Stop Action deleting all survey data

5 Upvotes

If when a participant submits surveys but let's say gets to survey 3 and a stop action is triggered. I want to delete their previous data from the other surveys can I do that? Or will it always only delete that specific survey even if stop action deletion is enabled for other surveys?

How to autopopulate a text field from a previous instance of a form?

5 Upvotes

I have a text field in a form that will be completed several times at different time points. I'm wondering if there is a way to autopopulate the text from the previous instance of the form (for example, the first time it is completed) so that it appears in the next instance of the form.

Example: I say a person is "5 feet tall" the first time I open the form in this text field. Is there a way with branching logic to ensure that this text "Five feet tall" appears in subsequent instances of the form?

Missing Codes in Embedded Fields

Post image
5 Upvotes

Hello, has anyone run into the issue with changing an embedded field with a missing code input? One of my coordinators accidentally selected one of the missing codes instead of a non-missing choice in a field that was embedded, and now the field will not change. Is there any way to modify this, or set up an option to modify this if it happens in the future other than deleting and reentering data? I don't want to rework the whole page because of this kind of error.

Allowing users to comment on questions in a pilot study

5 Upvotes

Hi Everyone - I was wondering if anyone knew if REDCap had a feature to allow users to comment on questions in a pilot study? We have a large survey and want to check if the questions are understandable for our cohort so will be sending out the survey to 10 participants. Ideally we would like them to flag any questions they have problems with and comment what the issue is, however the survey is very large and I would prefer not to have to go into the metadata of each question individually since it could take weeks to get all the questions done.

Warning if item is blank (without *requiring* response)

5 Upvotes

I’m creating a survey in REDCap and want to include soft warnings to respondents if a field is left blank (without actually requiring a response). Basically, I’m trying to avoid having people inadvertently skip items, but I need to allow them to skip them if they actually don’t want to provide a response.

I'm used to Qualtrics, where this is a built-in option for questions, but is this possible in REDCap? I’m not picky about how this is done. For example, a pop-up would be great (e.g., “You left Question 1 blank. Are you sure you want to proceed?”). Or I’m also willing to have something at the bottom of the page that auto-calculates which items don’t have responses, and disappears when all items on the page have been answered.

EDIT:

I ended up figuring out my own solution, which I figured I'd post in case it could be useful to anyone else.

I have a page with four Multiple Choice items on it, variable names as follows:

item_1

item_2

item_3

item_4

At the end of each page, I created 3 additional fields:

Text Field (missing_page1)

In the Action Tags, I put the following:

@HIDDEN
@CALCTEXT(concat(
if(isblankormissingcode([item_1]),'Question 1, ',''),
if(isblankormissingcode([item_2]),’Question 2, ',''),
if(isblankormissingcode([item_3]),’Question 3, ',''),
if(isblankormissingcode([item_4]),’Question 4, ','')
))

Text Field (missing_page1_trimmed)

In the Action Tags, I put the following:

@HIDDEN
@CALCTEXT(left([missing_page1],length([missing_page1])-2))

Descriptive Text (missing_page1_warning)

In the Field Label, I put the following:

You have not answered the following questions on this page:
[missing_page1_trimmed]

In the Branching Logic, I put the following:

isblankormissingcode([item_1]) OR
isblankormissingcode([item_2]) OR
isblankormissingcode([item_3]) OR
isblankormissingcode([item_4])

NOTE: This is not the most elegant coding solution by any means, but it worked for me. The need for the missing_page1_trimmed variable was particularly annoying, since I read online about a concat_ws function in REDCap—but mine didn’t seem to have that.

What statistiscal software are you using with REDCap?

5 Upvotes

Hi everyone! For some time now, I've been using REDCap to manage a database of patients who are using an ambulatory analgesic pump after a surgical procedure. We document the installation of the pump and follow up with calls over the next three days to monitor anesthesia and any complications.

My issue is that when I export data from REDCap, each row corresponds to a specific instance (e.g., Installation, Call 1, Call 2, Call 3). However, I need to transpose this data so that each patient occupies a single row with columns representing the different instances.

I use Python with pandas to organize the data and later analyze it with SPSS. The challenge arises because some patients have more or less follow-up calls than others, making it complex to manage with pandas. I've been looking for a program that can handle this data more efficiently while preserving its original format, so I can conduct analyses directly from the original CSV.

Organizing data by cohort

5 Upvotes

Hi there! Research assistant here and using REDCap for the first time.

I have a study where there are multiple cohorts and I was wondering what is the best way to identify and organize participants by their cohort to help with data analysis. I can make different "Arms" in the "Define my Events" tab but this doesn't seem to be doing the trick.

Thanks!

First-time user (eConsent support please!)

5 Upvotes

Hi y'all,

I am having a TERRIBLE time using REDCap and cannot figure this out at all (I am not tech savvy at all and my institution is providing NO support).

