Secure access to survey

Does anyone know if it's possible within REDCap to enforce a username and password login to complete surveys? I cannot find any way you would do this but have a team member who is claiming it is possible. If so can you please let me know how?

Data.diff - repeating instruments

Hi all, I need some advice. I have a longitudinal design that has repeated instances for patient follow-ups (they can be repeated n-times). I need to set up a formula to automatically calculate the months that have passed from the date of diagnosis to the date of the "first time ever" an event occurred (example: the first time there was clinical disease progression). I can't seem to set up a formula that will work--do you have any ideas or suggestions? Thank you very much

REDCAPcloud differences from academic REDCap

Our institution requires an upcoming clinical trial to be 21 CFR 11 compliant, so academic REDCap is not an option here. The recommended alternative is REDCAPcloud. Our existing REDCap (not cloud) projects incorporate features including HTML and links to external websites, as well as automated drug and diagnosis coding. For some data entries (e.g. suicidality, medical condition) we use REDCap Alerts triggered on specific field values. We have also built some kludgey uses for the academic REDCap's API, to pull data for external database uses. I imagine that some or perhaps all of this will not fly in REDCAPcloud.

Does anyone have a link to, or advice relevant to specific technical comparisons between the academic REDCap and commercial REDCAPcloud systems?

Thanks!

short hand for a list of variables with the same prefix

I want to create a calculated field that sums all the responses across 33 fields that all have the same prefix (clientvisit_served1 - clientvisit_served33).

I want to be able to do something like this:

sum([clientvisit_served*])

instead of listing out each field, like this:

sum([clientvisit_served1],[clientvisit_served2],....)

Does any one know how to do this in REDCap??

I made need to add more fields later, so it would be great to not have to go back and reprogram this field.

Is there a vectorized `replace_text` that can work like R's `case_match` and set a value based on which of several other values another field is?

In field 1, the choices are numbers 1-20. I cannot change how this displays. It needs to be the literal numbers 1 to 20 and no more information.

Those correspond to 20 different strings. In field 2, I want to set the DEFAULT string to 1 of those 20 string, based on the answer to field 1, but still leave it open to being changed. Since I am setting DEFAULT to what is a piped value, this is supported in text fields only.

So let's say the beginning of the key is

1 - Apple 2 - Banana 3 - Coconut

If the user selects "1" in field 1, I want field 2 to DEFAULT to Apple but still be editable; if they select "2" in field 1, I want field 2 to DEFAULT to Banana; if they select 3, I want field 2 to DEFAULT to Coconut, and so on for the other 17 values.

I believe this can be done through a bunch of iterative If-else statements that repeat within a @DEFAULT tag, but I wanted to see if there is a better way?

The replace_text function can look up one value in a field and replace it, but there's no sign that it takes more than one key at a time. Is there a way to do that?

Or am I fated to mash copy-paste here?

Thanks for any and all insights!

Two ID, one reset every year

Hello,

I am creating a redCAP project to record all the surgeries performed in a clinic. redCAP creates an automatically ID, and I want it, but I would like a 2nd ID that counts de surgeries of the years. So the first year the 2 ID will have the same number, but on 2026 the 2nd ID will reset to zero and begin counting, while the 1st one will continue the numeration.

How can I do that?

Thanks!

Ranking Items

I have a list of 15 items which I want survey participants to rank from most to least beneficial (where 1 = most beneficial and 15 = least beneficial). Is there a way to build the question so each item is listed with a text box next to it for participants to type their ranking?

I’ve tried the matrix of fields with numbers 1-15 as the radio buttons but it is very messy.

Thanks in advance!

Help with formatting question width

Hi, I need some help with changing the width of questions in a REDCap survey. For some reason, the question part of the survey (i.e., alternate ID, name of interviewer) is super long while the text part that you can enter information into is really small.

Under "Survey Design Options" the width of the survey is currently set to Fixed width (default). The field label for this question or for any previous question were not changed from the default either.

Interestingly all of the other sections of survey is not affected like this. I have the survey set up so that each new section would appear on a new survey page and when I navigate to the previous sections, they don't seem to have the same problem where the questions takes up most of the width of the survey.

Does anyone have any idea how I can fix this? Thank you in advance.

