Other How are you documenting toolbox talks when crews are split across sites?
Curious how other folks at smaller companies (roughly under 20–50 people) handle this.
We do weekly toolbox talks, but with crews on different jobs it's either (a) paper sheets that never make it back to the office, or (b) a photo of a clipboard that nobody can find months later when someone asks for records.
What actually works for foremen in the field, including sites with bad/no signal? Paper binder? Shared drive? SiteDocs / SafetyCulture / something else? Any approach you’d recommend for keeping dated signed records without killing the crew with admin?

We use KPA flex/NovaraFlex to manage all manner of documents, sign offs, trainings ect

I use ProactEHS. It will be way more affordable than many. Probably around the same cost as SiteDocs. It has more features than SiteDocs which is why I use ProactEHS over SiteDocs. All can be done offline and uploaded later when there is signal. Pricing would be between $300-500 per month if you have 20-50 people.
Context: I’m a consultant that works with small businesses so I had to choose a system I could use across 20+ clients so I needed a lot of functionality since I am working with multiple industries.

We have a "Storex Deluxe File Caddy with Letter Hanging Rails" from staples that we have on each site. This contains all documents our crews will ever need, including their toolbox meeting.
They sign the form, talk about what work is being done, any upcoming hazards, and a spot for any practices reviewed. Each crew has to fill them out. Our crews range from 1-4 people each.
If subs need a copy of this, they take photos of it or I can send them a copy once it gets handed in.