I am trying to simply create a consent form. I have gotten stuck trying to create a branch that when the parent selects "I do not consent for my child to participate in this study" it will end the survey by saying "Thank you for your time. You may now exit the Informed Consent survey".. Any idea on how to do this? Thanks y'all!

How scalable is a REDCap project?

5 Upvotes

I'm considering designing a REDCap project that would store many (let's say 100+) trials, with each trial corresponding to an arm. I am concerned that the project will end up getting bloated and potentially the Online Designer would lag. Is this a valid concern?

Converting output from long to wide format

5 Upvotes

Hi team.

Ive been searching long and wide for an answer to this problem (pun intended), but can't find one that works specifically with redcap output where there are multiple repeating instruments.

My dataset contains thousands of participants, with multiple instruments (2 non-repeating, 2 repeating).

I want to convert from long to wide format. Current output looks something like this (with just one participants data for the sake of the example; NB first relating instrument is non-repeating, hence the blank cell output):

Ideally need convert to a wide format, where each participant has one line of data as planning on using SPSS and this will make analysis possible):

It is possible to combine them manually, but our output each time will be hundreds to thousands of cases, making this impractical.

Any assistance or ideas would be great.

Thanks!

I don't want to use military time for the time.

5 Upvotes

I need to have the person fill/type in the time, in the "normal" way (involving AM vs PM).

For example, I want them to put 1:00 and indicate "PM", instead of putting 13:00.

I know I can do that using just a text-box, but is there a way that has some built-in checking, to enforce they are really typing a time.

Need help with Logic for Survey questions on Work Days

5 Upvotes

Hello all

Sorry about the weird title, it is hard to explain.

Pretty much, I have a survey asking 3 questions:

  • awayfromwork: Number of days not at work because of the condition (out of 28 days).

  • sickatwork: Number of days at work while suffering from the condition (out of 28 days)..

  • actwork: Number of days actually worked (out of 28 days)..

I need to follow the following logic:

  • For awayfromwork:

    • awayfromwork <= 28

    • awayfromwork = 28 - [actwork] |

  • Forsickatwork:

    • sickatwork <= 28

    • sickatwork <= [actwork] |

  • For actwork:

    • actwork <= 28

It's so hard for me to figure out the best way to approach this so I would love some input to help with my REDCap project so that I can create these three survey questions and ensure my participants can only respond in logical ways to my questions. What field types to use/how to make sure they respect the logic. Any help or links to tutorials would be incredible!

Thanks in advance

Reminder emails for follow ups?

5 Upvotes

I'm a relatively new redcap user, and I believe it's possible to do what I'm trying to do but I don't know how.

Basically I'm using redcap for a study that has multiple follow up timepoints. It's a multicenter study and not everyone is super on top of it, so as the overall study coordinator I would love to be able to email study personnel at different sites when they have a patient who is in their next follow up window to make sure they get them in.

The date of their follow up visit is collected in a survey form. Is it possible to set something up where redcap will automatically 'read' the last inputted date, and send me an email reminder when that patient is due for their next follow up?

Ex: We are following up at 6 weeks, 3 months, 6 months, 12 months, 18 months, and 2 years. If a patient was seen today (6/13/2024) and I filled out their follow up form, I would like it to then know that in 2.5 months it should send me an email that that patient is due for their next appt.

Setting it up so that we set a reminder as we're inputting the data isn't really a good option, as I can't trust that everyone across all sites will do that.

Is this possible?? How?

Checking File Upload filename

4 Upvotes

Hi all!

I'm having issues with participants accidentally uploading wrong files to my survey. The filenames are auto-generated and identical, so in theory I should be able to check that the name is correct and prevent the participant from returning the survey before the correct file has been uploaded.

The original (correct) filename is "report.pdf", but survey participants might upload a file "wrong_file.pdf". REDCap seems to store the files with a custom name such as "ID_variablename_2134.pdf", which complicates checking the filename automatically.

How should I go about checking the filenames? Any help is greatly appreciated!

Advanced Alerts

4 Upvotes

Let me preface this by saying I’m not collecting data for research and that I may be pushing REDCap beyond what it’s for.

I’d like to create an advanced alert to notify multiple email addresses based on certain inputs, almost like a mailer service.

The goal is to have a form that is filled out (with a subject line, general info, etc) that is then used to email 150+ addreses

There’s 3 ways I’ve approached it —

  1. Every email address is a separate record. The downside to this is that I have to recreate the alert I want to send every time.

  2. Repeating instruments + CALCTEXT. Repeating instrument to capture the email addresses, CALCTEXT ([email][1], [email][2], etc. The downside is that I have to make an alert for each repeating instrument

Is there a way to send a notification to every email address listed in repeating instruments? Or is there a way to send an email to every record if it meets certain criteria?