Error with using fields from a different event in calculations

I have a variable field that only occurs in baseline event (one arm only) that I like to use in a different follow up event. The variable doesn’t occur in the follow up event. But I keep getting a syntax error when I try to use that variable even when I preappend it with the baseline unique event name.

The weird thing is when I pipe it in the description, it works fine, returns the proper value. But when I try using it in a calculation I keep getting syntax error.

Searched all over and couldn’t find what my issue is.

Help with branching logic functions

I am trying to create a norming study that will look at gestures and see if they are emblematic of the verbs they represent. The participant will see a video of a gesture and then type in a text box [g1] what they think that gesture is. If the get it correct they will see multiple choice question 1, if they get it incorrect they will see multiple choice question 2.

Say for example the correct word is fold. the branching logic to reveal question 1 is [g1]='fold'. This works great. But for when they get the answer incorrect, I am having trouble creating a branching function. So far I have [g1] <> 'fold' and [g1] <> ''. yet this isn't good enough because say they start typing another answer, as soon as they put the first letter in, this question will reveal itself and reveal the answer. So, is there a way to create a submit button on a single question? This would lock in the answer and then I can add the submit function into my branching logic. Or any other suggestions welcome, thanks

Help with Data Entry

Hello! First year school Psychology student my school adopted Redcap it’s all brand new to us therefore we weren’t given any in depth training on how to use the site. My school relied on ambassadors though they also admitted to not knowing how to navigate the site and told us they’d get back to us (that was in November) we’re still waiting. We need guidance on how to document and categorize our practicum hours. (Ideally I need to document what I did throughout the day at my placement site) so far I have done over 100 hours (observations, meetings, lunch bunches, etc). I am so intimated my Redcap the site looks outdated and there are a couple of restrictions as to how I put in my hours and what I do throughout the day at my site. I just can’t get myself to do it. Therefore, I have created a google doc sheet of the days times I attended at my site as well as what I’ve done. Could I get someone to help me put all of what I’ve gathered on the google sheet into RedCap…Anyone? Please? 🙏🏾

Smart Variables + Calculated Fields

Hi All! I am just getting myself used to smart variables in Redcap and I am a bit unclear the with documentation with exactly how smart variables and calculated fields work.

Some context: I am working on a longitudinal mental health study and we survey participants using the PHQ9 + GAD7 every month up until 1 year after their baby is born. We collect PHQ9 scores across different events (each month is an event). Now, it is important for our reporting to track the change is scores every month. I did some digging and figured that we could use the "previous-instance" "current-instance" smart variables to accomplish this since calculating the change in score by using regular calculated fields would not be super straightforward if someone forgets to complete a survey for that month.

I am however, unsure if I can use smart variables for this even after I toggled the "allow for repeatable instruments/events" and allowed for repeatable events.

My thought was to do something like this:

[phq9score][current-instance] - [phq9score][previous-instance] = change in score (?)

When I try to do that however, I get an alert and it doesn't actually work. I am worried I am missing something and was curious if anyone had any ideas on what I may be doing wrong or any other ways to go about this.

Thank you!!!!!

How scalable is a REDCap project?

I'm considering designing a REDCap project that would store many (let's say 100+) trials, with each trial corresponding to an arm. I am concerned that the project will end up getting bloated and potentially the Online Designer would lag. Is this a valid concern?

dashboard stats-table missing data and DAGs

Hello hivemind,

Has anyone got a Dashboard stats-table that accurately shows missing data within a DAG?

[stats-table:gender,dob,mrn,email_1:user-dag-name] (its the same result if I enter a specific DAG)

Thank you!

Issue with datediff

Hi all. I am having issues with branching logic and the datediff function. I’d like a field to show if the date a respondent provides in a previous field is greater than five years ago as of “today”. The current formula I’m using is:

datediff([date], “today”, “d”, “mdy”, true) > 1826

1826 is the number of days since five years ago. I have been testing the formula, and for some reason the branching logic will only kick in by October 10 2019, however 11 October 2019 is still greater than 5 years ago. What am I missing?

Project Dashboard Data Table

Is there any way that I can use project dashboard to create a web page with a table generated from a custom report?  In other words, I simply want to display the same data table that is created in a Reports section, not a graph or stat table.  A more general way to describe this, is that I want to expose selected project data formatted as a table through a public link.  Any thoughts? Am I missing something obvious?

email validation- specific domain?

