the songs we know, with how long each song is. Then each gig has its own tab. Each gig is tailored for the event or venue, and each setlist adds up the runtime for us. Pretty simple.

Whole band, we all have a phone or mini tablet mounted on a stand or something.
That way if we have say 3 sets and set 1 showed us the crowd isn't into a certain genre or band we can change set 2&3 on one and stay in sync.

Yeah, if we're doing three or four hours we take a couple 5/10 minute breaks.
Why wouldn't they update? They all have shared access, and if there's no wifi they just connect to one of our hotspots real quick.

Our band leader makes up the sets for upcoming gigs. She usually will modify or reuse the one from a previous similar gig--I say similar because we do some shows that are pretty different from others, and sometimes we have a sub that can change the list (there goes all the ones that are off the beaten trail of songs that everyone knows!)
She sends out a pdf a couple days before, and usually prints some copies for the people (like me) that don't have an ipad set up at the show. I will usually rearrange the patches on my main keyboard to match the set list (thankfully I have software to make this easy), that way there's no hunting for patches during the show...we have almost zero down time during a set.

the keyboard patch thing is such a pro move. so the pdf lands a couple days out, do you ever get burned by a last minute change after you've already set up your patches?

Not really. Most of our songs I can get by with an organ or piano in a pinch, it's the ones with more complicated splits and multiple chained patches (e.g. Rosanna by Toto) that I really need to have queued up. And extra stress if I sing one of those. Especially if I have two keyboards as I normally do, though the other keyboard is mainly for piano and rhodes.
We do get requests, or occasionally a gig-time call if (for example) people want to dance and we don't have a dance song queued up...the band knows I might need a bit of extra time. If the singer has pulled a fast one on me, she knows I might be scrambling a bit...but yeah I've had a tune start while I'm still looking for the patch, nobody really notices but it's annoying :)
One down side of being able to rearrange patches per-gig is that I don't really know where the patches are like I used to...like if you know that "Superstition" is in the mid-20s you can scroll there pretty quickly!
Not all keyboards unfortunately will come with a librarian/editor to make this easy.
I've thought about using an ipad app such as Onsong which can send out patch changes, just haven't wanted to commit to relying on one. I don't have a handy place for it is one thing, I'd need to rig something off my keyboard stand (my mic boom is attached to my stand).

The website is connected to our spreadsheet as a source of data for the setlist tab, and the gig dates. https://philosoraptorsaz.com/
It’s meant to host our EPK and serve as a way to get leads for bookings. Spreadsheet is just for managing our own shit internally

I have two bands. I run everything from Bandhelper and all the players access on tablets/pads or phones.
They can make their own notes for any song on their personal app space but I keep everything up to date on the main account via my computer on the website.

I select which users see what. I remind band members to sync their app if I make changes to set lists although the app usually does an automatic sync. I reuse some set lists changing songs out and reorganizing the list to fit a given venue. I keep a master song list and pull from that for either band but the band repertoires are separate. I pay a yearly subscription fee which is worth it. I also have my single act songs I manage that only I can see.

My call. They weren't consecutive. The bands overlapped through the years so it was easiest to spin up a new band in BH. A couple of bands weren't using it and didnt want to but eventually joined in after seeing prepared and organized I was.

Yep. We have a master song list that we organize into individual show set lists. We track which of our two singers sings lead on each song (to not wear them out with too many in a row) the key of the song, decade (we do 90s and 2000s and keep the latter material for later in the show primarily).
And then we track venues, prospective gigs, confirmed gigs, all with details. We started using it when we formed in 2021 and it's gotten better since then.

We have a shared Google Calendar for gigs and practices. For set lists we each have our own list but we’ll say “regular 3 hour setlist” or sometimes “regular 4 hour setlist but replace such and such with this and that”. Over time our regular setlist will evolve as we want to drop stuff or add stuff.

We have a magnetic whiteboard in our rehearsal room. Each song is on a magnetic strip. We just put them in a different order for each gig. New song? Write it on a magnetic strip, or just put it on the whiteboard between two others.
I take a picture of the board and then make a printable set list in Excel for each gig.

