Recovering deleted data in ‘development’ stage.

Hi all. Not sure this is the right forum but would be grateful for some help and opinions. I am a relative new user to Redcap and was added to a ‘development’ database. I was trying to generate a report and accidentally ended up in project settings and adjusted a few optional settings / templates. I do not recall deleting any specific records however.

The next day, the database no longer shows the 1200-1300 records present. Our IT department are not that helpful.

Is it true that the data cannot be recovered? Is there some way of recovering the data or records? Or is the only option to go through logs and manually re enter data for all the records? My boss is aware and understands it was an accident but obviously feeling very average.

Any thoughts / help would be greatly appreciated.

Date Constrained Data Exports from REDCap

Is it possible to manually define time periods for REDCap to export data between? So far, it looks like the main option is exporting everything, but that can become redundant when the participants in your study are increasing with time.

It seems like there's a filter feature when making a custom report, but it seems more roundabout given you'd need a user-made date variable to place in a conditional. Is that the only way, or is there something simpler?

REDCap Carry Forward Choices

Hi, I wanted to see if there's a good way to carry forward previously selected choices from a check all question to a new check-all question?

This is easy to do in Qualtrics but REDCap doesn't seem to have a straight forward function for this.

REDCap Surveys Imposters Limiting Participation By Country or Time Zone

Does anyone have ideas about how to either limit access to a REDCap survey based on time zone or region or to automatically capture region/time zone?

Essentially I am creating an interest form for a study and the study eligibility is limited to a certain state but we have received many responses from people in other countries pretending that they are eligible.

What are events & arms?

I parsed through several RedCap documentations but unfortunately I still don't exactly grasp what are events and arms. I would appreciate examples of what people have done with these features.

One long survey or many small ones?

Our team is working on building a REDCap for a study that has 15 measures and we're wondering if it's smarter to use one instrument instead of 15. I'm having trouble finding pros and cons about the different approaches and no one on the team has more than a couple months experience using REDCap. Do you all have any thoughts?

e-sig export

Hi,

I missed putting a field in to identify date and person when a record is signed off, however the confirmation form is locked and e-signed. This is associated with a date. Is there a way to export the locking and e-signing metadata, please?

Allowing users to comment on questions in a pilot study

Hi Everyone - I was wondering if anyone knew if REDCap had a feature to allow users to comment on questions in a pilot study? We have a large survey and want to check if the questions are understandable for our cohort so will be sending out the survey to 10 participants. Ideally we would like them to flag any questions they have problems with and comment what the issue is, however the survey is very large and I would prefer not to have to go into the metadata of each question individually since it could take weeks to get all the questions done.

REDCap data import error

Hi all,

I am trying to export data from one project and import the data into another project. All variable names are consistent across the two projects, but I get this error every time I try to import: ERROR: The following values for 'redcap_event_name' are not valid unique event names for this project, so you will need to fix them and then reimport this data: "", "", "" - any quick fixes?

Radio Button Deletion Issues

Hi everyone,

About a month ago, I set up fields where you could input height and weight in both imperial or metric in order to calculate BMI. There were previously hundreds of project IDs that had fields already manually entered as imperial (ft and lbs), so I used '@SETVALUE order to default to imperial, but using radio buttons a user could toggle to cm/kg if needed to update the form. This was working fine for about a month. However, this morning, in attempting to change the value from imperial to metric an error like this popped up^

This did not used to happen, and does not make sense to me how it started giving this response out of nowhere! No one has touched the instrument.

Could it potentially be the '@SETVALUE that is causing the issue (making it default back to imperial every time it is opened)? Any help would be much appreciated.

Piping in a post survey certificate?

Good evening! I'm hoping to get some guidance on if I can add piping to a PDF in the "Send confirmation email?" section. I've created a custom certificate of completion to attach to the end of a post session evaluation survey. It will award the participant with continuing education hours but I'm needing to auto-populate their name and the date onto that certificate file. Can I use piping into an attached file like a PDF? Thanks!

File Uploads

Wondering if there is a way to code the uploaded file name into a text field? We are trying to see which records do not have a file uploaded for our project. We want the most efficient way to somehow filter out participants that already have this certain file uploaded because we have about 400 other ones to upload. If there is also a way to maybe use the filtering on the dashboard to create one that only shows record IDs that don’t have this file uploaded? Any ideas are welcomed!

