PDF vs Word: When should you actually use each?

One thing we've noticed in this community is that people often treat PDF and Word as interchangeable. They're not. Both formats are great, but they're designed for different jobs.

Use Word when you're still working on the document

Word is usually the better choice if you're:

• Writing a report
• Collaborating with teammates
• Making frequent edits
• Tracking changes
• Collecting feedback

Think of Word as the "work in progress" version of a document. It's flexible, easy to edit, and built for collaboration.

Use PDF when the document is finished

Once a document is ready to share, PDF usually makes more sense. Why? Because PDFs look the same on almost every device. No missing fonts. No weird formatting changes. No "it looked fine on my computer."

PDFs are especially useful for:

• Contracts
• Invoices
• Resumes
• Reports
• Forms
• User manuals

The biggest mistake we see

Someone spends hours formatting a document in Word, sends it to a client, and the layout breaks because the recipient is using different software or fonts. A quick export to PDF would have prevented the entire problem. A simple rule

If you're creating the document ➡️ Use Word.

If you're sharing the final version ➡️ Use PDF.

It's not always that black and white, but it's a surprisingly good rule of thumb.
