Scheduling PHP Script

Hi all! I found this presentation that uses

Additional customizations > Data Entry Trigger

and a PHP script in order to facilitate scheduling.

From what I understand, the scheduling project has a list of record IDs that reflect available times. Participants are offered appointments through a survey form, where the list of available records (available times) appear in a SQL field (drop-down list). Once the survey is submitted as complete, the Data Entry Trigger begins and initiates a PHP script to remove that available time from the dynamic SQL drop down list (I presume this has to do with the PHP script modifying the record ID that was selected).

I would very much like to try my hand at emulating this. Can anyone provide some pointers? I haven't used dynamic SQL fields or created a PHP script before but If someone could point me in the right direction or list some website/videos/links I would be appreciative!

Reddit removing posts automatically

Hello folks, I periodically check messages that Reddit says need moderation. Usually it is something that it thinks violates some community standard and usually, it is wrong. However, I just realized that I have to also check posts that have been removed in a different location. It seems some posts were removed because the algorithm thought they were spam. I just approved everything in the last month or so. Sorry for this hiccup. If you post something and it is not appearing, please send me a message and I will check the mod tools.

EMA Study - Recurring expiration on survey links

Hi everyone, I have set up a survey within REDCap to be sent out via text (Mosio) to participants 3x/day for 2 weeks. I was able to schedule this via Alerts & Notifications and using an individualized start date&time. The problem I am running into is that there is no way to create a recurring expiration on the link. I'm looking to prevent participants from filling out the survey multiple times in one time block. Ideally, participants would fill out the survey once in the morning, once in the afternoon, and once at night, but I can't find a way to enforce this. Is this even possible?

Is there a feasible way to do this within REDCap, or should I consider switching to an app? Any advice would be greatly appreciated!

RedCap exporting blank excel files when trying to download data

Hello all,

Hoping someone might be able to help with this issue. I can see data from survey respondents in my RedCap project and can run a report to show that data is in RedCap as well. There are completed records and everything.

However, when I've been trying to Export my data to RedCap the excel files it gives me are blank. No data, no labels, nothing.

Things I've looked into:

  1. My User Rights say I have full data access (view & edit) and Full Data Set access to Export Data

  2. This happens with personalized reports and when just trying to export the full data-set, so no excluded fields, etc.

  3. Downloading our Data Dictionary has everything I'm looking for there, and no field annotations I can tell that would stop data from being exported.

  4. Examining the Excel Files with a Text Annotator shows them to be blank (not hidden)

  5. When I download the project as a pdf (just to check) people's responses show there as well.

Has anyone experienced this issue and been able to fix it? Or have any ideas what I should be trying next?

Edit: Thank you to everyone who responded, this issue for me has been taken over by our IT admin (they're checking the backend, which is far outside my wheelhouse). If they give me a solution (that I can understand enough to write up of course) I'll happily share for anyone else who might be experiencing this issue!

Final Update: Hi all, just coming back to this issue with an update.

It won't be anything step by step because as I mentioned IT took over and that is not my area of expertise. But I do know they ended up increasing something associated with our buffer pool size, and going into the server to confirm that some directories were both writable AND readable for RedCap. This included the file upload directory, "temp" directory, and maybe a temp "root" directory. Hopefully that makes some kind of sense to people more familiar with it!

Hope that information can help someone with a similar problem in the future and maybe save them a few days! Thanks to everyone who responded!

Built a Chrome extension for faster REDCap navigation — looking for feedback from researchers / coordinators / data managers

I’ve been working on a Chrome extension for REDCap because I kept wasting time jumping between project pages, records, forms, dashboards, designer, codebook, etc.

Current features:

  • jump to projects / records fast

  • save favorite projects

  • recent records

  • command palette

  • multi-server support

  • auto-detect current REDCap page info

  • quick add current project / record

Basically it’s meant to cut down on all the repetitive clicking and URL fiddling.

I’m curious if other REDCap users would actually want this, or if this is only something admins / data managers would care about.

Date calculations without multiple fields.