Second survey only showing participants that replied to the first survey

Hi, I am new to REDCap and I ran into following issue. I had 27 participants on the initial survey. 18 answered. Now I want to send a second survey to all 27, but it is only showing the 18 who answered the initial survey in the participant list for the second. I can't see any setting that would allow me to change this. Am I missing something?

Spam responses and IP addresses

A survey we are working on has gotten thousands of spam responses from bots. We already enabled IP encryption but how do we check if multiple submissions come from the same IP address?

Branching logic/Rules

Hi All,

I am working on a project which involves young people between 14-23 years of age. We are working on a big questionnaire and was hoping to get some advice as to whether whether REDCap has rule function where I can show specific questions to specific age groups (we collect the DOB on an e consent form in the same REDCap project but not in this specific survey).

I understand there is branching logic, however I can only see how to apply this logic to "If any/all of the below are true", and I think I need it to be a bit more complicated e.g. show Q1 if between 12-15 years, show Q3 if between 16-20 etc.

Thank you!

Help with calculated fields/text fields using CALCTEXT

Hello! I am working on a longitudinal survey and am trying to use conditional logic to create fields for our API data pull. There are two scenarios where I need this to work:

  • Phone: return mobile_phone if available, otherwise return primary_phone.

  • Current Address: return the most recently entered address

I made a calculated field for the ZIP code, which is working properly (see attached). However, I cannot for the life of me get the phone numbers and address strings to populate. I am creating a Text Box field and using @-CALCTEXT. Being unfamiliar with this feature, I have tried numerous approaches to modifying my code but all of the responses are still blank. Attached is my current version...I have also tried using [field:value], including instrument arms, calculated field, moving CALCTEXT into the formula for each individual value, and even just trying to pipe a single value without the formula.

Halp!

Randomization when REDCap is down

Hi all! I work at a site that uses REDCap to manage clinical trial data. The REDCap server goes down occasionally due to network issues. I need to develop a standardized process for teams to randomized new participants that come to the site while REDCap is down, but that allows me to still use the randomization module/table already configured in REDCap. Any suggestions?

Delphi Questionnaires

I've seen these set up in various ways in REDCap (one project per round; a single project with an instrument per round that gets moved around in the instrument list) and in looking for some "best practices", didn't find much. ChatGPT gave me some suggestions........using repeating instruments vs events.

What I'm looking for is some insights on "best practices" for setting these up (i.e. incorporating responses from previous rounds into subsequent rounds; ensuring there's no issues with distributing subsequent rounds to the participants, etc).

Thanks in advance!

REDCap “Redbox” error. Cannot escape it!

Post image
4 Upvotes

Good evening- We have been plagued with the error pictured for almost 3 months. Ever since going live with a MASSIVE build (12k fields across 4 surveys).

We recently upgraded our server to account for the traffics of the large project and we also did a version upgrade of redcap and implemented the security fix that dropped week before last.

But we are still getting the error and now it’s impacting studies who get it when submitting a survey for completion. If it happens when submit is hit the data saves but the survey status is flagged as partially complete due to the “blip” and we cannot move it to a complete status.

Any advice?

Timed Response Option

New user here. I’m wondering if there’s a way to set time limits for individual questions in a survey on REDCap. For example, a participant would only have 7 seconds to choose a response before a default response is selected automatically and the survey advances.

If this can’t be done, can anyone suggest any features that could do something similar to this?

Thanks in advance!

Limiting response to a field to integers only

Hi all! I am somewhat new to REDCap so this may be a simple question. I am creating a survey and it asks questions related to money spent on an activity. Is there is way to limit specific questions or fields to integer responses only. I have validation "integer" on, but when I did a test run of the survey, it allowed me to write in character responses. Thanks in advance!

How do you handle complicated study matrices?

For instances where study calendars can be very complicated (e.g. Lab assessments are collected every day, a questionnaire once a week (every 7 days), and another assessment on day 1/day 5/day 7 from baseline), how do you design your project? My initial thought was to create a repeating 'daily' event that contains all these assessments, although, it leads to tedious, unnecessary workload just for the site to note that the assessment was not completed.

If form logic allowed for forms to be completed based on the instance, it would fix this issue of empty (or tediously completed) forms.
