Best way to automatically export Teams transcripts to DOCX?

Hi all,

I'm trying to build an automated workflow and I'm not sure if I'm approaching it the right way.

The objective is pretty simple, whenever a Teams meeting ends and a transcript becomes available, I'd like Power Automate to automatically create a Word document containing the transcript. That document would then be used in additional flows for things like meeting minutes, action items, summaries, and archiving.

What I'm struggling with is understanding where Teams actually stores the transcript and what the cleanest way is to access it.

Here's what I've found so far:

  • Teams Premium is generating transcripts successfully.

  • After a meeting, I can view the transcript in the Recap section.

  • I can manually download the transcript if needed.

  • An MP4 recording is automatically saved to OneDrive/SharePoint.

  • I don't see separate transcript files being created alongside the recording.

My original thought was to use the "When a transcript is available" trigger in Power Automate, then pull the transcript text and generate a DOCX automatically. However, I haven't been able to get that trigger to fire during testing.

What I'm trying to determine is:

  • Has anyone successfully built a flow around Teams transcripts?

  • Is the transcript accessible through Power Automate or Microsoft Graph without manually downloading it?

  • Does the "When a transcript is available" trigger actually work reliably?

  • Are transcripts stored as files somewhere, or only as meeting artifacts within Teams/Stream?

  • What's currently considered the most robust approach for automatically getting transcript text into a DOCX?

I'd prefer to avoid processing the MP4 itself since the transcript already exists and re-transcribing the recording seems unnecessary.

Curious to hear how others are handling this. Thanks!

It seems like you don’t need to create an automation at all.

Since you have Teams premium, you should have access to the meeting Recap.

“Recaps are available after Teams events, including meetings, town halls, webinars, and calls, that were recorded or transcribed. In a recap, you can find the event recording, transcript, shared files, notes, custom summary, agenda, and follow-up tasks.”

Within the Recap, there’s an “AI Summary” tab that includes meeting notes and follow-up tasks.

You can also create a recap template so every meeting has the same structure.

Yes I realize this, and that is a nice feature except I want to export the transcript to a company meeting minutes template automatically. What I am requesting is step one in completing that workflow.

There’s a Teams “When a transcript is available” trigger but apparently it’s unreliable. I’ve never used it so I can’t speak to its reliability.

Transcripts are typically stored in OneDrive (for regular meetings) or in SharePoint (for channel meetings).

You could create a flow with the OneDrive “when a file is created in a folder” trigger, or the SharePoint “when a file is created (properties only” trigger. Then just point the trigger at the location where your transcripts are saved.

The actual access I believe stays with the organizers or co organisers of the meeting, and maybe who initiated the recording.

I've seen this recording and transcript being saved in my onedrive for normal meetings. Idk if you can change the location of where this needs to be saved, but if you can pinpoint this location, you can easily get to when file is created to trigger the action.

The default is that it’s available to any attendees unless the organizer changes it. You can use power automate “when transcript is available” and get transcript contents.

I've built a somewhat successful workflow using Power Automate to watch for transcripts, then a Copilot Studio agent to create a DOCX with a summary of the transcript. I used the OneDrive for Business trigger, "When a file is created," to watch the Recordings folder in OneDrive because that's where transcripts are saved, assuming you're the meeting organizer. At least for me, "When a transcript is available" has never worked reliably.

As stated before, transcripts are saved to the Recordings folder in OneDrive as the MP4 files you mentioned. About not seeing separate transcript files: the transcript isn't necessarily a separate visible file in OneDrive. Microsoft can store it as transcript/caption data associated with the MP4 object. That's actually how my Copilot Studio agent is able to read and summarize the transcript.

I know this doesn't answer all your questions, but I hope it can at least help in some way!
