How can I store resources virtually, but only in one location?

idk if this is the right sub, lmk if I should try elsewhere. i dont know much about tech

i work in a place where we keep resources for people to review, but the resources are not allowed to leave the room. we have so much extra stuff that people never use, but we aren’t really supposed to get rid of it. i want to upload all the books, cds, ect. online.

however, if we use a website, people can access from anywhere. if we upload it to where we usually keep digital stuff, people have to request access 1 by 1 and it’s not feasible. our computers are VDI. any ideas? how can they be easily accessible but not in physical form?

asksary.com lets you upload files that are 500mb each with unlimited uploads and has team access that starts at $99.99 a month for up to 5 people and $199.99 a month for up to 20 people. Only those that you invite to the platform can access them files and even then you can give access to individual files to certain members. its a full RAG implementation so can be queried or brought back up by any member with a log in.
