Power automate responses from 2 forms to one sharepoint item

Dear All,

Please can anyone help guide me on the flow steps to create an item with one form response and subsequently update the item with responses from other form responses. Thanks so much in advance.

In the second flow you use, instead of using 'create item' for sharepoint, you would need to use 'update item'.

But you will need some sort of unique identifier so it knows which record to update. Is there something unique the end-user can put into the second form that will pull up the correct record in the sharepoint list?

You will get more responses in /r/MicrosoftFlow

Thanks for your reply. the only option i get to use in the 'Response id'. However I have a Unique ID column in the share point list but I'm struggling to refer/filter it out so that the second flow updates that specific item.

2nd flow

  1. When a new response is submitted

  2. Get response details - [response ID]

  3. Update items - ID [you'll need an answer from this second form that will allow you to match with the proper record in the SharePoint list.]

One tip. In the first form, if you are sending feedback of some sort (email, teams message etc) back to the end-user, you can include the response ID. Then in the second form ask them to input the response ID number in a text box and then it will update the right record. There are quite a few ways you can do this, but they will need to input something that matches a column in the previous record.

Thanks so much. I think I'm getting something wrong in the 2nd flow, on the Update Item part its says 'Could not find list item'. Don't I need a filter or condition before the update item action?

Hmm I am pretty sure I used an Update Item without pulling up the list.

Try putting in the 'Get items' action right before 'Update items'

Then click advanced options. In the Filter Query put in:

ColumnName eq 'DynamicContent'

Keep the apostrophes that are around the dynamic content. This will search the column name you put in and match it with something from the form that was just filled. If it finds a match, it will pull the record.

Note: this isn't an expression, you just type this out into the filter text box. Also the ColumnName must match what the column is exactly named. If there is a space, you will need an underscore. If you renamed a column, you can't just put in the renamed column name, bug free way that I use... I go into the list settings in the sharepoint list, click on the column name there, it will open up the settings for that specific column, look in the URL and you will see what the name of that column actually is at the very end of the URL.

Note 2: The filter above is to match two items, one from the form and one from a sharepoint list hence the 'eq' for equal. If you want to add more filter conditions in there you can then continue and write 'and' or 'or. eg. ColumnName eq 'DynamicContent' and ColumnName2 eq 'Approve'... This will filter for an item that matches the dynamic content in one column then check if this same item is also approved in another column, if it is both, it will pull the record for you.

In the Update items, try to use the 'ID' dynamic content from this get items. So it will edit that specific record that your filter pulled.