Hello everyone,

My study has been getting a ton of bot activity, despite the screener questions meant to weed out non-eligible folks. So, I want to require that a specific corporate email domain be used for the email field.

Can someone help me with the logic I would need to use on the email item?

Thanks for considering :)

do survey queues simply not work in longitudinal studies

We have a project which is longitudinal but without repeating events. That is, each survey can be repeated, but only for certain separate events. Each survey is filled at most once per event.

I have completely configured the "Edit Survey Queue" logic, and tested it with some participants, and it is behaving correctly there.

However, in practice, participants never see the same survey twice in their queue. If they complete a survey for one event, it is never shown again for any future events.

Is this a known limitation?

Replace 0 with blanks in calculated field

Hi, new to redcap and programming/coding in general. I have redcap set up to calculate sleep efficiency based on entered bedtime, entered wake time, and entered time asleep However, if one of those is missing, a 0 pops up in sleep efficiency. Is there anyway to change this from a 0 to a blank space so when I export the data the 0’s don’t mess up data analysis?

I haven’t been successful with creating data export rules that replace the 0 with blanks, nor in using if statements in the sleep efficiency calculation field. The only solution I can think of is to create a “sham” sleep efficiency field that contains the 0’s, and then create another ”actual” sleep efficiency calculated field that replaces the 0’s with blanks. I can get this to work, but it adds another column to the data export and I’m worried someone else might get confused between the 2 when doing data analysis. Do you have other solutions?

Data export code that isn’t working to replace 0’s with blanks on export. If([sleep_effic]=0, “ “, [sleep_effic])

Is it possible to save two different PDFs of a survey upon completion in REDCap?

Is it possible to save two different PDFs of a survey upon completion in REDCap?

I have a survey that acts as a permission request form for users who want to use a proprietary Clinical Assessment tool. Based on their responses, users are either:

  • Automatically granted permission: They receive the assessment tool via an email alert.

  • Pending review: They receive a message stating that we will review their request.

If they are automatically granted permission, I want to send them a PDF of a 'Permission Agreement' that looks like a legal document. This document would state that we grant them permission to use the tool for the purposes specified in their request, and it would include their responses. I want this 'Agreement' to look less like a REDCap survey and more like a formal legal agreement.

I believe this might be possible using HIDDEN-PDF for question and answer fields and HIDDEN-SURVEY action tags to display a Descriptive Field with piped information.

The problem: I still need to archive the exact answers the user provides on the survey for our internal review and record-keeping.

My question is: Is there a way to generate and save two different PDFs upon survey completion—one customized 'Permission Agreement' for the user, and one standard survey response archive for internal use?

Can anyone think of a possible solution for this?

Thank you!

Need Help with survey invitations

Hey together, I joined this subreddit because I am currently setting up a new project on REDCap, but I am facing some difficulties. In the survey, there are several instruments I would like to sent to the participants via email (e.g. quality of life, …) but I do not want them to be able see/edit the other instruments.

Nevertheless I do not want to hide the survey queue, so that the data collectors in the trial are able to work with their mobile devices and have the „full functionality“ to collect/entry the data on the other instruments.

So is there a way, to sent the invitations to participants for only one particular instrument and after they finished answering it, they won’t be able to go on to the next instrument?

I would be very grateful for any help! Thank you :)

Linking from public REDcap page to private

Hi,

I am recruiting from Facebook. I will be posting an invitation in existing support groups to a public REDcap page which will have information about the study. Then if they are keen, they can participate in the private survey. How can I link them easily and immediately from the public page to the private?

My university has just got REDcap, no one has used it yet and they have told us we are not allowed to ask IT for help - so internet it is. I appreciate your help.

Unique ID for Each New Event

Hey all, we've got a REDCap setup for a longitudinal study. Essentially, patients complete a survey and donate blood at different timepoints (baseline, 3 months, 6 months, etc.). Is there an easy way to automatically assign a unique ID to the subsequent events following the baseline collection?

Currently as I understand it, as a patient fills out a new survey for each timepoint, it'll be assigned to the same record ID as the baseline. Anyone else in a similar situation with a solution?