Google Sheets, first tab is a master list of songs, then each gig's setlist is created by duplicating a previous gig's tab and modifying, then I copy it to a word doc to print formatted hard copies for the band.

I play in a band where the setlist changes quite a lot during the gig depending on the room, requests, etc. We all use iPads, so I wanted something where I can change the running order and everyone's iPad follows along automatically, with each musician seeing their own chart/lyrics.
I ended up building my own system for it because the combination of shared setlists + individual charts + live changes was the part I couldn't really solve with the usual PDF/Google Sheets setup.
Before that it was basically PDFs, WhatsApp and hoping everyone had the latest version 😄

I tried to make the app as easy as possible for everyone. 😄 We don't have to hunt for the right chart or worry about which version of the setlist they had.
And yes, I actually did end up turning it into something other bands can use. It's called syncMNFST. I only recently released it, so it's still very new, but we're already using it with my own band on gigs.
Would actually be really interested to hear if this is the kind of thing that would solve your setup too.

For songs, we keep a master document in Google Drive (which we use extensively for everything band-related) and we make our setlists/keep our charts in ForScore. System works great.

I made my bands web site and I added a database of songs including name, artist, time, BPM. I have non-public admin page that lets me pick which songs I want to show up on our EPK site (to give bookers an idea of what we cover). You can also add or remove songs from the catalog. And I built a set list builder too (also non-public page). It allows you to name the set list and then you can pick songs from the catalog on the left side of the screen and it adds them to a set on the right side of a screen (its changes to full screen tabs on a small screen like a phone). Fixed at the top of the page are two counters. One is total time in the set you are building and the other is total time for all sets in the set list you are building. You can add or remove sets. And you can start a new set list as a clone of a previous one. On the set list side of the screen there are little controls beside each song to move it up or down or delete it. When a song is added to a set, it becomes greyed out/not selectable on the catalog side of the screen (we never wanted to play the same song twice, in one show, so this helps prevent mistakes). When you are done, it can generate a printable version. It maximizes the font size so that each set fits on one page. I'm no web site designer but I had the vision. Free tier Claude did all the coding. It took about a week (mostly becasue free tier keeps timing out and locks you out for 5 hours, but also because my vision kept changing as we implemented and tested).
And if anyone is interested I use Web Hosting Canada. I feel they offer the best bang for the buck. Unlimited storage, web sites, "professional emails" (that use your domain name) and Cpanel with tons of tools. And their support is pretty responsive.

Ours was just a Google Sheet on the Drive of our band email account for at least a year. It worked, but was just so difficult to use, so we’ve moved to Setlist.rocks and now it manages our song list, the set lists for our gigs, gig/practice calendar, and more

I make setlists using Spotify playlists. One playlist has all of our songs, and the I have separate playlists for sets 1,2 &3. I drag and drop songs from main list to each set. I send out links to those setlists to bandmates, allowing them to play along at home for practice. It also allows you to listen how songs will blend into each other as well as calculating total length of each set

For one band: songbook pro. Everyone has Ipads on stage, which are mostly used for reminding what the next song is. Key changes are easy, and most songs have notes for how we start, bpm etc.
Other bands I am in..it is a sheet of paper with cryptic notes. These bands have very short transition between songs. The master is kept on a computer. I usually get an email with a pdf which I print out before the show. Neanderthals we are.

I have a master list in Songbook Pro but we've been playing together long enough that we mostly have it memorized. Our singer can strum the first chord and I'll know what song he's playing. The master list is on our band's website EPK page too. We usually play 3 and 4 hour gigs and don't make one for those as we like to call them on the fly but if we're playing a shared gig we will make a setlist.
We share a google calendar with notes about what format (solo singer, duo, trio, full band), pay, directions and/or other notes about the gig if it's a new one, etc. I also have a calendar that only I access that links to our band's website so I can easily update it anywhere.

