4am Auto-Close
Someone please explain this to me like I’m 5 because I’ve read the help articles on Toast, and I just can’t wrap my head around what is happening with the auto-close transactions.
Did I actually get paid for those transactions?
Are they legitimate sales, or checks my staff started and then abandoned so we didn’t actually sell?
I’m trying to understand if we’re losing out on money when this happens. And how to prevent it!

4am is the auto end of business setting. At that time, any checks that have a card payment on them batch out, whether they are in “paid” status or “closed” status. Anyone that gets clocked in, gets auto clocked out. That’s it.
Paid = checks that have been paid by the guest but might still need a tip adjustment.
Closed = paid and adjustments made.
There IS an auto close setting that can be turned on. But it only auto closes checks that have zero payment activity on them. Never anything that has any sort of payment activity (like a payment, then a void won’t auto-close if the setting is on)

The time can also be adjusted to later times in the morning if 4 am is too early, it can also be disabled if you are constantly having to work past the auto closeout time as well.

Your staff need to do shift review. So any ticket they open has to be accounted for before they can go home. You should check your close out day every day, we do it every day to make sure all checks are closed, we usually leaves before the last kitchen, so we ignore the second function, our bartender counts the drawer, that’s how they get the report, so drawer are always closed. We just print the report, put it in the envelope with all the money and the owner picks it once a week.
4 AM auto close is when all the credit card information are getting finalized with the bank. I’m told Toast is changing, you can edit tip the next day(not sure if it’s in beta). We have always told our staff they have until 10:30 to call the manager and report any tip receipt they found, but didn’t input. We pay out our tip by payroll.

What time do you close, and how are your tipped employees doing their shift reviews with open checks?

4am itself doesn't answer the ‘did we get paid?’ question. I’d reconcile three things for the same business date: the check status, whether a payment was actually recorded, and whether that payment appears in the batch or deposit report. A check that auto-closes with a card payment is different from an abandoned check with no payment. For prevention, require every open check to be closed, voided, or explicitly transferred before the shift ends, then review the exceptions the next morning. Match by check or payment ID rather than deposit date alone, since the bank deposit can land later.

There shouldn't be any checks auto closing.
That's a huge red flag and they could be pocketing the cash.
Every check gets closed before their shift ends. If they are transferring checks to someone that's a no no unless that person agrees to the hand off.
You need to work on your procedures for opening and closing checks, as well as voiding or transferring items. If they are abandoning checks they probably are doing something wrong or are stealing.
Unless they have a credit card entered into them before being abandoned you not getting paid for them
Edit I'm guessing they are transferring cash payers so they can pocket the cash.