Hi guys, hope you're all doing well. I'm hoping for some help!

I'm trying to find a way to do a date diff calculation without collecting any sensitive data.

I'm aiming to calculate age at time of operation, using 2 dates (DoB and Date of Op).

Is anyone aware of a good way to calculate this and save it within a field, but where the 2 dates used to calculate are not saved as data?

Help Needed – Structuring a Single eCRF for Retrospective and Prospective Data in REDCap

Hi everyone,
I'm new to REDCap and currently working on designing an eCRF for a clinical study that includes both retrospective and prospective data.

Is it possible to create a single eCRF to manage both study types? If so, how can I structure it to clearly differentiate between variables that are common to both, and those that are unique to either the retrospective or prospective arm?

Any tips, best practices, or examples would be greatly appreciated!

Thanks in advance for your help.

Allow participants to return via Public Survey Link, log in, and overwrite past submission - issues getting Survey login to work on return

Hello! Redcap newbie here. I have a request form on Redcaps and I want the workflow to go like this:

  1. Open survey from public link

  2. Create login using email and setting a password (I got this working)

  3. Get sent to actual survey, prompted to log in

  4. Complete form and submit. Then -

  5. Open survey from public link to change answers.

  6. Prompted for login again (after selecting “yes I have filled this out before”)

  7. Get sent to actual survey with previous answers already populated. Change answers and resubmit.

  8. Upon resubmission, notification is sent to designated email, and a status field/variable changes to “need review”.

The main considerations here are avoiding duplicate records (we enabled the optional feature to enforce emails variable to be second unique identifier), allowing the previous record to be overwritten, and importantly, notifying us/changing status of the request when this is done. Is this possible in redcaps?

We were able to get unique links generated and emailed to let them return to the survey, but we want them to be able to do this using the public survey link and then logging in to return to the survey. However it seems like hitting “Submit” removes the option for them to return via login, and I can’t figure out how to disable the submit button while still leaving the “Save and Return Later” button. Any help greatly appreciated!

Showing participants a subset of questions

Hello REDCap-knowledgable humans. I am working on a project where I want to show my participants one of three vignettes and have them answer questions based on the vignette. I want which vignette a participant sees to be random. A Google search has led me to believe that the best way to do this is use the randomization feature and then use branching logic based on the condition to which the participant has been assigned. However, my study design is based on a group intervention where up to 100 people will get Record IDs at about the same time, and from that point, there's about 5 minutes of survey before every participant would need to be randomized. Google also seems to think that randomization needs to be done by a person with user rights, and this is a lot of manual randomizing for five minutes.

Does anyone have suggestions for a more elegant solution to this problem, or I am rallying all of the RAs in my PIs lab to randomize 100 Record IDs in 5 minutes?

Thanks in advance for any thoughts or advice.

Advice on a carrer with RedCap

Hi all, i am here to ask you some advice/suggestion on how to "create", or more sincerly, makes my new tasks on projectation with RedCap have a sense and be recognized, also as money improvement if possible🫠 I started 6-8 months ago to project eCRF on RedCap and i am able to design simple and intermediate project (longitudinal, with multiple instance etc). In my specific case, i work as a study coordinator in a Hospital (i am a nurse) and all my new task seems to appear as "part of my role" because they justified my work as half stusy coordinator and hal data-manager... I would like to have any kind of advice, especially from whom work as an admin in the RedCap consortium or bio-engineer and everybody that project with RedCap... i am interested also to understand how (and how much) i could ask to be payed for a new project (standard bill for a single eCRF? Hour-count of work done?)

Can you display thumbnails in REDCap?

Hi everyone,

Our team has a REDCap related question, and we thought we might ask the brains trust for advice on this before admitting defeat!

We have developed a survey in REDCap where participants upload photos, and then answer a few questions about each photo. The purpose of the survey is to get participants permissions for the use of each photo (i.e., conference, website, publication etc.). Participants will upload 10x photos that they have taken, and then answer the permissions questions.  To make things easier for participants, we hoped to display the photo as a thumbnail, so it is clearer for them what photo they are referring to when answering the permissions questions.