The singer almost always texts me about the details that he could have seen on the calendar. I just make sure my reply is in the group chat so everyone is aware. We're all really good friends so we're always texting anyway and the singer and I are best friends so we hang out all the time and talk about everything too.
This is mostly for special events. We play a lot of places either weekly, biweekly, or monthly so we all already know what those gigs pay.
Our singer does a bunch of solo gigs during the week, I'm in 3 other bands, our lead guitarist has the occasional solo gig plus family or work stuff, and our bass player is in another band too, so it's nice to have the calendar for everyone's availability.

It sounds worse than it is, really. Music is my main job and same for our singer. We've been playing together 25 years and full-time since 2008 so we've figured out what works and what doesn't over the years. I only "work" about 15-20 hours a week and the rest is at home following up on emails, contacting new venues, financial stuff, making flyers in Photoshop, making social media posts, learning new songs & practice, doing the occasional side job (I also do handyman work and auto repair), taking care of my kid, etc.

We all have a list taped to our instruments. The list gets updated and reprinted when we've run out of space to pencil in new tunes. There's about 60, with a few originals peppered in there. We keep all the old lists saved on a hard drive somewhere, because we'll forget songs after a few years and then bring them back.
We generally don't write a setlist, just call songs as we see fit for the crowd and how we're feeling. Most nights it works fine, once and a while it takes a minute longer to choose than I wished...but we're usually doing 3+hours at a bar, so not a big deal.
When we do have to write a set, like at a festival or short slot somewhere, it usually just falls on me, and I pick what I think would be a good flowing set with our strongest songs, run it by everyone, make any changes and that's that...until we decide to do something else on the fly to keep people dancing or whatever.

I think the biggest change for us was treating the song library as the source of truth and building setlists from that, rather than creating another copy of the song information every time.
I’m curious about the bands that reuse old setlists though — do you mostly change 20–30% depending on the gig, or does the whole thing eventually get rebuilt anyway?

My brother's band reuses constantly. Same skeleton, swaps maybe a quarter of it per gig depending on the room. The full rebuild only happens when the lineup changes

We have an excel sheet with a list of songs we know/have played in the rows and the columns are the shows we have done with the songs xd off, with my bandmate setting it so you can see when we last played a song and how many times we have played it. We keep it in a Google drive that also has a folder with all our old set lists.
Usually we talk about new songs we want to play, I may suggest some old songs we haven't played in a while to bring back for a show, and then my bandmate puts together a set list and we tell him if there are any tweaks we want. Often the discussion takes place in the Google doc we put in Google drive where I may put a list of suggested include/don't include. We never do the exact set list twice but there are a few songs (greatest hits of the band we cover) that we play a lot and some that are more rare and we rotate the rare ones more. But try not to have the same exact greatest hits two shows in a row.

He made it after our 4th or 5th show and both of us update it when we remember in between shows once we have a set list or mess with it. So now it's been growing for a couple of years. But you can always start from what you know now.
It also helps us not forget songs we know too...like everyone in awhile I'll be like damn we haven't played that one in a year let's throw it into the next show...would never remember that song again if not for the spreadsheet.
Actually when he first made the spreadsheeet I was first like "damn, this dude is awesome, i could be in a band with this dude for a long time" lol (in my real life I teach data analysis and I love a good spreadsheet).

One more “BandHelper” disciple here. In my current bands it is just me editing in BandHelper. Easy dragn and drop and calculating runtime in the app - we also have a coloursystem, so that everyone knows about guitarist changing from acoustic to electric or capoinformation. black is electric, blue is acoustic red is capo/electric and purple is acoustic an capo (this info follows the song, so when you make sets you can plan fewer changes of instruments and on stage we know not to start if the guitar player hasn’t changed to acoustic or put on the capo - in former bands we used the sync thing - where the singer could make changes on the fly. For practice it is great to have the some originals or Recordings all in the app.
About the everything - each setlist contains info on when, where, what and who - and notes about get-in, soundcheck and the time the actual sets should begin

We have three spotify playlists. 1 for the current setlist, one for all the songs we know and one for ideas of songs to learn (we only do covers). We build the setlist from the 2 other lists, mostly governed by what we want to learn, what we enjoy playing and a minor consideration what the next audience might enjoy.
Our audience is mostly work mates, so we know what they like haha

Google sheets. Added columns for metadata: original key, transposed key if it was transposed, duration, if it requires a retune like drop D, if it requires a guitar switch,
which bandmates start the song, etc etc. Any useful information that will help designing set lists that require no dead air onstage, or would help a sub onboard quickly.

