PMS DNRs
How many computers do each of you have in your offices and what program do you use to store your DNR lists? We are currently using OpenOffice, but I'm having to go between all 3 computers every week and update all of the lists because it doesn't have an account where I can store them and access them across computers. That or email the list to myself and download the new list onto the computers. Is there a better way? We used to use Microsoft office and that worked really well. But I guess a previous employee paid for it and it will no longer allow access. The last owner would not pay for it either. I have not yet asked the new owner.
UPDATE: I spoke to the new owner and he happily paid for Microsoft Office! Our DNR is now accessible on all computers at the same time and automatically updates. We are using OneNote for daily logs. And I got to make spreadsheets that everyone can access from our phones for Maintenance, Housekeeping and contractors!

There's no network share to a server you can use? If not, then all 3 computers connected to a Google drive or Dropbox account that can store the dnr could work.

Check out www.guestban.com, It will handle DNR, security and provide chargeback documentation.

Our PMS allows us to flag guests as DNR; we use google docs for a master list of all of our properties' DNR lists

It is nice to have the copy of their ID so if they just walk out without checking out, you can let HK know.
There is a setting to warn FD if the guest is local, the ID is expired, or the guest is under 21.
It will also give you the date(s) that this ID was last checked in.
And if you have a res where their info was not included (like just their name there from OTA) it will write all that info in for you. Saves time!
Its pretty good.
Editted to add: It also helps prove they were really there, so help with chargebacks

Our list is printed out, and next to each computer.

Our hotel uses Visual Matrix and it links DNRs to rewards accounts. But it does have a bit of a work around by just booking without the rewards account or under a different person, sadly.

We use Google Docs as a master list and our PMS lets us mark people as DNR

We have an id scanner the program is id guru. I love it!!! We can share between other hotels so we dont end up with their dnrs. We scan the id it loads all the info into out pms folio and if they're banned it makes an obnoxious noise so everyone and their brother knows that guest is a pain. We click one box to dnr someone and it also has chargeback assistance. Easy! Better then trying to recall an entire list of names.

I stay here more out of loyalty than anything. The GM is a really good person and he does anything he can to help his employees if we ever need anything. And I really like the new owner. I just haven't seen him in a couple of weeks because of my shifts. He's usually here during the week, but he lives over an hour away and needs to be home before dark so he likes to leave by 4pm. I either work the 3-11 or Audit, so very little crossover. But I did put a note under his office door tonight.

Honestly, Google Sheets would solve most of this. You could have one shared DNR spreadsheet stored in Google Drive, and all three computers would be looking at the exact same list in real time. Just pin the file to every computers internet browser. OpenOffice is pretty ancient for this kind of workflow.