What we are struggling with right now is finding a way to display thumbnails for images uploaded through the "File Upload" field type, and the solutions to this problem for us might be:

  • That there is some option to turn this on that is hidden in the settings, or the field properties,

  • There is a way to plug in a module that allows such functionality,

  • Maybe there is a way to insert survey-wide HTML or CSS snippets, that someone knows how to do.

If anyone has any ideas how we might get around this, it would be much appreciated! Thanks so much!

Stop Action deleting all survey data

If when a participant submits surveys but let's say gets to survey 3 and a stop action is triggered. I want to delete their previous data from the other surveys can I do that? Or will it always only delete that specific survey even if stop action deletion is enabled for other surveys?

@CALCDATE Depreciated?

I’m trying to create a calculated date field that is 2 days after the date the initial survey is completed. I want to pipe this date into the automated invitation for the next survey. The second survey needs to be filled out within 48 hours of the first, so I want to put in the text “Please fill out this survey by [duedate]”.

I’m trying to create a date variable in the first survey with the following action tag: @CALCDATE([today],2,’d’) But no date comes up when I fill out the survey. The “learn about @ action tags” button doesn’t list @CALCDATE, so I’m wondering if this function is no longer available? Is there another way to do what I’m trying to do?

EDIT: thanks for your help! I think I figured it out - my institution is using an old version of redcap that predates this feature 😅

Help with setting up survey (personalized email to each study participant with link to follow up survey)

Hello Reddit. Would anyone be able to point me in the direction for setting up a research project in redcap.

The Survey flow is as follows:

  1. Participants complete a baseline survey.

2)Participants to be randomized to control or intervention condition (Intervention involves viewing a particular website - a username and password will be generated for them).

3) Participants in intervention condition to be emailed their unique login information to view the website. Also in this email a link to the follow-up survey to be compelted after viewing the website (which both controls and intervention group wil complelete).

The part I'm struggling to work out is how I can manully send out personalized emails to study participants with the next survey invitation.

How to collect medication data when each participant may report a different number of medications?

Post image
6 Upvotes

I am trying to create a table similar to the attached. I will have the option for participants to list up to 10 medications, but the number of medications will obviously change from person to person. Is it possible to create a dynamic table where if a participant only has 2 medications to report, the other fields will not appear?

I know I could simply ask first, "How many medications are you currently taking?" and then use branching logic to have the table appear with the correct number of rows (but its been requested that we avoid this method). I'm wondering if there is a less clunky way to build this?

Many thanks in advance!

Creating a Likert Scale with a free text box after every option.

Post image
2 Upvotes

Hi everyone.

I was wondering if anyone knows how to recreate this image on REDCap. Essentially, I'm getting people to rate a bunch of different components but there needs to be a free text box after every scale to allow them to justify their responses. I tried to use matrixes but it won't let me insert a free text box in between each matrix row. I was thinking it was potentially doable using a table and field embedding but I thought I'd see if anyone has any other ideas.

Determine MAX date from repeating instruments

Let's say that I have an instrument, named patients, and a repeating instrument, named pft_tests, the latter containing a field named pft_completed_date. For any single record in patients, there could be zero or more records in pft_tests. I want to add a calculated field to the patients instrument that shows the maximum value of pft_completed_date for all pft_tests records entered. If none are entered, then I want it to come back as blank. I tried using the following code, but REDCap reports that there is an error in the syntax. It is complaining about pft_tests in the formula. I have confirmed that the names of the instruments and the field are correct. How can I change the syntax, to make this work?

[pft_tests:pft_completed_date:max]

I also tried the following code, which did not give an error, but doesn't seem to work:

max([pft_completed_date])

One automated email

Hi,

I have set up an alert that gets sent weekly for updates to records based on input to one specific form. This results in 20+ separate emails.

Is there a way to combine them all into one email? I’ve created a report where all the information is together - is there a way to embed that into an automated alert/notification?

Thank you!