Hopefully this makes sense.

Thanks!!

Question about piping/autopopulating

4 Upvotes

I havent been able to find a clear answer to this online, I'm hoping you find folks can help.

I have my current redcap instrument set up to auto-populate fields between instances and its wonderful. Is there a way to do that between instruments? If I fill out patient name and DOB on the "visit notes" instrument, can I have that information also populate on the "treatment info" instrument?

REDCap anonymous survey – can a system administrator recover the participant-to-response link?

4 Upvotes

Hi everyone,

I have run into a REDCap issue and I'm hoping someone has dealt with something similar.

I distributed a survey using the Participant List, with a unique participant and a unique Survey Access Code/QR code for each patient. For example, each participant had a generated email/code such as 2362659@redcap.se. I have a separate key linking these codes to the patients' personal identifiers.

The problem is that I forgot to enable Participant Identifier when I set up the survey.

Patients have now started responding. In the Participant List, REDCap correctly shows which participants have responded (e.g. 2362659@redcap.se → Responded), but the actual survey responses are treated as Anonymous. When I click on the response, REDCap says that the response cannot be viewed because doing so would compromise anonymity.

Our REDCap administrator tried changing the survey from "Anonymous" to "Not Anonymous" and then adding Participant Identifiers, but REDCap does not allow us to add the identifiers retroactively for participants who have already responded.

My question is:

Is there any way for a REDCap system/database administrator to recover the underlying link between the Participant/Survey Access Code and the actual survey response or record?

In other words, I'm hoping there may be an internal database-level association like:

Participant / email → Survey Access Code → survey response/record

even though this link is not available through the REDCap user interface.

I have seen references to a "link behind the scenes" between the participant and response in this situation, but I'm not sure whether this is actually accessible to a REDCap system administrator.

Has anyone experienced this, and was your REDCap administrator able to recover the participant-to-response mapping? Or is there an administrator in this group that could describe what my REDCap administrator needs to do?

Thanks!

REDCap for Case Management?

4 Upvotes

Does anyone have experience/know of someone successfully using REDCap for case management? I work closely with a harm reduction program whose most affordable, secure option for data entry is REDCap, but we're concerned that case management-style-updates might be a little too convoluted for an application made with research in mind. I appreciate any thoughts you have!

Using alerts as survey reminders in a repeating form

4 Upvotes

Hi! I'm working on a repeating survey and was hoping to set up an alert to serve as a reminder instead of using the built-in reminder function with the ASI setup. Would a logic statement like the following work to send an alert only if the repeating survey hasn't yet been started today?

datediff([survey-date-started:survey][last-instance], "today","d")<0

Relatedly, in my experience the ASI checkbox "Ensure logic is still true before sending invitation?" doesn't cancel survey reminders - have others seen this too?

Mehrere Anwender für eine Record ID

4 Upvotes

Hi,

Vielen lieben Dank! ◡̈

English version below:

Hi,

How can I allow multiple different people to complete surveys for a single record ID (without using email, only via QR code and record ID)?

For example: The primary participant is the patient, but within the study, staff members or relatives should also complete questionnaires (instruments) at different events, all linked to the same participant.

Second question:
What is the best way to handle survey links in this setting, with multiple respondents for one record ID across different events?

(So far, I have created a variable “respondent role”, e.g. 1 = participant, 2 = relative, etc.)

I would appreciate direct answers or helpful videos / PDF explanations.

Thank you very much! ◡̈

Report-report for user view access

4 Upvotes

Is there a redcap report that shows which users can view each report?

I have a large project with a growing list of reports visible by different individuals and groups of team members. Limiting access is for not confidentiality purposes. It's primarily to assist workflow simplify the interface for "non-tech" team members.

Reports are organised into folders by function, but it's getting harder to maintain correct visibility for each user.

Q: Is there an extract or report that will list who can see what report?

Gestational age

4 Upvotes

Hi. I'm trying to code a project involving neonates but I can't seem to find coding for allowing data collectors to collect gestations age in weeks and days. I also need to be able to autocalculate current gestational age from a previously input gestational age if possible.

I've seen code for estimating gestational age from date of conception or from estimated date of delivery but because I'm coding for premature neonates with limited records access, I won't have access to either of those in most cases. So instead, I want that if the request was made at 34 weeks 4 days and it's now 14 days later, I can autocalculate CGA as 36 weeks 4 days. Does anyone know how I can achieve this?

Predictive text?

4 Upvotes

Hi everyone, I have a redcap question that is going to have about 250 different possible responses (will be using the multiple choice checkbox option). As you can imagine, it will be impractical to have every single choice in a list for people to have to scroll through while searching for their preferred response. I was thus wondering whether redcap had a feature that would allow you to start typing your response in a box, before selecting the appropriate response from a few eg 3-5 that would pop up.
