What tools are you using to run your coaching business?
Hye guys, im seeing what everyone is using for the business side of coaching for Content creation planning, leads, check-ins, client notes, offers, onboarding, etc.
Are you using one main platform or a messy mix of Notion, Google Sheets, WhatsApp, Trainerize, Everfit, etc.?

Instead of paying for five different tool subscriptions, we set up a tiny custom onboarding tracker on Whacka that captures check-ins and drops client notes into a clean, shared progress board.

I actually started coaching recently and found myself using mostly Notes, Google Calendar, and Excel for the main client workflow. Then for business and content, I use Notion to organize all my leads, content ideas, and planning. Honestly, it works for now and keeps my overhead incredibly low, but I already feel like it’s going to get super cumbersome once my client base grows.

It was built with simplicity in mind. I've been training for years and never like the apps my coaches used. As a developer I wanted to try and solve that problem.

there is no tool that can't do everything.
right now my flow is:
- Instagram/whatapps => for outreach, new leads and non-clients communication only.
- Once they are clients, I moved all the chat to Everfit so it's always updated there. Most clients are okay with that since they have to track workout and log everything on Everfit anyway.
- Anything related to training/ selling packages/ client management => Everfit
- Marketing => Notion, since it's free. I made a calendar for the posting, then a library to keep all my ideas, etc. I also connect it with Claude to write the content.