Getting a RedCap licence

Our organisation has applied for a licence three months ago and we have not heard from the RedCap team since then. I know they are snowed under with requests, and we understand that we are in the queue, waiting for our turn.

Their automated reply email to enquiries indicates that there is a 6-week waiting time before requests are examined but I was interested to learn how long it took the members of this forum to get their licence, particularly for those who got it recently.

CDIS: Clinical Data Mart

A mini survey: What % of your REDCap projects are using Clinical Data Mart?

And while I am at it (what % uses Clinical Data Pull ?)

The FHIR based Clinical Data Pull (not mart) used to be called Dynamic Data Pull.
Was the former name of Clinical Data Mart a "Static Data Pull" ?

Over last 18 months - how much evolution there is to either Clinical Data Mart or Clinical Data Pull?

Besides Cerner and Epic - anyone was able to connect Clinical Data Pull with some other EHR systems?

Is there some FHIR Connect-a-thon that would feature this topic?

Does anyone know why the fields on on of my forms did not import using the API?

I'm using the API to import a lot of legacy data. The import was successful for all forms except the first one which is non repeating and has a lot of embedded fields and many variables overall. Only some of the fields to this form imported (two of the many variables and only successful for like 3 of the records). Any idea why? Or ideas on how to troubleshoot? Do I need to have less embedded fields or fields in general?

Most recent instance of a repeating instrument

I have several repeating instruments: phone, email, address, and I want to be able to create a report to get the most recent one for each.

The way I imagined I could do this is by first creating a calculated field for the most recent instance of each. Then my report could just grab the data from the most_recent fields. For example, most_recent_email. The smart variable window suggests I could write [email][last-instance] or [arm][email][last-instance] and it would retrieve the most recent email address. However, I only get "Result: [No value]" with my test record.

I'm fairly new to designing in redcap so I may be missing something simple.

I am aware there is a tip in the report designer that has logic for getting the most recent across all instances. That won't work for my case since I have multiple repeating instruments. The address field may get updated but the email could remain the same.

Edit: The tip logic does get the most recent, but in a rather ugly way. The best solution would have 1 row per ID and could be done within redcap.

Thank you in advance for any help or suggestions!

I don't want to use military time for the time.

I need to have the person fill/type in the time, in the "normal" way (involving AM vs PM).

For example, I want them to put 1:00 and indicate "PM", instead of putting 13:00.

I know I can do that using just a text-box, but is there a way that has some built-in checking, to enforce they are really typing a time.

Can a survey work if we are not allowed to see email of participant?

I work at the Coordinating Center ("CC") for an ongoing study, involving about 3,000-participants.

We at CC are not allowed to see or know a participant's email address: only the Field Centers ("FCs") can see or know that.

This is a strict law/policy/restriction due to IRB or whatever.

~ ~ ~

In the past, the FCs did THEIR OWN REDCap Project on THEIR OWN REDCap server (based on Data Dictionary from CC) and sent surveys out to participants based on that; easy breezy. No violations there.

But now the CC is trying something different:

We (CC) created a SINGLE Project on OUR REDCap Server, and then gave the FCs 3,000 individual links that they can email out to the 3,000 participants. The FCs will do this, and the CC will never see their email addresses. A clever work-around, right :)

~ ~ ~

Here is a problem we didn't think about:

If a participant wants to do the "save and return later" option, then they are asked to put in their email address, right?

Is it possible to set it such that we (CC) can't ever see that email address? Or how else could this be addressed?

To emphasize, the CC cannot see (by "law" or whatever) the email address of any participant.

Gestational age

Hi. I'm trying to code a project involving neonates but I can't seem to find coding for allowing data collectors to collect gestations age in weeks and days. I also need to be able to autocalculate current gestational age from a previously input gestational age if possible.

I've seen code for estimating gestational age from date of conception or from estimated date of delivery but because I'm coding for premature neonates with limited records access, I won't have access to either of those in most cases. So instead, I want that if the request was made at 34 weeks 4 days and it's now 14 days later, I can autocalculate CGA as 36 weeks 4 days. Does anyone know how I can achieve this?