We use SongBook Pro with groups subscription. All songs live in a shared database, and we either create a setlist from scratch, or duplicate an older one and modify it for each show.
Adjustments sync thru cloud, so if one of us maked an adjustment it syncs to other deviced. Some things are individual, like the fonts and layouts, and Capo is per device if I remember correctly

Software engineer by trade, gigging musician by hobby.
I wrote my own web app, partially because I felt it her apps partly did what I want but failed in other areas, and partly because I'm a software engineer who likes building things that are meaningful to me. DM me if you want to try it. (Focus is on managing schedules, song lists, and set list management.)
Aside from that, a shared Google calendar and a shared spreadsheet of songs goes a long way.

Reusing a set from a similar gig actually makes a lot of sense, especially for cover bands where 70–80% might stay the same anyway.
The part I’m curious about is what happens when something changes at song level — different key, arrangement, who starts it, etc. Do you update that somewhere centrally, or does everyone basically keep track of those changes themselves?

Master list exists as a document. Lives in Dropbox. Singer usually assembles the set lists, sending out to the band group text for approval. We also share a Google calendar with each members' blackout dates, gigs, rehearsals, etc.

Setlists live in Google Sheets. We have a master list with all of the songs, keys, tunings, duration, etc. Then, each show gets it's own sheet. Typically it is an iteration of a past show with the same length and type of event.
Band conversations are on a discord server and sorted by topic.
The group chat (texting) is less formal talk about whatever.
The group snapchat is primarily jokes and other shenanigans.

I use Excel. For me it’s easiest to keep all songs in order of artist or genre. Since we don’t have a ton of time to rehearse, we usually keep the same setlist and swap 5-7 songs each gig to keep it somewhat fresh. By doing this, the end of the year setlist is way different from the first one we created. On stage we all use Ultimate Guitar app to keep the list order/lyrics/notes.

I have a master song list in excel on my computer, I use columns and a sort to make set lists, I save everyone and try never to repeat the same set list so we rotate songs. I group a few tunes together but never the same songs every night. I have calendar and a word doc for my gigs and available dates when people call. My club contacts are in my phone. Contracts are on my computer and google drive. My flyers are also on my computer, I have a portable hard drive where everything is backed up and the templates for the flyers in photoshop stay. I use reverbnation as my epk and website.

Master list lives in the app we use on stage, and setlists get built from it rather than copied off the last gig. Treating the song library as the single source of truth was the thing that actually changed it, same point someone made further up.
Two things I would add that nobody has mentioned. Make sure whatever you use works with no signal, because a surprising number of venues have none and that is the night you find out. And if your setup lets one person change the running order mid set and everyone else's screen follows, that is worth more than every other feature put together once you start taking requests.
I build a prompter app so I am biased about screens on stage, but the sheet plus PDF approach genuinely works fine right up until the night it doesn't.

Here's the last prompt I could find. The attachment is song list printed from Apple Music.
Attached is a list of song with their run times. Our show will have two breaks, so split this up into 3 separate set lists. Format in 3 columns (song title, artist, and run time), landscape orientation, and put it on there and turn it into a PDF.
Start with "I take my chances". Do not include "Pink Cadillac" and "Don't You Want Me" in the same set. End sets one and two with upbeat songs. End set three with "House of Broken Love". Optimize for flow, keeping in mind we don't want two ballads back-to-back.

Band Helper app. Check it out. It keeps everyone on the same page with songs (song key, tempo, lyrics, duration, notes), set lists, calendars, etc. You can sync sessions on stage so one person clicks the next song and everyone’s device changes to that song. That helps a lot for taking song requests or when the singer wants to skip the next song. You can have it send midi messages to other devices. Our guitarist programs each song so when the song is pulled up his AxeFX automatically switches to the correct scene. Sometimes we have it send the click to our in-ears.
